Toshiba Business Solutions (USA), Inc. (TBS) is pleased to present the following response to University of

Central Florida’s (UCF) Invitation to Negotiate. The purpose of this proposal is to enter into an

agreement with a vendor to provide a framework to manage distributed copiers/multi-function devices

(MFD’s), vend copiers, and UCF Print and Digital Communications production equipment at the

University. In addition, our objective is to implement a strategic plan where TBS can accomplish the

goals and objectives of UCF.

The primary goals of this proposal are as follows:

• To reduce college’s number of redundant devices; desktop printers and fax devices;

• To lower overall cost-per-copy by pooling all monochrome output;

• To provide feature-rich equipment;

• To maintain or exceed current service levels being provided to the college’s internal customers.

As your current partner for this service, TBS understands the complexity of servicing UCF. We are

positioned to recommend a multi-function replacement strategy that compliments the University’s

current needs and maximizes cost effectiveness. Our service methodology has continued to enhance

over the past years and our knowledge is invaluable when it comes to recommending appropriate

replacement units and managing a successful implementation plan. We have a dedicated team of

technicians and administrators that currently work hand and hand with UCF personnel to provide great

customer service.

Elite partnerships with HP and Lexmark and strategic relationships with other equipment manufacturers

expands Toshiba’s overall product line-up and strengthens our capabilities. TBS is currently Toshiba’s

Top Lexmark Sales and Service Subsidiary in the United States. They are also Lexmark’s top authorized

sales and service dealer in the State of Florida. Currently, TBS can provide on-site service and

consumables for over 700 models of printers.

Achieving long-term value from your Provider, starts when you are able to focus less on the cost of

printing and more on the total cost of doing business. By utilizing TBS’s solution driven approach to

monitor printing, encourage sensible use and find pain points, UCF will be able to reduce pages printed

and improve the overall Total Cost of Ownership.

TBS has the financial strength, company infrastructure and the necessary experience to assist UCF with

the output management and implementation of multi-functional devices and printers. Our experience

with large scale printer and copier fleets together with an understanding of integrated Software

Solutions, allows us to have a true understanding of your initiative. Over the years, TBS has assisted

Electronic Auditing

Included in our offering is access to our Global Services Portal. Through this secure portal, Toshiba

maintains information about every managed asset including make, model, location, total counter,

periodic usage, service history and disposition (i.e. keep, dispose, move, etc.) This information is

managed in a web portal that serves as an information hub, providing robust reporting and asset

tracking services, 24/7/365 via a secure and convenient website. Through this customized portal, UCF

will have access to asset data reports for the entire company, for a particular site, or for a particular

model.

Using GSP, UCF will be able to monitor, track, and report all levels of service metrics by site, location,

and model. These reports will be available to administrators 24 hours a day, seven days a week. Based

on the Toshiba product you choose and the configuration of the product, the following types of

information and capabilities may be available.

The Customer Reports section includes the following areas:

• Service Reports –Detailed view of service history and metrics

• Usage Reports – Detailed view of device counter and usage data

• Population Reports – Detailed view of device locations throughout the enterprise

The Customer Content section includes the following areas:

• Contract Pricing – Bulletin board for contract and/or pricing information

• User Reference Materials – Bulletin board for device information, service manuals, operating

posters, training materials, and other useful topics of client interest

• The Create Service Tickets section allows you to place service tickets via GSP.

• The Online Catalog is an e-commerce section that allows you to purchase a variety of online

catalog products such as supplies and equipment.

• The Fleet Management section allows you to gather information about your fleet, check the

status of an equipment order, create move requests, and check service billing.

Remote Diagnostic Tools

TopAccess offers real-time device management and displays jobs status from any network computer. As

soon as any event occurs, such as when paper or toner runs out, or whenever maintenance is required,

it will instantly alert the user. In addition, it also displays the job status, allows for templates registration

and address book setup.

Administrators can also use TopAccess to configure the device/network settings, set counter

information or limit and control usage via authentication settings.

Security

Toshiba delivers to its customers a suite of security solutions specifically designed to protect sensitive

corporate data, providing the highest levels of security to deal with ever-increasing threats, and

maintaining the overall integrity of your business. We take a multi-tiered “defense in depth” approach

to secure printing, graduating from the device to the enterprise. Natively, our devices incorporate

technologies such as department codes, private print, secure PDF, strong passwords, network

authentication, usage limitations, job log and email authentication. Toshiba’s exclusive Open Platform

architecture allow administrators to set and deploy company-wide security rules, settings, defaults and

scanning guidelines from one centralized location to their entire fleet of Toshiba's Open Platform-

enabled MFDs, providing improved control, security and efficiency. In addition to the above native

technologies, we offer the following technology features and options on our MFDs: Hardcopy Security

Kit, Data Overwrite Kit, Scrambler Board, and SmartCard with Active Directory integration, which can

control at the user level what functions of the MFD can be used/accessed.

