REGISTRATION At the beginning of each semester, every student shall register, for the courses he/she intends to pursue during the semester along with prescribed fees on the dates to be notified. The choice of courses for which a student can register is limited to the courses being offered in the semester and also the prescribed curriculum of the Programme. The semester-wise structure of the curriculum shall show clearly the normal load for which a student is expected to register during various semesters. However, the Institute may permit a student to register for one additional course to either enrich his/her knowledge, or to clear the backlogs.

The registration procedure shall be completed when a student has:

Filled in the registration form mentioning clearly the courses intended to be pursued during the semester and countersigned by the Dean (Academics) / Director.

Paid all the outstanding dues including the dues of the current semester. At the end of the semester, a grade is awarded, in a course, to only those students who have registered for that course.

LATE REGISTRATION

A student who fails to register on the prescribed day of registration, due to some compelling reasons, may register later within 15 days of registration day on payment of late registration fee Re. 1000.00. CANCELLATION OF REGISTRATION The registration of a student, from all the courses, may be cancelled automatically if he/she is absent for a period of three or more weeks, at a stretch or otherwise, during a semester. The registration, in full or part, of a student may also be cancelled on disciplinary considerations.

Sambalpur University Institute of Information Technology (SUIIT) Page - 6

PROSPECTUS 2012- 2013 CHANGE OF STREAM (IN CASE OF B. TECH STUDENTS ONLY)

Change of stream is permissible after the second semester and before commencement of classes of third semester subject to securing 8.0 CGPA or more in the first year and availability of seats. AUDITING OF COURSES

In addition to the courses for which a student is registered, he/she may also audit a course with the permission of the Instructor-in-Charge of the course, provided there is no time table clash. The student is not supposed to register for such a course. Therefore, the Grade Report will have no indication, whatsoever, about the courses audited by a student. However, the Instructor-in-Charge of the course may issue a certificate to the student on successful completion of the course. TEACHING The medium of instruction shall be English. Only approved courses shall be offered during any semester. Any approved course, whenever offered during a semester, shall be conducted by an Instructor-in-Charge of the course. Once the Instructor-in-Charge of a course is designated, he/she shall be responsible for teaching the course, keeping the suggested course contents in mind, setting the question papers and holding the examinations as per schedule, evaluating the performance of the students, and awarding the letter grades at the end of the semester. Normally, the letter grades awarded to the students registered for a course shall be submitted by the faculty within the prescribed time limit. EVALUATION

The evaluation of students, in any course, shall be a continuous internal process. Normally, the performance of students in the mid-semester examinations, quizzes/short tests, tutorials, assignments, laboratory work, and end-semester examination shall be used to award the letter grade at the end of the semester. The relative performance of students shall be considered while awarding the letter grades. The end semester will carry 60% weight while the rest 40% weight is given to internal assessment tests .The Instructor-in-Charge of the course shall announce the evaluation strategy (declaring the weight of mid terms, and other assignments with at least one written test) at the beginning of the course. The mid-semester examinations and the end-semester examinations shall be held on the dates announced in the Academic Calendar.

IMPROVEMENT OF GRADES

A student, who obtains an 'E' or 'D' grade in a course, may choose to appear that course in any subsequent semester only once to improve his/her CPI. Whenever a student registers for improving a course, the superior grade shall be used for the calculation of the CPI (even if the student obtains a worse grade on repetition of a permissible course). The maximum number of credits for which a student can register in any semester includes such courses also. However a student will be allowed for maximum four papers annually for improvement, before the commencement of next academic year. All improvement examinations will be held once in a year immediately after the summer vacation. REPETITION OF A COURSE

A student will be required to repeat the course if he is not successful in the improvement examination. A student, who obtains an ‘F’ grade in a compulsory course, must repeat the course in some subsequent semester(s) till he/she obtains a grade ‘E’ or better in that course. A student who obtains an ‘F’ grade in an elective course, may either repeat the course in some subsequent semester, or else substitute the course by some other elective course. Thus, a student who gets an 'F' grade in any course does not earn any credits for that course. Whenever a student registers for repeating a course, the earlier grade shall be ignored and the grade obtained on repetition shall be used for the calculation of the CPI (even if the student obtains a worse grade on repetition of a permissible course).

Sambalpur University Institute of Information Technology (SUIIT) Page - 7

PROSPECTUS 2012- 2013 MAKE-UP EXAMINATION

The concept of make-up examination is a facility which is meant to help deserving students. The make-up examination cannot be demanded as a matter of right. If a student is not able to appear in a mid/end semester examination, due to valid reasons, he/she may apply to the Dean Academic with supporting documents through the Course Teacher. If convinced of the reasons given by the student, the course teacher may arrange a make-up examination with approval of Dean Academic. However, when the make-up examination of a student, due to convincing reasons, has not been arranged within the time limit prescribed for submitting the letter grades or a student has not yet completed a minor part of the course requirement, but has completed the other parts satisfactorily shall be awarded as Incomplete Grade and the Incomplete Grade shall be treated as back paper. He/she must repeat the course in subsequent semesters till he/she obtains a grade ‘E’ or better. Usually make-up examination should be avoided by the Course Teacher unless the case is very genuine. SEMESTER PERFORMANCE INDEX (SPI)

The SPI of a student is a numerical indicator of his/her academic performance during a semester. The SPI of a student is the weighted average of the numerical equivalents of the grades earned by the student in a semester, the weights being the approved units of the respective courses. CUMULATIVE PERFORMANCE INDEX (CPI)

The CPI of a student is a numerical indicator of his/her academic performance in all the courses that he/she has registered up to and including the last completed semester. Whenever a student is permitted to repeat or substitute a course, only the new grade is used in the computation of CPI (the original grade is ignored). GRADE REPORT

At the end of each semester, a copy of the Grade Report is issued to each student. The Grade Report incorporates the list of all the courses taken up to the last completed semester along with the grades obtained in each course. WITHHOLDING OF GRADES

The Grade Report of a student may be withheld for various reasons. In case there is a case of indiscipline pending against a student, his/her Grade Report will be withheld. The Grade Report of a student may also be withheld if he/she fails to clear the dues pending against him/her, including mess dues.

LEAVE OF ABSENCE

a. Students are entitled to avail the semester breaks as prescribed in the Academic Calendar. The registration of a student is cancelled if he/she is absent from the Institute for more than 21 days, at a stretch, during a semester even on medical grounds.

b. A candidate shall be required to attend 75% of lecturers, tutorials and practical classes offered during the year. Condonation of attendance may be granted by the Academic Advisory Committee only to the extent of 15% in exceptional cases.

A student, on authorized medical leave, is required to submit a certificate from a Registered Medical Practitioner to the effect that he/she is fit to resume his/her studies.

N.B.

Details of the procedures of improvement exam/repeating a course / evaluation methods / letter grades/SPI and CPI calculation and other academic and examination matters is available in SUIIT Guidelines. GRADING SYSTEM

Currently, six letter grades shall be used to evaluate the performance of students in each course. These six letter grades and their numerical equivalents on a 10-point scale are given below.

letter Grades A B C D E F I Numerical Equivalents 10 8 6 4 2 0 Incomplete
