Table Reservation The Table Reservation System allows configuration of all locations of the property where

guests can reserve tables, such as restaurants, bars and lounges. Configuration includes setting up opening hours for the restaurants, table definition with available seats

(minimum and maximum number of guests per table) as well as configuring setup and stay times. Once configuration is done, table reservations can be completed from the

drop down menu Table Reservation or from the Reservation Options menu by users with corresponding user rights. It is also possible to assign preferred restaurants and

tables to customer profiles. Since Suite8 Version 8.9.0.0 the table reservations can also

be completed via Suite8 home page with an active license for Suite8 home page. When activating the flag: Don't use Table Reservation captions under Global

Setting->Generic 4 tab, the table reservation system can be used for resource reservations, such as parking lots or other service the property might offer.

Table reservation is subject to the license code Table Reservations. The drop down

menu and configuration options will then be called Resource Reservation.

Feature Availability This feature is only available in the Professional Edition and is fully released with Version

8.6.1.0. It has been enhanced since with many new features. Table reservation functionality is controlled by the license Table Reservations.

Setup

Miscellaneous->License->Sub license Enter a valid license code for Table Reservations.

Global Settings->Generic4 tab This option is used to define defaults for the table reservation drop down menu, such as default reservation color for the table reservation and default color for day messages

display.

Field Definition

Default reservation color Defines the default color, table

reservations or resource reservations are displayed on the availability and restaurant

plan

Day message color Defines the color for day messages

Snap to This option defines the default time intervals when creating a reservation from

the table reservations or resource reservations availability dialog boxes. For

example if snap to is set to 15 minutes when creating a new reservation from the

availability grid by selecting a time range

in the middle of the field 12.00 and dragging it to the end of 13.00, the

proposed start time for the new table reservation is 12.15. The time interval is

configured under Configuration->Table Reservation->Configure Time

Intervals. All defined time intervals marked as ‘snap interval’, are available for

selection.

Default Confirmation The default confirmation defines the default template used for confirmation

letters. This template is used as well when

sending a confirmation for table reservation via Suite8 home page.

Use as resource reservation Defines if the Table Reservation System is

used for Resource Reservations. The menu options for Table Reservation will then

be called Resource Reservation. Resources are services the property offers

to their guests such as sun beds or parking lots which can be configured and

administered the same way as Table Reservations.

Table number is mandatory If activated, it is mandatory to allocate a

table number when making a table reservation.

Reservations are shareable by default Defines if the shareable option is selected

by default when creating a new table reservation.

Profiles are optional Defines if it is mandatory to link a profile

to the table reservation or not

Use Quick Profiles Defines if table reservations can be made without creating a profile in Suite8, but

using a quick profile instead. When entering a table reservation with this flag

activated, only the first name, last name

and telephone number need to be entered on quick profiles and the profile is not

stored in Suite8 under Customer Profiles.

Reverse Axes on Availability Screen Defines the layout of the axes on the availability dialog boxes, by default the

table numbers/resources are displayed on

the vertical axis and the time on the horizontal axis. If this option is selected

then the Reverse Axes check box on the

availability is selected by default when opening the availability screen and the

axes are reversed.

Users->User Definition->Rights->Configuration Assign rights for table reservation to all users who should be able to book and view table reservations under Users->User Definition->Rights->Table Reservations. The

following rights are available:

Assign the right Table reservations under Configuration to users who should be able

to access and change Table Reservation configuration.

Configuration->CRM->Attribute Categories Define Attribute Categories for Table Reservations:

The corresponding attributes are defined under Configuration->CRM->Marketing Info->User defined. Attributes are used for example to assign smoking and non-

smoking tables. All attributes where Table reservation is selected on the attribute

category, are available on the table setup. The attributes are then assigned to the tables on the table definition.

Configuration->Table Reservations->Configure Time Intervals This option is used for configuring the time intervals for the table or resource reservations. The time interval can be minutes, hours, days, weeks or month and each

time interval can be assigned to be used as snap interval. These are then available for selection under Global Settings->Generic4 tab->Table Reservation->Snap to. On

the Availability Grid and Restaurant Availability, View by time interval is available

allowing viewing the availability by the selected time interval.

Select Web tab to define how the restaurant information should display on mobile devices and Suite8 home page:

The field Threshold defines the maximum number of seats which can be booked via Suite8 home page for the selected restaurant.

Select Pictures tab to link pictures for the display on Suite8 home page and mobile devices or on the advertisement ticker for Suite8 home page:

Define Restaurant Opening Times Define opening hours per restaurant under Configuration->Table Reservations->Restaurants Opening Times. On the opening times setup, the default start time for

the availability display is defined:

Table Reservation Drop- Down Menu

Reservation Search Select this option to search for a specific table booking or to view all table reservations.

New table reservations can be entered and existing ones can be selected for editing,

cancellation, copying or printing. Tables can be assigned by pressing Show Assignment button, the left dialog box displays then available tables, when selecting Show All

Restaurants on the Assignment dialog box, tables from all restaurants are displayed, using drag and drop functionality allows assigning tables to reservations.