This multi-layered approach of Toshiba’s security solutions, which we brand as SecureMFP, focuses on

four categories of security: Device, Document, Access, and End-of-Life.

Device Security

MFDs and network printers function as complex network devices. Toshiba has incorporated into each

new multifunction device several solutions that specifically address device security, such as:

• Secure sockets layer (SSL) is a cryptographic protocol widely used on the Internet to provide

secure communications for transfer of personal information during online credit card

transactions, order fulfillment, and accessing online accounts. MFDs employ this common

encryption technology to protect all data traveling to and from the MFD. Print jobs sent via the

SSL layer are encrypted through symmetric cryptography, ensuring that the print data is secure

and will not be used for any purpose other than print output. It prevents the interception of

information for malicious purposes or data tampering.

• IPv6, also referred to as the next generation Internet Protocol, is the latest version of IP. With

the introduction of the Internet in the 1990s and its ever increasing use through the years, came

the need for a larger pool of available IP addresses, hence the birth of IPv6. IPv6 offers several

features to address IP security needs such as:

o Increased address size – the length of the address field from IPv4 to IPv6 has increased

from 32 bits to 128 bits. The address structure also provides more levels of hierarchy.

o Built in support for authentication.

o Stronger confidentiality.

• IP Filtering essentially acts like a firewall to protect your internal network from intruders. IP

filtering lets you control what IP traffic to allow into and out of your network by filtering data

from specified network addresses. MFDs utilize this mechanism as a means of controlling which

computers have access to its network functions

• SMB (Server Message Block) Signing is a form of data authentication. During network

authentication, once the MFD is authenticated on the server, SMB signing adds a digital

signature to the data transferred between MFD and server. The signatures verify that the

identity of the server matches the credentials expected by the MFD, and vice versa. By verifying

that the data received comes from an authenticated source, the signature ensures the integrity

of all communications.

• IPsec (IP Security Protocol) protects communication in the IP layer by providing authenticated

and encrypted submission of print jobs from desktop to Toshiba MFDs.

• Encryption is the most effective way to achieve data security. Encryption technologies, such as

Toshiba’s Scrambler Board, feature 128 bit AES encryption and decryption of all data being

written to the hard disk drive of the device. This includes all copy, print, fax and scanned

information processed on the MFD. This encryption technology uses cryptographic algorithms to

protect the information stored on the hard drive, with no performance delays for printing,

scanning, copying or faxing. Encrypting a file makes the data unrecognizable to other

applications and immediately renders the data useless in the event of theft. Residual data also

can be completely erased when the encryption device and the hard disk drive are removed from

the MFD. Toshiba's Scrambler Board comes standard on all current Toshiba multifunction

devices.

• Data Overwriting ensures that the hard drive is absolutely clear of readable data. It works by

overwriting the actual data with random and numerical characters. The disk space used for

processing is automatically cleared after every job, preventing the data from being recovered by

unauthorized users. Toshiba’s Data Overwrite Kit (DOK) ensures that the hard drive is secure by

overwriting all residual data with multiple passes of random characters. Overwriting of actual

data is performed up to five times, which exceeds the Department of Defense (DOD) three-pass

standard for secure overwriting The DOK is standard on all current Toshiba e-STUDIO models.

Each time your MFD processes a copy, print, fax, or scan job, document data is written to its internal

hard drive. If your hard drive is compromised or stolen, your sensitive data could be accessed by

unauthorized persons. The Toshiba Data Overwrite Kit eliminates this threat by ensuring that all files

written to your MFD’s internal hard drive are completely erased after each and every copy, fax, scan, or

print job. The erased files cannot be recovered, even if the hard disk is removed and installed in a

desktop computer.

Toshiba new e-STUDIO Series monochrome MFDs come standard with Self-Encrypting Drive (SED)

technology SED that improves data security and reduces the risk of sensitive information stored on

copiers and printers leaving your company. When the SED is removed or stolen from the MFP and

installed into another device, the data is invalidated automatically. If the SED is returned to the MFP

without being installed into another device, data will not be invalidated and is accessible. This feature,

along with the standard Data Overwrite, has earned the new e-STUDIO series an exceptional Common

Criteria Evaluation Assurance Level rating of three (EAL3).

