1.4. EXECUTIVE SUMMARYThis report is to assist to get hands on experience practically apply theoretical principles and techniques

building confidence in problem solving having an improved understanding of work ethics and human relations skills. This report was based on experience attained at Roofclad limited (Alam Group of companies) with objectives and methods used like questionnaires, interviews, observations and review of existing data.

The report also entails organizational culture and company production of Bulldog security and wire products. This report shows detailed analysis of basic finds like challenges at work place, language barrier when it came to interviewing casual workers at the factory to file their personal information, locating previous years records like vouchers for analysis, highcost of transportation and meals including Inefficiencies in the system and the due course of the practicum through observation, interaction and experience on how I intend to use the opportunity of experience between activities carried out.

The assessment of my internship included skills, responsibilities, influence on future career, correlation with classroom knowledge and more so there were benefits obtained such as computer knowledge especially in ERP, Repot writing. Therefore the whole practicum process was success secession.

2.1.0. CHAPTER ONE

1.1. INTRODUCTIONMakerere University Kampala conducted amendatory field attachment exercise for all 2nd year students which tookplace during recess period between June and July 2013. The main objectives of the exercise were to assist students get hands on experience, practically apply theoretical principles and techniques, build confidence in problem solving, have an improved understanding of work ethics and human relations skillsand have better appreciation of the profession there after.

This report covers the work experience, skills, challenges faced, field attachment evaluation as well as conclusions, recommendations there of as I worked and trained at Roofclad ltd in the accounts and policy department from 10th June to 20th July 2013. It is also

intended to improve on my future career and meet my future target in the job market.1.2. BACKGROUND OF THE FIELD ATTACHEMENTMy internship was carried out at Roofclad limited, I was attached to the department of accounts and policy management which are headed by the company Accountant who reports to the General Manager (GM) Roofclad ltd and company group operations manager (GOM) of Alam group respectively.

The purpose for internship was to apply the theoreticalconcepts given in class into practical hands on set up.So I tried as much to apply the theoretical concepts topractical work situations.

During my internship at Roofclad, I was trained as an assistant accounts officer with direct supervision of the General Manager of the company. Accounts and policyis expected to carry out different activities.

1.3. INTERNSHIP OBJECTIVES AND METHODOLOGY OBJECTIVIES

My engagement in this field training, was geared towardachieving the following objectives.

To enable me get hands on experience in a real lifesituation I am expected to work in when I graduate.

To provide a range of opportunity to apply the principles and techniques theoretically leant into real time solving situations.

To provide an opportunity to interact with the stakeholders and potential employers to appreciate field situations that will also generate information for curriculum review and improvement.

To develop my understanding of work ethics, employment demands, responsibilities and opportunities.

To enhance and strengthen linkages between Makerereuniversity Kampala and the various stakeholders.

METHODS USED IN INTERNSHIP

The following are the methods used to carry out evidence during my internship.

OBSERVATION METHODObserving physical raw material like galvanized anddrawn wire used in production of the Roofclad outputs these are purchased from Kenya.

QUESTIONNAIRESStructured questionnaires were used to gather data from the management, accounts personnel and some employees from other departments of Roofclad ltd. Close ended and open ended questionnaires about thetopic were given to the respondents to collect qualitative and quantitative data.Questionnaires were used because they are simple toadminister and can be filled in at the respondents convenient time. The questionnaires were designed in such a way that covers the objectives of the study.

INTERVIEW GUIDE

Interview guide was employed to gather necessary data for employee analysis were by I asked respondents that is, management and some casual employees from Roofclad some questions about the topic under study in order to get firsthand information. This tool was used because it is the quickest technique of collecting qualitative data and questions can be repeated clearly for the respondents to understand.

1.4. BACKGROUND OF THE ORGANISATION OF FIELD ATTACHMENT 1.4.1. ROOFCLAD LTD PROFILERoofclad ltd is a subsidiary of the Alam Group of companies that was established in 1986. We are the leading manufacturers of a wide range of domestic and industrial hardware products. Our dedicated and qualityproducts earned us the prestigious ISO 9001:2000 certificate and further inspired us to pursue the latest version ISO9001:2008 in our trust to excel in the region. Since 1986, our products have had an increasing demand throughout the country and this we have upheld by establishing several sales and outlets in the different regions of Uganda as well as directly working with sales agents nationwide. Our factory is strategically located within the highly accredited casement complex plot 86/90, 5th street industrial area

