Discussion, deliberation, and possible decision to: 1) award Request For Proposals #2011-08 — Propane, toinclude furnishing, delivery, and necessary service 2) waive the fonnality that the addendum acknowledgementbe returned with the bid and; 3) execute the contract with Suburban Propane. Funding for departments underthe General Fund will be from Fund 101 General. Other departments will pay for product and services out oftheir respective budgets.

The Request for Proposals was advertised in the Las Vegas, Pahrump and l’onopah newspapers. Four bidswere received. The propane will be supplied to various areas of the County including Pahrump, Tonopah,Beatty, Amargosa, Currant Creek, (iahbs, Manhattan. Smoky Valley and Belmont. During the past fiscal yearapproximately $188,000.00 was spent on propane and related services.

Any information provided after the agenda is published or during the meeting ofthe Commissioners will require you to provide 20 copies:one for each Commissioner, one for the Clerk, one for the District Attorney, one for the Public and two for the County Manager. Contractsor documents requiring signature must be submitted with three original copies.

GENERAL INFORMATION SUMMARY

Agenda Item:

Action — Discussion, deliberation, and possible decision to: 1) award RFP # 2011-08 — Propane,to include furnishing, deiivery, and necessary service, 2) waive the formality that the addendumacknowledgement be returned with the bid and; 3) execute the contract with Suburban Propane.

Requested Action: Award of bid, waive formality and execution of contract.

RECOMMENDATION/FINDINGS

The contract will be for all propanc and delivcries as welL as any required service. The four bidsreceived were from Amerigas, of Pahrump, Suburban Propane of Ely, Pro-Flame Gas of Pahrump andValley Propane of Tonopah. It is the recommendation of the Purchasing Department and the FacilitiesDirector to award the contract to Suburban Propane of Ely.

APPLICABLE REGULATIONS

As per Nyc County Purchasing Policy and NRS 332.039:1. Except as otherwise provided by specific statute:

(a) A governing body or its authorized representative shall advertise all contracts for whichthe estimated amount required to perform the contract exceeds $25,000.