How the Data Overwrite Kit Works

The Data Overwrite Kit ensures that the hard drive is secure by overwriting all residual data with multiple passes of

random characters. The disk is erased automatically upon completion of each job, effectively preventing the data

from being accessed and recovered by unauthorized persons.

o Document data is overwritten and rendered irretrievable after every job.

o Stored document data, such as private prints and e-FILING content, is overwritten upon completion or

deletion of each task.

o Templates, address books, and device management data are protected from overwrite.

o All data can be thoroughly overwritten before disposal of the device or hard drive, ensuring that no residual

data remains.

Document Security

From Private Print to Digital Rights Management (DRM), the Toshiba MFD secures documents in transit.

Toshiba offers extensive document security, regardless of the physical location of information:

• Private Print is available on all Toshiba MFDs via the device’s print driver. This standard feature

offers complete control of print output, requiring users to input a password before their

document is output from the machine. When users walk up to the device to retrieve their

document, their individually selected confidential password must first be entered. The password

will then release each selected document sent by the same user. Toshiba also offers “batch

private print” to allow users to release all print jobs under the user’s print queue. This eliminates

the need to re-enter a password for each individual document if the user has sent multiple jobs.

Private print is ideal for organizations printing confidential information, and prevents other

people from picking up the wrong print job, whether accidentally or intentionally.

• SecurePDF protects scanned documents, enabling users to assign a password in order to restrict

viewing, printing, editing and copying of the scanned information. Much like the Private Print

feature, further control and protection are needed when scanning documents to email and

network locations. With Secure PDF, users can assign a password to scanned PDF documents

directly from control panel of the MFD. The password allows for various levels of control such as

access, printing, editing and copying the content. Furthermore, up to 128 bit encryption can be

applied to ensure it is stored safely. Secure PDF is the perfect solution for those wanting to

email or store scanned documents without compromising the content.

• The Job Log feature allows you to track data and documents. Print, copy, fax and scan jobs are

tracked with detailed information including user, date, time, number of pages, type of paper,

and type of job. The job log can then be exported into a standard .csv file for importing into

other third-party applications. This data tracking and accountability report provides useful

information as to the types of usage at the device, volume, and user.

• Hardcopy Security printing allows you to embed a security pattern on the background of a

document. The security pattern consists of a background pattern and a string (embedded text in

the background pattern). The string embedded in the security pattern emerges when the

security pattern-embedded original is copied. This feature will deter the duplication of the

confidential documents.

Access and Authentication

Toshiba has developed simple, yet highly effective methods of establishing access security without

inconveniencing users. Network Authentication allows administrators to control access at the device in

the same way it’s controlled from the desktop. Department Codes provide valuable data tracking and

usage information, giving authorized users full functionality at the device. Usage Limitations enable

administrators to set limits for copy and print jobs, as well as track and control costs. Strong Passwords

utilizes a ten-digit alphanumeric administrative password for added protection along with a log-on

attempt limitation. To streamline the user login process, our SmartCard Authentication requires the

simple swipe of a card while allowing limited user access to specific features and functions. Access

security mechanisms include:

• Department Codes provide valuable data tracking and usage information, giving authorized

users full functionality at the device and prevent unauthorized access. Not only do user codes

control access, they also provide beneficial data tracking and usage information. User codes

require users to enter a code in order to use the MFD. Codes may be required for all walk-up

functions, including copying, scanning and faxing, as well as printing from the desktop. Users are

required to input a five-digit code either at the control panel for copy, fax or scan functions, or

within the print driver when sending print jobs from a computer. Administrators are able to

easily track and view the volume and type of jobs being produced by each department or user.

Additionally, these codes restrict unauthorized users from abusing company resources or

gaining access to confidential information.

• Strong Passwords utilize a 10-digit alphanumeric administrative password for added protection,

along with a log-in attempt limitation. With the advent of password recovery tools that can

crack passwords instantaneously, it is recommended that administrators create a strong

password. A strong password is one that is at least eight characters, includes a combination of

letters, numbers and symbols, and is easy for the user to remember, but difficult for others to

guess. Unauthorized persons will find it difficult to access the administrative and network

properties of each device, as well as to gain access to the device’s control panel without the

proper username and password.

• For further protection, oftentimes a Login Limitation of up to three times can be employed. This

sequence slows down the ability to crack the password by locking the screen after three failed

attempts. Login restrictions can prevent attackers from impersonating users

• Usage Limitations enable administrators to set limits for copy and print jobs, as well as track

and control costs at an account or a department level. The use of color also is an optional

restriction when dealing with a color-capable device. This in turn provides a further level of

security to complement the controlled device access, as well as the visibility to track and control

costs associated with the device’s use.