Edit a table reservation When editing a table reservation, all information is displayed, on the bottom of the dialog box, the html info is available and the links on the html file can be used for editing for

example, profile, reservation or event:

Table Search Select this option to open table search. Table search query includes search by All attributes, At least one attribute or Ignore Attributes and selecting the attributes

from a list box.

New Reservation Select this option to enter a new table reservation, if a new reservation is made with an existing profile and reservation, the table reservation is also available from the profile or

reservation. If an event is linked, the table reservation is available when editing the event. The event dialog box can be opened from the Space Occupancy by pressing

Events button from the table reservation. If a table reservation is made without links to

a reservation or profile and no profile should be created in Suite8 the option Quick Profile allows entering Last, First Name and Phone number of the guest. Pressing Add

button links the information to the table reservation.

Availability Select this option to view table availability by restaurant. By selecting a reservation or hours, the table reservation can be cancelled or a new reservation or new waitlist

reservation can be entered using the right mouse short cut menu. The default start time for the availability display is defined on the Restaurant opening times configuration.

Clicking on the Diary Icon next to the restaurant opens the diary of the selected

restaurant:

Select Show not assigned reservations to view not assigned reservations. Select Show Waitlist to view reservations on the waitlist. Drag & Drop functionality can

be used to move the table reservations.

Day Messages Select this option to enter Day messages, such as specials of the day, themes or special messages by restaurant, day messages are displayed on the availability screen and

restaurant plan. The color for the day message display is defined under Global Settings.

Restaurant Plan Select this option to view the restaurant plan, assign reservation and view the availability at one glance:

The table setup can be changed by pressing Setup button. This is only available to users

with the user right Table Reservation under Configuration. When hovering with the

cursor over a table reservation, a box with information about the table reservation, such as Capacity, Occupancy, Available, Contact, Time, Service Info, Number of Adults and

Children is displayed.

Customer Profiles

Edit Profile When editing customer profiles, restaurant and table preferences can be added:

When entering a reservation for the profile, the 1st preferred restaurant from the list will

be proposed on the reservation template.

Reservations

Edit Reservation If preferred restaurants and or tables have been entered, it is indicated on the edit

reservation screen with Pref Rooms, selecting this will open the Preferred Rooms/Categories/Tables and Restaurants dialog box.

Options Both Option menus: reservation navigator and edit reservation, allow creating new or

viewing attached table reservations:

Selecting Create New, opens the new table reservation dialog box.

Selecting Show Attached, opens the table reservation search dialog box.

Table Reservation Series If the reservation is for more than one night, it is possible to create Table Reservations

for each day of the reservation, by selecting Table Reservation->Create New and then selecting Set dates or with the option View Attached by selecting New Series

CCM->Meeting Planner If CCM license is active, Restaurant Availability can be viewed from the Conference Diary

(F3) by pressing Rest. Avail. Button. Table Reservation is accessible when editing an event by pressing Table Res. Button, to show linked table reservations or creating a new

table reservation. On the Availability dialog box, unallocated CCM bookings are indicated as a total on the bottom.

If an event with the status ‚tentative' is linked to a table reservation, it is indicated with

diagonal lines on the table reservation availability and restaurant plan.

If a function room which is used in combination with table reservations, such as a restaurant or bar, is blocked via CCM, the function space is displayed as blocked on the

Restaurant Plan and Availability. The message: Attached function space is fully occupied is displayed when entering a new table reservation and pressing 'OK' button.

For printing the table card, the single reservation print is used, usually this is designed

according to the properties requirements. The section role for this is Table Reservation

Single Print. The following HTML reports are available:

Tablereservation_Status.htm The section role for this report is Table Reservation List.

Suite8 home page

Configuring defaults Defaults for Suite8 home page and table reservations are defined via the file

global.asax located in the V8 Client directory, created upon installation of Suite8 home

page and the maximum number of persons allowed for table reservations via Suite8 home page is defined in Suite8 under Configuration->Suite8 home page->Set Up.

Parameters for table reservation in the file global.asax

hotel.maxDaysFromTodayTabRes = 90; Defines the days in the future table reservations are allowed for. In this example 90 days from today.

hotel.sendTableReservationConfirmation = true; Defines if an email confirmation letter is send for the table reservation. The template defines under Global Settings-

>Generic4 tab, default confirmation is send. hotel.ShowTableReservations = true; // Defines if the tab: Show Table reservation

is available on Suite8 home page when selecting My Account page (default value is false)

hotel.daysOfTableReservationHistory = 60; //Defines the number of days to limit

table reservation history display to. The default is 30 days

Suite8 home page The table reservation is called via the TabResInquiry.aspx page. On a localhost

connection this is as follows: 'http://localhost/V8Client/TabResInquiry.aspx'. This

example is for a localhost connection. Properties have to replace ‘localhost’ with the address of their Web Site:

After selecting the conditions and restaurant, the register page is displayed. After registering, the review booking dialog is prompted:

Additional notes can be entered in the Notes field, pressing Order button, submits the

table reservation and prompts the booking confirmation:

Selecting My Account shows future and history table reservations, if the flag:
