Introduction
In this report, the possible project for JP Apparel will be
selected by the project manager then the required objectives and
outcomes of the project will be shown. While implementing any
project there may be some limitations and risks that will be
discussed here also. On the other hand, the project controlling
and managing system will be shown along with some
recommendations. At the end of the report the whole project will
be presented to an audience where the project manager will show
the project effectively.
1. Learning Outcomes 1: Developing Project specification
1.1 Analyzing different factors that contribute to the process of project selection
for JP Apparel
From the different projects and options the project manager has
to select the best project that will provide the best output for
the business and will be conducive to the objectives and goals of
the business organization. So enough time should be given on
identifying the project and selecting the best project.
(Deniels, et al., 2010). While selecting the project there are
different factors they contribute in selecting the project. These
factors are shown in the following section;
i. At the first the full project should be defined considering
what will be the outcomes of the project. Different issues
like the size of the project, strategic importance, required
integration, need for the innovation, required time and
costs are important before selecting the project. On the
other hand, it should be kept in mind that the project
should not be very complex to implement and the project
should be implemented within the budgeted amount (Lock,
2007).
ii. The resources required and the key sub projects and
activities of the project also contribute in selecting the
project.
iii. The entire project should be break down in different small
task and these tasks should be easy to implement by the
organization.
iv. The possible obstacles and risk that may happen in the
future for the project. So if the risks are very high then
the project should be rejected.
v. The business organizational structure also contributes in
the selection of the project. If the organizational
structure is not helpful for the business organization then
the project will be challenging to be implemented.
Here JP apparel should focus on the Information System between
the company and the customers. Compared to other two information
system like information system between company and the suppliers
and information system between company and manufacturers,
Information system for the customers are important as there are
different orders from the different customers and the growth of
the company is increasing. On the other hand it is tough to
control the full ordering and shipping system manually, so the
information system should be developed so that customers can
order through the electronic ways and the company can maintain
the full ordering system. Though the requirement of the
information system for the suppliers and the manufacturers are
required but the suppliers are small in numbers and now the
company should emphasize only on the customers’ information
system as the company is dependent on the proper service of the
customers.
1.2 Developing outline project specifications for the implementation of new
products or processes required for JP Apparel
After identification of the system or project then the company
should develop the best systems or project that will maximize the
outline and will use the resources of the company. Here, all the
project members of the project will be given full freedom to work
and develop the project.
Here, the project manager used the WSM or weight scoring measures
to select the best project for the JP Apparel. WSM is the tool
where different factors and situations are analyzed to select the
best project for the organization (Harold, 2007). all the factors
that WSM considers are whether the project will meet the
organizational goals or the need of the customers and employees,
the required time needed for the project, the resources for the
project and the overall performance of the project (Mullins,
2007). Here WSM was used and the following possible projects were
found by the project manager;

From the analysis of the project timing and the possible risks it
is found that the project 1 is the best to implement the Customer
information system for JP Apparel that is shown in the Gant
Chart. Project 1 will possibly be the best to provide the best
results within the project timing and cost and little risks.
1.3 Producing a specification for the selected project to implement the chosen
product, service or process
Here in the project execution there will be made an efficient
team by the project manager. The entire team member will work for
the project implementation. The project team members will be
trained to work efficiently so that they can work according to
the project type. On the other hand, the require resources will
be collected to make the project successful. There will be
different essential requirements for the project execution and
implementation that are;
Required Data collection.
Technological data base development.
Electronic payment system process.
Web development and connection materials.
Ordering system development.
Through the full project, the project manager will collect all
the required materials and manpower for all of these resources
and requirements of the project. Hence, the project manager will
distribute the full work according to the required activities and
task. Every department will be responsible for its specific
imposed task (Northouse, 2006).