• Network Authentication can also be used in conjunction with Role Based Access Control (RBAC)

which allows the administrator to control access to specific functionality by individual user (i.e.,

copy, print, scan, and fax). With authentication, users are required to input their network user

name and password to gain access to the control panel. Network administrators can control

access to the device in the same manner that they control network access from the desktop. If a

user is authorized on the corporate network, then he or she can gain access to the MFD.

Authentication ensures that only those users who have been authorized can gain access to data

stored on the device. In addition, it lets e-mail recipients know the identity of the sender,

deterring users from sending prohibited material.

• Email Authentication controls each MFD-generated message. Thus, all scan-to-email users must

login to the MFD and validate their email identity with the corporate directory. Administrators

may also choose to block scanned documents from going to e-mail addresses outside the

company.

• Lightweight Directory Access Protocol (LDAP) Integration provides a centralized address book

of all employees and enables the administrator to establish rules and access rights based on

specified user groups. For example, the administrator may prohibit employees employed by the

company for less than 90 days from scanning or faxing. With LDAP authentication, the rules set

by the administrator will apply to all MFDs on the company network. Another benefit of LDAP

integration is that it ensures that when scanning to email, the user’s name appears in the

“From” field. This prevents users from sending malicious or other prohibited material over the

corporate network. Scan distribution via email can also be limited to only addresses included in

a customer’s Global Address List (LDAP).

• Toshiba’s SmartCard Authentication provides secure, keyless access to your e-BRIDGE-enabled

MFD. Access to copy, print, scan, and fax functions can be assigned for each individual user, and

tracked by user or device for accounting, cost recovery, and regulatory compliance purposes. A

time-saving, single point of entry streamlines the user login process by requiring a simple card

swipe instead of typing a user name and password on the keypad. You control who has

authorization to use each device, which features they are allowed to use, as well as the ability to

limit color usage and the number of copies, prints, scans, and faxes that can be produced.

End-Of-Life Security

Whenever the lease has ended for a particular device, it is important to be certain all of your critical

data is removed from the hard drive before it leaves the premises. Toshiba’s End of Life Security Policy

for Toshiba MFDs is a multi-tiered program that can include one or more of the following:

Basic Security

The Basic End of Life Security involves removing the uncleansed hard disk drive (HDD) and returning it to

the customer. You will be responsible for disposing of the HDD. If your MFD has been financed, the

lessor requires that the MFD is returned in good operating condition. In this case, a new HDD is then

installed and reloaded with system firmware so that the MFD will be operational.

Security Procedure:

• Install new Hard Drive

• NVRAM and Fax Data Scrub

Enhanced Security

The Enhanced End-of-Life Security scrub involves overwriting all of the data on your existing Toshiba

MFD, including NVRAM and Fax data. If your MFD has been financed, the lessor requires that the MFD is

returned in good operating condition. In this case, reloading the system firmware is required so that the

MFD will be operational. The Enhanced End-of-Life Security Scrub ensures that data is irretrievable and

that the HDD is restored to functional status.

Service/Maintenance Specifications

Toshiba’s service program combines industry best practices and stringent service levels to provide our

customers with the highest level of field maintenance possible, which includes our network of Toshiba-

trained and certified service technicians, centralized Dispatch, technical and IT support, online device

and fleet management, and other value-add programs.

TBS will provide two full-time, on-site dedicated technicians to support the UCF install base. The on-site

technician will have the authority and capability of increasing service resources when he is unable to

meet service expectations alone. The University may prioritize service calls if necessary. Otherwise,

service calls will be performed chronologically. Toshiba will maintain complete service records detailing

the device serviced, response time, time needed to affect the repair and the problem diagnosed.

There are an additional 77 manufacture certified technicians in Florida that are available to support the

Service Level Agreement that will be established between our Organizations.

Only service technicians who are qualified, possess the required certifications, and have completed the

requisite testing or training as prescribed by the manufacturer for the product or product group

supported will be assigned to work on the products which are being proposed. Throughout their

employment, technicians are required to attend refresher training and skills enhancement courses,

particularly when new models, upgrades, or software/hardware solutions are introduced. Toshiba’s

service technicians have, on average 10 years of relevant experience.

In addition to full-time service staff, our customer support infrastructure includes vast corporate

resources including IT specialists, technical advisors, marketing solutions engineers, specialists, and

other critical disciplines. Customer support in the areas of operations, product marketing, IT, and billing

are also available to facilitate contract operations.