and has branches like William Street, in Kampala, Arua and Mbarara. 1.4.2. NATURE OF BUSINESS AND OUR PRODUCTS We are the quality manufactures of wire products and security systems like chain links, barbed wires, wire nails, weld mesh for construction purposes. We also produce binding wire and BRC. Wire products fencing, security systems and these come in several gauges like;barbed wire in gauges 16, 12.5 and 14, chain links in gauges 10 and 12.5 feet 4, 5, 6,7 and 8repectively, wire nails in sizes 1-6, u-nails non galvanized, weld mesh gauge 10 and 8, BRC A6, A142 only on order and 4.5mm, 5mm, 5.5mm and 6mm Rod 20ft long other products include binding wire G16, fencing wire G8-G12.5.1.4.3. VISION To became the leading manufacturers of high quality wire products in East and Central Africa.1.4.4. MISSION STATEMENTOur mission is to consistently satisfy the constructionneeds of customers by manufacturing wire products of highest quality at most competitive prices.1.4.5. GOALS

Creating room for the trainers from different institutions to enable them acquire practical knowledge to have more job creators than job seekers.

To carry out research to the needy people in our country.

The company has both local and international customers were some clients take our products to countries like Rwanda, Sudan, Ethiopia, among others. For local clients we deal with the real estate developers like National housing and Construction Company, Jomayi, Zionconstruction and construction industries including factories, hardwares like cheap hardware, Hardware world amongst thus growth in industry, tourism, trade, urban and infrastructural sectors in the country.

1.5. ORGANISATIONAL CULTURE, VALUES AND BELIEFSRoofclad limited is characterized by the following;

Open mindedness, any challenging issues among staffand management are discussed and resolved quickly.

Integrity/transparency and stewardship, company polices and systems are clear to all.

Confidentiality, client information cannot be revealed to the public without their consent.

Respect to clients, at Roofclad ltd, clients are highly valued and respected.

Conducive working environment. Time management, employees reach at work early in

the morning by 8am and leave at 5pm in the evening. Small gap between the manager and employees, it’s

this that makes it easy to approach the manager andemployees are highly respected.

The dress code is professional and all employees are required to be smart at work that is for cooperate workers, while factory workers are required smart in their various uniforms to easily identify who operates in which department.

All monitoring and measuring devices (micro meter, weighing scale, venire calipers and tape measures) in the workshop are kept in a known state of functionality.

When a monitoring and measuring device is found to be out of calibration, it is removed from use and suitably marked until such a time it’s brought backto calibration.

Roofclad ltd monitoring the conformity of the product to requirements through the establishment of product acceptance criteria at each stage of

production and the maintenance of quality control inspection regime.

The performance of the quality management system isassessed by the metrics identified in the procedures and the management reviews that are heldon a bi-annual basis and the necessary actions taken to effect continual improvement.The above are beliefs and practices that members ofRoofclad ltd cherish, define and gives identity to the organization.

1.6. GENDER IN THE ORGANISTIONRoofclad ltd has an objective dedicated towards keeping a gender balanced approach in the essence of allocation of roles and responsibilities, decision making and capacity building. Perhaps women have been marginalized in the past in comparison to their counterparts. Therefor it’s theemphasis of the management of Roofclad ltd to draw a line which offers women more chance to participate effectively in decision making and other areas of administration at lower, middle and top levels in the hierarchy of management so far Roofclad ltd is on the road to achieving the objective of gender balance.1. - Analyzing customer feed-back.- One on one discussion with the clients.

INTERNAL AUDIT- Internal quality audits are conducted at

least twice a year to ensure that the system conforms to the ISO 9001:2008 standards.

- Cross functional team member training in quality auditing and who do not have direct responsibility for or control of the area to be audited, conduct the audit.

- An internal quality audit schedule is developed every year by the lead auditor to ensure that the audits are conducted in a professional and effective manner.

- The internal quality audit results are documented and used for management review meetings by the quality management team.

MONITORING AND MEASURING OF PROCESSESAll processes are monitored and measured where possible as will be described in the process description and necessary actions taken.

MONITORING AND MEASURING OF PRODUCT QUALITY All products are monitored and measured as inspection and acceptance criteria described through the quality controller. Product qualityaudits have also been introduced to periodically ensure that production quality consistently conforms to the standards.