2. Learning outcome 2: Be able to plan for the launch of a project to implement a
new product, service or process
2.1Producing project plan for selected project for JP Apparel
Background
JP Apparel is a manufacturing company that provides high quality
screen printing and embroidery for different school and the
sports team. The company has contract with different board of
education to provide high quality shirts, hats and other wears
where the company has to provide the school logos for the state
championship. Now the company is growing fast and the demand for
JP Apparel is increasing. The full process of the system like
inventory controlling, ordering, shipping, scheduling and
ordering is done manually. It has become tough for the company to
control and maintain the full system manually as there has to
maintain many orders and customers. On the other hand the company
also needs to maintain the track and ordering of suppliers and
manufacturer of JP Apparel. Though there need the three
information system like the information system for the customers,
Information System for the Suppliers and the information system
for the customers, now it is important for JP Apparel to launch
the information system for the customers. This information system
will make the full system to make the ordering system and
controlling the ordering, shipping easier (Northouse, 2006).
2.1.2 Objectives
As the company is growing fast it is becoming tough for JP
Apparel to control the whole ordering and shipping system. So,
there needs a electronic automatic system from where the
customers can order and the company can easily provide the
services. Here the objectives of any project should very precise
and specific so that the company can achieve all of the goals and
the objectives should be to solve the current issues the company
is facing (Cagle, 2003). Here, the objectives of the current
project Information system for the customers are;
To control the whole buying system easy for the customers.
To record all the transaction and collect information
regarding the customers.
To communicate with the customers and other employees for
the better services.
To help the customers find out the suitable products and
other necessary information easily. This Information system
will help the customers to know whether the company will be
able to provide the services easily.
To provide more augmented services for the customers and
increase the number of customers. Information system will
help JP Apparel to identify the required problems regarding
the products and others.
To promote the products to the customers easily and have
more orders. On the other hand the information system for
the customers will help the customers to select different
design from a lot of options.
These are the objectives of the project and the project 1 is most
suitable and effective to meet the objectives. The project
manager has to keep in mind that the project should be developed
so that the project can meet the required objectives (Williams,
2007).
2.1.3 Required Methods and activity
While developing any project the project manager has to follow
some methods and make the specific activities to execute the
project work (Cagle, 2003). Here, the project manager will make
a professional team to execute the project work properly. On the
other hand, this team will work under the guidelines of the
project manager and the project manager will define the possible
methods to do the project work. Here for the Information System
for the customers following methods will be followed to develop
the project;
Organizing different workshop for the project team member
and train them for the effective project execution.
Collecting the information from different sources for the
project development.
Developing the programs to execute the project work.
Coordinating with different stakeholders including
employees and managers.
Providing the information to the customers and different
school and sport centre to inform them regarding the
information system and its benefits to them.
2.1.4 Expected Outcomes of the Project
Before project initiating in the planning stage the project
manager has to define the possible outcomes of the project then
he will lead the while tem toward the outcomes and the objectives
of the project (Freeman, 2010). Here, the expected Outcomes of
the Project are shown in the following stage;
Improving the inventory management system.
Improving the ordering system.
Developing the payment system for the customers.
Making the shipping system easier.
Developing the invoicing system.
Making the scheduling system.
Making all the process of the product easier and faster.
All of these outcomes are expected from the Information
system and the project manager will be responsible to make
the system and develop the project considering the possible
outcomes.
2.1.5 Targeted Audience for the Project
For the project there are always some target audience and the
project should be developed considering the audience. Here the
target audience for the Information system of JP Apparel is both
customers and the employees. Through the project the customers
will be able to collect the nest design and logos for them and
they will order in the electronic way. On the other hand, the
employees and the manager of the company will be able to control
the full inventory system and other process. As there are
different big order and all the orders have to be scheduled and
shipped properly hence the employees face difficulties to control
the full system. So, the full project will be executed and
developed for the employees and the managers of the company.
2.1.6 Technical Partner for the project
The technical partner of the project is needed to develop the
system. The project manager should make a contract and develop
the system with the technical partner. Here the Technical
partners of the Information System for the Customers of JP
Apparel will be Tchnoaid Ltd who will provide the guidelines and
will be responsible to observe the whole technical issues of the
project. As it is a information system project, there need more
technical support so the company should be very cautious
regarding the technical partners (Freeman, 2010).