In the rare event that a technical issue cannot be resolved through the above channels, it will be

transferred to Toshiba’s Total Quality Commitment Program for resolution, which is our guarantee that

your hardware will perform to specifications during the term of the lease, or the hardware will be

replaced. Every new Toshiba MFP and accessory is backed by this performance guarantee, which

includes the following:

Free Replacement (new hardware) - If your new MFP or its accessories does not operate within

Toshiba's product specifications during the term of this program, and if the hardware cannot be repaired

to perform within product specifications, Toshiba will replace the copier, facsimile or accessory at no

charge with a model of equal or better features and specifications. If replacement is made within one

year of the hardware installation date, the replacement will be a new machine and/or accessory.

receiving, logging, and tracking all service and supply requests in a centralized environment.

repairs, or replacement of parts which Toshiba determines to be unserviceable.

Service Dispatch Center

As a premier client, UCF will receive an unmatched level of dedicated, consistent and centralized

dispatching, service, and technical support from Toshiba Business Solutions. The service call process

begins when a user identifies an issue with the machine and places a service call to Help Desk (On-Site

Technician), either via our secure web portal (Global Services Portal, or GSP), by calling our toll-free

telephone number, or by email.

Upon receipt of the request, the dispatcher will:

� Log in the date, time, and location of the call and assign a confirmation number for tracking

purposes.

� Obtain the model and serial number of the equipment, customer location, the customer’s

contact person and phone number a description of the problem and, if applicable, any error

codes displayed on the machine.

� Dispatch the call

� Track the call to ensure that work is completed and the problem resolved within the required

timeframe.

� Follow up to ensure the customer is satisfied.

The on-site service technician will contact the requestor immediately upon receipt of the dispatch call.

He or she will attempt to resolve the customer issue over the telephone. If remote resolution is not

achieved, the technician will attend to the repairs.

Upon arrival, the technician reviews the equipment issue and provides an estimate of the time required

to repair your equipment. In most cases, the issue is resolved on the same day. In rare instances where

parts or components need to be ordered, the technician will schedule a follow-up visit once the part has

arrived, usually the next business day. Generally, the technician will have the part in stock locally.

Regardless of the case, the service technician makes repairs as expeditiously as possible in order to

minimize any disruption to business activities.

Should the technician require technical support during the call, he or she has access to Toshiba’s In

Touch Center (ITC) hotline during the hours of 6 a.m. to 5 p.m. (Pacific Time) for immediate, live

technical assistance from hardware and software specialists.

Upon completion of the service call, the technician advises the end user and clears the service ticket,

which allows us to capture and maintain specific metrics regarding equipment and service performance.

Additionally, users can view service call status by device and location, such as start and completion

dates, call type, symptoms and solutions, caller name and telephone number using the GSP web portal.

Customer support will be available from 8:00 a.m. to 5:00 p.m. local time, Monday through Friday,

excluding holidays. After hours service is available for a negotiated rate.

Parts/Supplies

Toshiba can provide MFP/printer assets, supplies and services through our network of wholly-owned

and authorized service providers. Each Toshiba service provider is required to maintain a minimum

three months’ supply of inventory at their facility and, Toshiba can also provide a supply inventory in an

agreed upon location on UCF Campus. While unlikely, if we do not have the replacement part in stock,

we will notify UCF immediately.

In the event that emergency parts or supplies are necessary, service providers can reach out to our

centralized warehouses in Memphis, Tennessee, and Pico Rivera, California, which maintain and manage

an inventory of MFDs and replacement parts. Our larger distribution center in Memphis, Tennessee is a

208,000 square foot facility that warehouses parts and supplies that include toner, developer, service

parts, machines, and accessories. Our other distribution center is located in Pico Rivera, California and is

a 65,000 square foot facility that carries supplies only.

These distribution centers use an automated warehouse system (AWS) to pick and ship all orders and

receive all incoming parts shipments from our overseas factories. These warehouses conduct daily cycle

counts at their locations to maintain minimum stocking levels and ensure inventory integrity. Similarly,

we reach out to other service providers to fill any shortages in order to meet our customers’ needs and

schedules.

Preventive Maintenance

Toshiba's Proactive Maintenance (PM) Program is designed to prolong equipment life, improve

operation, and reduce the incidence of emergency or breakdown repairs and premature replacement of

equipment. This is accomplished through periodic inspecting, cleaning, and replacement. PM intervals

will be developed based on the manufacturer specifications and industry standards, but may be

adjusted based on the levels of use. At the required interval, the equipment’s control panel will indicate

that it is time to schedule a PM. The client location will only need to place a call for service.

