Chapter 1 Introduction 1.1 Background Company asset is value from something that is owned by a company. In large company, usually it has so many assets that must be controlled in terms of the use and storage. PT Bayer Indonesia has a number of assets with 9500 ± assets and will grow continuously every month. Its assets consist of IT assets and non-IT assets which have various categories which will be explained in the next sub-chapter. Because so many assets owned by PT Bayer Indonesia, the process of data collection is very important to do. This data collection is carried out by large-scale data that requires an enterprise asset database system that can be accessed by all employees of the company. Therefore, PT Bayer Indonesia has a corporate asset database system called e-Asset that can be accessed by all employees. Chapter 1 Introduction

1.1Background

1.3.2 Benefits1. For PT Bayer Indonesia, a report of an internship can

provide an alternative view of related e-Asset system, soit can be a material consideration in improving theeffectiveness of the management of its system.

2. For Bakrie University, report on the internship activitiesare expected to provide feedback on the CorporateInternship program of the academic year 2014/2015, so itmay be a matter of evaluation to measure the success ofthe implementation of the Corporate Internship program andfor future improvement of the program.

3. For the author, this report will be instrumental in thedelivery of the outcomes of the internship activity (e-Asset Management) to the IT Department.

4. For the reader, the report of an internship as a referencefor activities other relevant observations.

Chapter 2 Company Overview

2.1About Bayer in Indonesia

PT Bayer Indonesia is a global enterprise with corecompetencies in the fields of health care, nutrition and high-tech materials. The company’s products and services are designedto benefit people and improve their quality of life. At the sametime Bayer creates value through innovation, growth and highearning power. As the core company of Bayer‘s operations in the country, PTBayer Indonesia produces and markets a broad range ofpharmaceuticals and over-the-counter products, as well asproducts for the agricultural industry. There is a plant in

Surabaya for agricultural chemicals, and a plant in Cimanggis forover-the-counter and pharmaceutical products, which are marketedin the country and also exported to other Asia Pacific countries.

PT Bayer Material Science Indonesia (BMSI) is a companyincorporated under Indonesian laws and is engaged in themanufacture of polyether, polyols and urethane chemical for saleto the domestic and overseas markets. The company is also engagedin the purchase of finished goods for resale from Bayer groupcompanies and in agency services to Bayer Group companies.

2.2Mission and Values2.2.1 Missions

2.3About Bayer Group PlatformThe Bayer Group Platform unites all services necessary forthe smooth operations of the Country Group. These includeHuman Resources, Law, Patents and Compliance, Finance andLegal Entity Controlling, Accounting Platform and Tax,

Procurement, Communications, Corporate Security andInformation Technologies.

Bayer Group Platform (BGP) – Information Technology

The Information Technologies department main scope is todeliver IT services to ensure proper function to the businessfunctions and proper support to the users to perform theiractivities. It contains of infrastructure, applicationdevelopment, IT demand and IT help desk as shown in theorganizational chart below.

Chapter 3 Tasks and Activities3

3.1 Daily Tasks and Activities

During the internship, the author is responsible for themaintenance of the existing data on the e-Asset system with thefollowing description:

Theme : Management of the data on the e-Asset

Job Description :

- As e-Asset admin (input, delete, edit and assignassets)

- Checking data reliability - Barcode asset

3.2 About e-Asset System

e-Asset is a web-based system using intranet technology that

serves as the manager of a company asset data. It consists of IT

assets and non-IT assets. IT assets have various categories, such as

laptops, desktops, printers, blackberry, Iphone, Ipad, IPT, servers,

switches, access points, projector, monitors, handy cam, etc. as shown

in the figure below.

Meanwhile, non-IT assets data are not divided into several

categories. That’s because most assets are categorized as IT assets.

Meanwhile, other assets are only differentiated by class, such as:

furniture, lab equipment, machine & equipment, etc. (see figure 4).

In e-Asset, admin can perform a variety of activities, that isinput assets, edit asset, assign assets to users, view an asset, andview the history of the use of the asset (look at figure x). Whenopening e-Asset, admin will be shown the form of eight-tab displaywhere it is eight key features that can be used by admins to monitorthe assets, as shown in figure x. Generally, the components of e-Assetcan be seen in diagram 2.

E-Asset built since May 2013. However, because there are still a lot of data that is not valid, until now, e-Asset has notbeen allowed to be accessed by all employees and still used exclusively for the IT division. In addition, when the development of these systems, there are several obstacles perceived by admin:

1. The change of the system (May 2013 - August 2014).

2. Provision of asset ID of IT assets is not carried out by

the IT department. However, asset ID number obtained from

the Accounting so sometimes there IT assets in the data

that should be listed, but not listed. Finally, the admin

must verify to check the truth of any data and it needs

more times to do correctly.

3. Sometimes, factual history of user who takes asset/s is

incompatibility with the existing data in the system.

3.3.2 Activity1. Input Data

The process of procuring an asset at PT Bayer Indonesiais divided into two types, non-IT assets and IT assets.Meanwhile, the author only served to make the management of

data on IT assets only. For more details, asset procurementprocesses at PT Bayer Indonesia can be seen in the diagrambelow.

Data inputting process is conducted by the admin if thereare new assets coming (usually once a month or as needed).Source of data to be input by admin derived from Accountingand IT Support. Data sources are derived from accountingdata consist of asset ID, asset descriptions, purchasedetails, and user who will use the asset. Meanwhile, thedata derived from IT Support is a specification of the ITAsset data itself, such as: Mac Address, Serial Number, andComputer Name.

The process of data input into the system there are two

ways: by uploading a file asset in the form of a Microsoft

Excel file or input one by one into the system. To upload a

file, a file that is uploaded must be in accordance with the

existing template (look at figure x).

system through the "Upload" tab as shown in the figure

Besides, it can be done through “Input Asset” tab by

input asset data one by one to the system as shown in the

figure below.

2. Edit Data

Data editing process is managed on the "Edit" tab.To edit an asset, admin must first enter the asset IDnumber, mac address, barcode, or serial number of assetto be edited. After finding desired asset, admin canedit asset data and then update it into the system.

3. Assign Asset to User

Assigning asset can be managed in “assign” tab. It is the

process of granting a user against each asset. Firstly, admin

inputs user ID and its sub-asset then click find asset. After

that, admin finds employee in search finder. After user is

selected, admin assigns the selected user to its asset.

Finally, asset has been assigned and status user is

automatically changed to active.

User who has been assigned has two kinds of status, active

and de-active. Active user is user who is using asset that has

been assigned to him/her. Meanwhile, de-active user is user

who are not using asset while he/she has ever been using

previously. This process leads data to enter into history

table in database so that admin can view the entire asset’s

user in “history” tab.