2.1.7 Possible project Risks and Constraints
Whatever the project system is there are some risks and
constraints of the project and the project manager has to be
ready to face these issues (Chandra, 2008). In this project the
following constraints and risk may occur;
Resources are limited as the company has provided a limited
amount of money £35000.
The project timing is also constraint, the project managers
are given only 4 months to start and implement the project.
The manpower is also limited as here a total of 12 men will
be given to make the project team.
The technological constraints as there are very little
knowledge of the manager.
Another risk may be the removal of funding from the project
while the team is developing the project.
The resources available are inconsistent.
The project plan may change because of the technological
development.
Lack of coordination among the employees and the members.
2.2 Match appropriate Resources to the Project
For the project development and execution following
resources are needed
Human Resources
For the project development the most important resource is
the Human resources as different human resources like the
employees, project member are the key to execute the project
works (Bennet, 2009). Here, the project manager is the most
important person who will lead the project work and run the
project. On the other hand, there were given 12 members to
develop the project work. These members will be guided by
the project manager. The project team will be diligent for
the project execution. Ultimately the project manager will
be responsible for the project implementation.
Financial Resources
Here the project manager will be given a total of 35000
pound to develop the project. The project manager will
allocate the amount to different ways. The project manager
will buy different equipment needed for the project
development and execution.
2.3 Cost all resources required for implementing the project
Project budgeting is shown in the following stage;

2.5 Plan an appropriate strategy for the implementation of a project
After the initial planning here the project manager has to plan
on how to implement the full project. This is the most important
task as the project success is mostly dependent on this stage
(Lewis, 2009). Here the project manger of JP Apparel will perform
the following strategy for the project implementation;
Issue management strategy: while the project is going to
finish there may arise some issues. The project manager will
solve all the possible issues related to the project. Here
the information system may face different issues like the
technological change, information leakage etc.
Project Review: the project manager will review the full
project. All the activities of the project will be properly
reviewed and all the information should be collected
regarding the project (Bennet, 2009)
Project control: after reviewing the project the project
manager will have to control the project if there are any
faults found. On the other hand the project manager will
have to change the strategy if required.
Scenario analysis: the project manager will analyze the
scenario for the possible future problems and issues. The
best options will be selected by the project manager.
3. Learning outcome 3: Be able to implement the project
3.1 Evaluation of any obstacles that can hinder implementation of the project in
accordance with an agreed specification
While developing the project and implementing the project there
may be some problems that can create obstacles for the project
manager. Whatever the problems and obstacles the project manager
and the project team will be responsible for the whole project
implementation (Roland Gareis, 2006). Here, the following
obstacles may arise while implementing the new project for the JP
Apparel;
The team member may not work properly.
There may be many lack of coordination among the employees
and the team members.
The company may shutdown the planning and cancel the project
The sudden change in the technology may create problems.
Different sponsors and technical partners may not work
properly according to the contract
3.2 Developing appropriate measures to monitor and evaluate progress and
outcomes
For the project monitoring and evaluation the following steps
should be followed by the project manager;
Monitoring the project implementation: The full project
should be analyzed whether the project was implemented
according to the initial planning.
Monitoring the project outcomes: the project outcome should
be evaluated with the initial required expected outcomes. If
there is any dispersion then the project manager will find
the reasons.
Evaluation of the project impact: Here after project
implementation the impact of the project should be
monitored. It has to be compared whether the project has the
equal impact and developed the inventory controlling system.
3.3 Evaluating issues foreseen in monitoring the implementation of the project
After the project implementation the project manager will look
after the issues that have created the problems in the project
execution. Here, the objectives of the project should be
evaluated and all the issues should be managed properly (Lewis,
2009). A committee will be made to monitor the full information
system and they will report to the project manager regarding any
issues may arise. Here, in the implementation stage, all the
activities of the project should monitored properly and all
possible discrepancy of the project will be reported. The
discrepancy may arise but the project manager will have to face
the problems. But after implementation, the manger has to change
the structure to bring the project in the right track.