Toshiba defines preventive (periodic) maintenance for copiers as the summary of actions and

procedures necessary for ensuring optimum MFD performance, and for excellent and stable copy quality

during the entire life of supplies and parts. Such actions include:

� Complete inspection of hardware;

� Routine cleaning and lubrication;

� All necessary adjustments;

� Replacement of worn or broken parts;

� Replacement of consumable items as recommended by Toshiba Service such as feed tires, fuser-

cleaning components and charge coronas; and

� Replacement of environmental consumable items as recommended by Toshiba Service such as

ozone, developer and optics filtration components.

To expedite the PM process, Toshiba products use service modules so that periodic maintenance can be

performed in minutes rather than hours. Specifically, this “module” concept refers to the practice of

building MFD parts prior to service, then simply replacing them as a whole rather than tearing down and

rebuilding the machine. When you replace these modules during periodic maintenance, you are

essentially refreshing the entire imaging system. Contained in these modules are the items that need to

be replaced most often to ensure optimal image quality and system performance. Each of the service

modules is designed to go the entire span of the periodic maintenance interval. This minimizes end user

service intervention and helps drive down related service costs and a lower TCO. This has reduced

maintenance time by at least 40%.

In addition to performing routine and preventive maintenance, during the course of their work, our

technicians identify and correct minor deficiencies as well as perform major repairs in response to

service calls. Technicians apply best industry techniques and innovations to perform work and conduct

their tasks in an efficient and environmentally safe manner at all times. All services will be performed in

compliance with manufacturer’s instructions and specifications, industry standards, applicable

regulations and any federal, state, and local codes. All activities are conducted with the least

disturbance and to avoid conflicts with ongoing business operations.

Toner Recycling

At no cost, Toshiba extends to UCF our “Zero Waste to Landfill” recycling program for

disposing of your spent consumable supplies such as toner cartridges, drum units and

waste bottles/toner bags and other bulk imaging consumables for both Toshiba and

other products offered or maintained by Toshiba. Under this program, we can provide

UCF with recyclable collection boxes and supplies, freight, transportation, and

recycling services. These spent products are picked up and processed using four

different processes to yield the maximum amount of reusable materials. Hard-to-

process mixed plastics, toner powder, inks, and sponges are used in the company’s

patented composite eLumber™ product, thereby reusing previously unusable

materials, preventing them from ending up in landfills or being incinerated. This

results in 100% reuse of collected consumable products.

Recyclable items do not even need to be repackaged. You would simply place the cartridge in the

collection box. When the box is full, you simply tape up the box and call the number on the pre-attached

shipping label.

To further our commitment to the environment, Toshiba became the

first manufacturer of MFDs to participate in Close the Loop’s “Zero

Waste to Landfill” recycling program. Made from 100% Recycled

polystyrene and related styrenic plastics, eLumber is jet black,

weatherproof, tough, and environmentally favorable. It can be used as

outdoor furniture, fences, garden edging, sound barriers, and other

applications. It has almost the same characteristics as natural

hardwood in terms of look and feel, as well as density and structure

and can be worked, shaped, and handcrafted like timber using

woodworking tools. In comparison to commercial hardwoods and

other plastic alternatives, eLumber has unique advantages in terms of

durability and versatility. It is UV retardant, non-porous and resistant to bacteria growth and insect

attack.

Escalation Management

During the course of normal business, service issues may arise that will require an on-site visit to

resolve. Although the areas requiring technical assistance are varied in degrees of severity and

complexity, all situations are resolved following the same basic procedures. Toshiba established the

following guide to document and resolve issues in a timely manner:

� Account Manager/Local Service Provider receives a Request for technical assistance.

� Account Manager/Local Service Provider will contact your location to define the issue.

� A visit will be scheduled to analyze the device.

� The issue will be researched using all available sources for resolution.

� On-site troubleshooting and repair of machine will be performed. All affected parties are

informed of resolution.

If the issue is supply related, the replacement will be received within 1 -2 days. If the MFD issue is not

resolved, Toshiba offers a Total Quality Commitment (TQC) guarantee policy that includes further

problem resolution as described below:

During regular account reviews, issues raised by the customer and any recommended product and

process improvements are tracked for closure. Internally, the Client Service Delivery Manager leads

team meetings to discuss and respond to product and service issues and customer complaints. Actions

are prioritized and assigned to the appropriate department or team for implementation.

Reporting

Toshiba’s web based Global Services Portal (GSP) is a secure online resource which integrates with our

fleet management software to provide you instant visibility into information on all of your assets.