ANALYSIS OF DATA Information gathered on the measurable parameters is analyzed to assess the following;

the General Manager. And as an assistant accounts officer Roofclad limited I was expected of various duties and responsibilities.2.2. DUTIES AND RESPONSIBILITIESDuring my internship several duties and responsibilities were assigned to me and these included;

Using computerized accounting packages like quick books and tally which was just an over view to the upgraded system of ERP to generate reports and system control.

Studying the audit file contents and organizing theclient and intercompany audit file while preparing for the field audits.

Report writing and production budgeting. Collecting audit evidence through vouchering and

agreeing the trial balance figures to the previous audit accounts.

In order to keep the track of all performance of workers in the company employee status analysis is carried out and KPI data entry system is employed. And so I was assigned this work to make sure I takecurrent employ status and record them in the system.

Entering data into the accounting packages of the ERP modules when given source documents such as invoices, payment vouchers and receipts.

Finalizing the intercompany audit files and having drafts sent to the company audits for review.

Preparing management representation letters and confirmation letters.

I was also given responsibility of preparation of daily consolidation reports and cumulative production reports which I posted to the GM every day.

2.3. SUPERVISION LEVEL AND RELATIONSHIP WITH SUPERVISOR Mr. Deepak the GM Roofclad ltd was my direct supervisor who assigned to me most of the work thoughthey were to be monitored under different managers attimes, especially when it came to inventory management and preparation GRNs in ERP of which this gave me wide knowledge on how to deal with several people in the chain of the organizational operations.

2.5. WORKING RELATIONSHIP AMONG TEAM MEMBERS/OTHER STAFFThe working relationship has been perfect although at times it was not easy with the members who were not very cooperative in line with what I was doing and I had the authority to put it right. Good relationship was exhibited through proper communication and chain ofcommand among the staff for example;

3.3. MOST INTERESTING EXPERIENCES At Roofclad ltd, I was taught how to accomplish

tasks in a perfectly and timely manner. There was ahigh level of confidence that was placed in me in correspondence to task execution.

I was also responsible for printing consolidation and cumulative reports and as well as arranging files and record management.

For the six weeks I spent at Roofclad ltd, I had the opportunity to work with auditing department inrelation with PKF, HR management, performed auditing and policy analysis aspects respectively, I met wonderful people. But importantly, I gained hands on experience in this position that interestsme a potential career.

As I look back over the field training, I realize the privilege that I had to work with Roofclad ltd.I was treated as though I was a member of the organization with similar challenging workloads, training sessions, deadlines and most of all a strong level of trust. As an intern, the tendency is to always have someone looking over your shoulder and checking every little detail to ensurethat everything is done perfectly.

During my internship, I was given an opportunity to practically apply my classroom knowledge which made me understand my profession easily. For example I was allowed to attend a budgetary frame work meeting, evaluation meeting and access financial forum which widened my understanding.

While at Roofclad ltd, I was given an opportunity to work in a truly professional environment. The company provided a complete ethical and business work environment, the staff of the company followedprotocol while executing their duties for the organization. The workers were completely supportive in order to equip me with practical knowledge about finance and policy as a professional.

3.4. RELATEDNESS OF UNIVERSITY’S TAUGHT PROGRAMMES TO THE FIELD OF WORK.

There was a high degree of correlation involving in Bachelor of Arts in Development Economics.

Roofclad ltd is a well-organized company thatis structured whereby there are hierarchy positions. In this case finance department, we dealt with different people like the auditors, manager, accounts manager, Directors and this helped me learn how to address such prominent persons with respect but not fear which I leant in principles of management.

It helped me to learn more in communication skills. In the department, we had to hold meetings every after two weeks and whenever someone wanted to raise an issue, there was protocol to be observed and this helped me tolearn how to address people. I had to learn to communicate with them effectively and

efficiently, and this helped me to do it politely, professionally and with etiquette.

Working as an intern in the auditing department at Roofclad ltd, depicts a promising relatedness of fundamental accounting principles (FAP), Business communication skills (BCS), financial economics (FE) and policy programs in the Bachelor of Arts in Development Economics andthe field of work at large sense.For the reasons above, I describe my course as a professional program where theory is grounded into practical issues and there is atight fit between theory and practice.

3.5. CHALLENGES FACED AND HOW THEY WERE MANAGED CHALLENGES

High level of load shedding which slowed the preparation of accounts.

Limited space at work place Language barrier by some factory employees in

the process of taking their particulars. Locating the previous year records which slowed

the entire audit process. I was constrained by time and could not go into

the accounting packages in detail. High cost of transportation and meals. Breakdown in ERP due to updates and repairs of

the system.