4. Learning outcoe4: Be able to evaluate the outcomes of a project
4.1 Analysing the outcomes of the project in terms of the original project
specification
While executing the project, the project manager will make the
regular progress report of the project to different stakeholders
like Managing Director. The report may be made monthly to make it
clear that every outcome of the project is coming according to
the planning. The project outcome should be according to the
original specification (Dinsmore, 2010). Because of the regular
project progressing report the project manager will be able to
identify whether there is any lack of outcomes. All the outcomes
of the project will be compared with the original ones and if any
outcome is not consistent with the original outcome then the
project manager will find the ways to solve the problems (Roland
Gareis, 2006).
4.2 Evaluating the outcomes of the project
Here the project should be evaluated in terms of the project
outcomes. The purpose of the project outcome evaluation is to
find out whether the outcome of the project is desired outcomes.
If the outcome if not the desired outcome then the project will
be considered unsuccessful (Gareis, 2006). Here to evaluate the
project the possible performance indicators should be set like
the following;
Outcome should develop the ordering system of JP Apparel.
Project should control the full inventory system.
The project should help the customers in buying online and
ordering the best products among different options.
JP Apparel will be able to schedule and order the project
properly and easily.
These are the required outcomes that new project information
system should provide to JP Apparel. The outcome will be almost
to the targeted performance or outcomes.
4.3 Making justified recommendations for improvements to the project
As Information System is important for JP Apparel to control the
inventory and manage the increasing number of customers, the
project is very crucial for the company. Following
recommendations may work for the best output of the project;
The company should appoint a project manager with
technological skills and leadership skills.
The project manager should make the best team who also has
the technical skills.
The project manager should focus on the current problems of
the company for which the company is taking the project.
The project report should be made on the basis of every
progress of the project.
5. Learning outcome 5: Be able to present the outcomes of a project
5.1 Produce a report of all project procedures used
Here the project procedures have been used and explained in the
assessment Criteria 1 to assessment criteria 4. So for this
reasons this is not shown again here.
5.2 Presenting the outcomes of the project to an audience using an agreed format and appropriate media.
The project presentation is important for the project manager.
All the outcomes and scope, objectives and aims should be
presented effectively by the project manager. Here, the project
manager will produce the project report to the audience in the
following ways;
i. Purpose and objectives of the project: Here the project
manager will outline the possible objectives of the project.
In this project the objectives were;
To control the whole buying system easy for the customers.
To record all the transaction and collect information
regarding the customers.
To communicate with the customers and other employees for
the better services.
To help the customers find out the suitable products and
other necessary information easily. This Information system
will help the customers to know whether the company will be
able to provide the services easily.
To provide more augmented services for the customers and
increase the number of customers. Information system will
help JP Apparel to identify the required problems regarding
the products and others.
ii. Methods and Activity: in this section the project
methods and activity will be discussed. Possible all methods
will be shown here. The methods and activities are shown in
the Appendix 1.
iii. Expected Outcomes: here the project manager will
provide all the expected outcomes of the project. The
expected outcomes of the project are shown in the Appendix-
2.
IV. Project Assumptions and Risks: All the assumptions and
risks of the project will be discussed. What were the
assumptions and what risks the project may face will be
discussed. The possible risks and constraints are shown in
the Appendix-3.
This is how the project manager will present the project to
any audience. The project presentation depends on to whom
the project is being presented (Daft & Marcic, 2011).
Conclusion
From this report it is found that, JP Apparel should focus on
developing the customer information system though the company
needs other information system for manufacturers and suppliers.
As the customers are increasing it is tough for JP Apparel to
control the ordering system and other controlling. SO Information
system should be developed. The project manager is the only
person to monitor and implement the project. So, the project
manager will implement the project considering the proposed time
and costs. So, the project will be successful if all the issues
and obstacles can easily be managed.

While developing any project the project manager has to follow