Relevant data is organized in three report types: by Manufacturer, Model, and Location. This will

provide customers with a single source of easily accessible data. Through GSP, customer reports can be

created allowing the customer to better measure and manage their fleet by monitoring such things as

uptime, response time and total cost of ownership.

resolution of any end user complaints. Backing them will be corporate-based service, Print Assessment

Specialists, Professional Services, IT, operations, contracts, billing, product marketing and others who

will ensure their respective areas of the contract are met. This team has extensive experience with

multiple education customers, managing and supporting thousands of users across multiple locations.

Toshiba’s Director of Implementation and Program Management, Khanh Pham, will oversee your

program implementation. He will assign a dedicated Project Manager and allocate sufficient resources

and personnel to accomplish all of the tasks outlined in the implementation plan and schedule. Integral

to this plan is the delivery and installation of all your devices in a timely manner and in accordance with

contract requirements. The Project Manager will engage the necessary staff and resources to

accomplish such tasks as receiving orders, testing and staging equipment at your locations, setting up

our web portal for service and supply requisitioning, servicing the installed equipment, and training all of

your users and key operators. A customized project timeline that mirrors the actual product mix and

installation dates for each location will be developed during the planning phase of implementation.

During the initial implementation kick-off meeting of any Toshiba engagement, Toshiba and UCF would

establish an implementation framework that clearly articulates the operational responsibilities of each

entity to ensure a successful project outcome.

Matthew Barnes – President is a 28 year veteran in the Office Equipment Industry. He began his career

with Toshiba Business Solutions 4 years ago as the Vice President of Sales. He was promoted to the

President’s position July of 2009.

Prior to his positions at Toshiba, Matt moved to Atlanta in 1997 and worked for 11 years with IKON

Administrative Specifications

Contract

This Contract will be awarded for four years with options to renew for up to two additional one-year

periods subject to mutual agreement of the parties.

Price Escalation

• Equipment acquisition, service, maintenance, and supply prices will be firm for the initial term

(four years) of this agreement.

Pricing for one-year extensions

• Prices in subsequent one-year terms will reflect the University’s investment in hardware and

software during the four-year initial term of the agreement and therefore reflect a significant

reduction in overall monochrome cost per copy.

Price Decreases

• In the event of a price decrease to the general trade during the term of the agreement or

subsequent extensions, such decreases must be allowed to the University for all components

included in this agreement.

Suitability of Installation

• In the event that the volume increases or decreases, a machine may be, upon agreement by the

University and the Vendor, replaced by a different machine that matches the new volume.

Engineering Changes

• When the manufacturer of the equipment releases engineering changes or product

improvements at no cost to the general trade that improves the performance of the equipment

(and while the equipment is still under maintenance service coverage), Toshiba will make these

improvements available to the University and will maintain the released engineering changes at

current level at no increase in cost to the University.

Quarterly Contract Review

• Toshibas Account Management team will meet with key UCF management personnel, on a

quarterly basis, to review performance against objectives, discuss new objectives, and present

new technology and opportunities. This will allow Toshiba and UCF to jointly assess your

current satisfaction with our performance and allow both sides to participate in value-added

enhancements to the account management. These meetings can be either in person or by

conference call, depending on the customer’s preference and schedule.

Software Upgrades and Changes

• Toshiba is responsible for providing the most recent versions of all operating firmware,

software, print drivers, spoolers, and print languages including PCL and Adobe® PostScript®.

Toshiba is also responsible for providing certified network and technical support to ensure

compatibility with University’s technology systems, network protocols, and operating

procedures.

Demonstrations

• Toshiba will, if requested by and at no expense to the University, demonstrate to the University

at least two installations using the equipment being proposed under actual operating

conditions. Showroom or factory demonstrations do not meet the intent of this specification. In

the event that the equipment is not available for observation, Toshiba may at the University’s

discretion be required to provide one or more units of the same type being proposed for on-site

trial at the University.

Delivery Requirements

• All items to be procured by the University as a result of this RFP will be quoted F. O. B.

destination, freight prepaid.

Equipment Removal Requirements

• The removal costs for all equipment installed at the University will be the responsibility of

Toshiba.