HOW THE CHALLENGES WERE OVERCOME Consistent supervision and guidance in training

process helped me to keep on track. A generator was sometimes switched on to reduce on

the impact of load shedding. As regards to limited space, all inters were

relocated to another offices. Pressure impacted on the IT manger to speed up

works of maintain ace for effective ERP operations.3.6. BENEFITES DERIVED FROM FIELD ATTACHMENT

Computer knowledgeI enhanced and gained more computer knowledge as I used different type of packages such as excel, quick books and ERP. This was through entering accounting data and analyzing it under the auditingand policy departments.

Audit experience While working as an intern at Roofclad ltd, I was able to attain some experience in designing audit reports and management letters, client follow up, collecting intercompany audit evidence from previous documents and through vouching.

File arrangementI was able to learn how to organize document files having all the file contents included. I organized several files which gave me the experience that I can use at my future work place.

Report writing I looked at several reports under the audit and policy departments. I gained an experience about

the challenges of compiling such reports and in turn it has helped me in writing this report.

Team and collaborative workI improved and shaped my team work skills while at roofclad ltd. I managed to work with different kinds of new people in this challenging place of work. For example the auditing team, accounting team, policy analysis and fellow interns plus everyone else at Roofclad ltd.

Association and relationGiven the position of auditing assistant trainee under the department of accounting, I was able to learn the skills of association and relating with different kinds of people as well as skills of cooperation.

Record keeping I have the ability to keep financial records and retrieve whenever they are required especially in ERP.

3.7. ADEQUENCY IN UNIVERSITY’S PREPARATION OF STUDENTS FOR FIELD ATTACHMENTMakerere University Kampala provided me with a grasp ofthe basic conventions of a common work plan, grounding in the research and analytical skills integral to my field attachment, enough practice and knowledge to produce results in the field, team work skills and the confidence to appreciate the complex nature of the field.

The university also polished me to develop as a writer by providing me with guidelines and benefits on report

PERPAREDNESS OF THE AGENCY TO RECEIVE AND MANAGE STUDENTS FOR FIELD ATTACHMENTAt Roofclad ltd, I was pleased and thankful upon how interns are received, treated and handled, interns are taught how to familiarize with the place of work, develop plans for the internship and identify major tasks to be achieved, assists in figuring out the requirements necessary for the tasks, regular supervision keeps accomplishment of assignments timely and a high level of confidence is placed in the interns.

Conclusively internship field work at Roofclad ltd has been instrumental in illuminating me onthe outlook of how I now view issues, having had practical experience of the real work place, the problems, challenges, benefits

interest and working with variety of experienced people. I now have a confident foresight of what to expect from my future workplace. It’s good to work as a team, sharing experiences, ideas and knowledge, fundamentallyit becomes the key to intellectual, personal growth and success.

Makerere University has built in me the abilityto analyze problems, approach things in aright way, report them properly look at both sides and walk around issues.

Makerere University has also played important role in preparing students for internship exercise as well as real world of work. It’s for this reason that I found few upheavals during the course of my training as I was able to diligently contain and execute all the tasksas assigned by linking taught theory to practice.Finally, I must say that this field attachment gave me afore test of the job market and am highly optimistic about the future job career given the success of this training.

RECOMMENDATIONS

Students should take up the field training seriously as stressed in the internship manual guidelines because due to its kind, it relates to the real work place for which they will vie after completion of their academic pursue. Definitely, it’s a big challenge to maneuverer through such

complex working situation especially for beginners but surely in the end it hugely pays off considering the benefits in comparison to costs.

Despite the above, in light of my field training i suggest that Makerere university management should foster research and analytical skill, introduce students to features and expectations of work placeencouraging collaborative working, keep promoting internship and attending to editorial problems in report writing, since the above factors are vital to preparation of students for the complex working environment.

Roofclad ltd should act to make the first phases oftraining more conducive and comfortable for students by laying out a step by narrative for students on what to expect, challenges and benefitsboth at the start and during the training. To me, this was the biggest challenge interns face becausewe are always amid a state of confusion in a new environment.

Furthermore, Roofclad ltd should come up with solution of power shortage preferably solar power for the cooperate section or more sophisticated generator through proving a bit expensive in terms of fuel and servicing but it can curb down the consistent power blackouts that hinders with the smooth running of the daily activities of the company.

Overall, I am appreciative of Makerere University in conjunction with Roofclad ltd for having made this internship training of great success.