Warranty

• In the rare event that a technical issue cannot be resolved through the above channels, it will be

transferred to Toshiba’s Total Quality Commitment Program for resolution, which is our

guarantee that your hardware will perform to specifications during the term of the lease, or the

hardware will be replaced. Every new Toshiba MFP and accessory is backed by this performance

guarantee, which includes the following:

o Free Replacement (new Toshiba hardware) - If your new Toshiba MFP or its accessories

does not operate within Toshiba's product specifications during the term of this

program, and if the hardware cannot be repaired to perform within product

specifications, Toshiba will replace the copier, facsimile or accessory at no charge with a

model of equal or better features and specifications. If replacement is made within one

year of the hardware installation date, the replacement will be a new machine and/or

accessory. Toshiba will incur shipping and delivery costs.

o Free Loaner - If your MFP is out-of-service more than two (2) consecutive business days

after notifying your authorized Service Provider or requires off-site service, a loaner

MFP will be provided by the authorized Service Provider at no additional charge.

Installations

• Toshiba will perform all installations and verify operation of the equipment with the University.

Requests to install or remove devices and network printing components will be completed

within 30 calendar days of order.

Statement of Work

• Toshiba will provide a written statement of work detailing the proposed installation schedule.

The University must approve the final installation schedule.

Learning Environment

• It is expressly understood that the University is a place of teaching, research, and learning.

Installations and service activities will be carried out in such a way as to minimize interruptions

and disruptions to teaching and learning activities.

Waste Material Removal

• Toshiba will remove all waste packing materials promptly following installation of equipment.

Manufacturer’s Certification

• Please see attached Manufacturers Certificate

Training

• On-site training shall be provided for each machine. Training to include operation of all features

including copy modes, print modes including duplexing and envelope printing, FAX operations,

and scanning where available is required. Follow-up training will be provided throughout the life

of this agreement.

Additional Training

• Training by manufacturer-certified trainers must be available throughout the life of this

agreement.

Cancellation

• This agreement may be cancelled by either party upon 90-day written notice.

Billing Specifications

Internal Copy Control Process

• As stated previously Toshiba’s Global Services Portal will provide UCF a copy control process to

gather usage data and account information electronically. The process will work seamlessly with

both Macintosh and Windows operating systems.

Delivery of Consolidated Monthly Statement

• Toshiba will provide one consolidated monthly statement in both paper and Excel formats.

University-wide Pool

• Toshiba has provided the University an overall cost-per-copy price determined by the gross

volume of all covered machines in a University-wide pool. Price incentives have been given,

based on overall volume. Toshiba has established a cost-per-copy for all FAX, copier, and laser

prints made in excess of the minimum pool quantity.

Consolidated Monthly Statement Format

• The consolidated monthly statement will include: machine model, serial number, location,

beginning meter reading, ending meter reading, service clicks charged, net copy volume, time

periods of reports, and cost-per-copy for each device installed under the terms of this

agreement.

Payment Terms:

• Payment terms are net 30 days. No late penalty fee will be imposed until after 60 days from the

date of the invoice.

Service Copies

• Charges for copies made during the installation, maintenance, and/or repair of equipment will

be deducted from clicks charged and credited on the consolidated billing statement for the

billing cycle.

Paper Consumed in Service

• Paper consumed while servicing equipment shall be replaced with like-for-like quality paper

when consumption exceeds 100 sheets on any one service call.

Collecting Use Data

• Toshiba utilizes FM Audit software solution which offers visibility to Toshiba and 3rd party

devices on customers’ network and captures usage data. FM Audit allows entry into Managed

Print Services by automating the time-intensive meter reading collection process

Charges for Scans

Scanning and other functions that do not cause an image to be placed on a substrate will not be subject

to a cost-per-copy charge.

If the HDD is taken from the MFP and installed into another device, all of the data is automatically erased. However,

if it’s taken out and then returned to the same MFP, the data is not erased and can be accessed immediately as needed. There is also an encryption key that’s securely stored on the HDD.

Security taken to the next level.Additional security features include a secure PDF encryption feature with up to 128-bit AES, IP/MAC address filtering, Role Based Access Control, an SNMPv3 protocol for enhanced security administration and an optional IPSec protocol, to name a few. The e-STUDIO5055c series offers Toshiba’s proprietary Self-Encrypting Drive equipped with our Wipe Technology as well as a suite of impressive security functions to keep data protected. If the HDD is taken from the MFP and installed into another device, all of the data is automatically erased. However,

if it’s taken out and then returned to the same MFP, the data is not erased and can be accessed immediately as needed. There is also an encryption key that’s securely stored on the HDD.

Security taken to the next level.Additional security features include a secure PDF encryption feature with up to 128-bit AES, IP/MAC address filtering, Role Based Access Control, an SNMPv3 protocol for enhanced security administration and an optional IPSec protocol, to name a few. In all, the features permit a security mode that complies with the extremely high security level–IEEE2600.1.
