Greetings Scouters!

My name is David Hardy and I am the Erie Shores Council Popcorn Kernel for 2020. Welcome to this year’s Pecatonica River

Popcorn Sale fundraiser! For those of you who are new to the Popcorn Sale, rest assured that the Popcorn Committee will

do all that we can to help you have a positive popcorn experience. For those who have been involved in the past, welcome

back. Your knowledge and experience are terrific assets to this program. Thank you to everyone for your time, energy, and

service!

This is my 23rd year in Scout fundraising, the past 10 years as the Wood District Popcorn Kernel. Financially speaking, the

Popcorn Sale provides funding for program materials, activities, and other adventures that our Scouts might not otherwise

experience. While the financial aspect of the fundraiser is vital to each unit, it is not the only important part of the program.

Often overlooked benefits include improved self-confidence; increased visibility and interaction with the community; and a

sense of ownership within the unit.

Every Scout is a unique individual. Some quickly become very comfortable with this fundraiser, while others tend to be a

little shy. Selling popcorn is a great way to encourage the more bashful Scouts out of their shell just a little bit. A Scout is

brave, and sometimes it takes courage to approach a stranger and ask them to support Scouting through the Popcorn Sale.

I’d like to say that everyone you approach will be willing to support Scouting, but this is not always the case. A Scout is

friendly, courteous, and cheerful even when they face disappointment. This might be the toughest part of the whole program,

but your Scout’s character is developing when he succeeds AND when he fails.

A Scout is thrifty. A Scout works to pay his own way, and by participating in the Popcorn Sale your Scout is doing just that. A

Cub Scout pack decided it was time to replace their old wooden Pinewood Derby track with a new aluminum one. The pack

challenged the Cubs to reach that goal, and you should have seen how proud they were when THEIR new track was delivered!

I would encourage you to set a specific goal for your unit as well. It might be new equipment or a special event. Whatever

works best for your unit, the Scouts will appreciate it more because they earned it.

Finally, I would like to take this opportunity to thank everyone on the Erie Shores Popcorn Committee, the Council advisors,

and all of the parents and volunteers who are going to be working together to make this year’s sale a success. I wish you all

the best in your unit Popcorn Sales, and remember, support for your sale is always available both at the Council and District

levels.

BUILDING A SUCCESSFUL SALE1. Discuss why your Scouts sell Popcorn – Scouts

sell popcorn to fund their adventures in

Scouting! Conduct youth/adult program

planning and Ideal Year of Scouting Planning

Exercise with your unit.

2. Set a Unit and Per Scout Sales Goal – Utilize the

Program Planner and set unit and Scout sales

goals. Units who set a goal sell almost twice as

much. (www.erieshorescouncil.org/popcorn)

3. Attend Training – Attend your District Popcorn

Kickoff.

4. Formulate a Sales Plan – Talk with your unit

leadership and determine how you’d like to sell.

5. Hold a FUN and EXCITING Unit Kick-off for Your

Families – The meeting should explain the

Popcorn Sale and communicate sales

expectations to your parents. Build excitement

with the Scouts through the prize and incentives

program.

6. Order & Pick-Up Popcorn – Order the initial

popcorn order for Show & Sell/Deliver by

September 2, 2020. You will have the ability to

order weekly throughout the sale. You can

return product at the weekly pickups and/or, up

to 25% of your total product order on the return

deadline of November 5, 2020.

7. Manage Popcorn Inventory – Develop a plan to

track the inventory your unit has in stock. Keep

product in the hands of your Scouts to keep

them selling throughout the sale. The goal is to

not run out of product and to have little to no

product left over to return at the end.

8. Safety Plan – Create a safety plan for Scouts and

families. Communicate the plan to your families.

9. SELL, SELL, SELL – Keep Scouts motivated! Do

one fundraiser per year and do it well! Some

ideas to keep Scouts motivated: arrange

den/patrol competitions, continuously share

what prizes and incentives are available at each

sales level, remind parents about how the

popcorn sale pays for their program, and give

regular updates on your unit’s progress towards

your sales goal.

10. Collect Payments from Families – Develop a plan

to collect payments from your Scout families.

Utilize Scout collection envelopes and train

Scouts to collect fees. Set unit due dates prior to

council payment dates so you have time to

process before your payment is due.

11. Order Prizes and Incentives for Scouts –

Recognize your Scouts for their hard work with

the great prizes and incentives offered through

the Popcorn Sale. Be sure to place your prize

order by November 14.

12. Pay Your Popcorn Bill – Make payments on your

popcorn bill throughout the sale. The first

payment is due October 21, 2020. Your final

payment must be received by December 10,

2020. Check your invoice at any time throughout

the sale at www.prpopcorn.com.

13. Spend Your Earnings! – Congratulations! You’ve

followed your plan and raised what your unit

needed to support their program. Now recognize

your Scouts by providing a fantastic Scouting

program in 2020 – 2021.

The Unit Popcorn Kernel is responsible for the overall organization and implementation of the unit’s Popcorn

Sale. This person ensures promotion, timely report of unit sales, popcorn pick up, and popcorn payment.

Responsibilities include:

• Recruit/Form a Unit Popcorn Committee

• Develop a Sales Plan

COMMISSION

Sales Commission on Pecatonica Product and Online Sales

• All units will receive a base commission of 25% of Pecatonica Product gross sales

with the choice of one of the following options:

o Receive prizes from the BSA National Prize Company

OR

o Extra 3% commission (28% commission).

• Choose your option on your Popcorn Commitment Form. Please notify Erin LaLonde if you need to change

your option during the Popcorn Sale.

SALES METHODS

Scouts can participate in the Popcorn Sale using several methods. Whatever methods your Scouts choose, you

have the brand recognition of Scouting to help sell product and support the unit’s year-round programs. Detailed

descriptions of each method are listed on the following pages.

Show & Sell (Pg. 12)

Coordinate booths in high foot traffic locations

throughout your community. Get permission to sell

in front of a retail store, local business or festival. Set

up a display with products for people to purchase as

they walk by.

Show & Deliver (Pg. 13)

Scouts check out popcorn from their Unit Kernel and

go door-to-door with product in hand. The customer

can select the products they wish to buy, the product

is delivered, and the money is collected right then

and there.

Take Order (Pg. 13)

Scouts go door-to-door or contact family and friends

using the Take Order form. Customers choose the

product(s) they wish to buy and writes the order on

the form. Money is collected when the product is

delivered to the customer a few weeks later.

Military Donations (Pg. 13)

Military Donations is a way for consumers to support

our military men and women by sending them a

popcorn care package. The donation is shipped

directly from Pecatonica River Popcorn at the end of

the Popcorn Sale.

Online Sales (Pg. 14)

Scouts sell to out-of-town family and friends.

Customers will order the products online and pay

with a credit card at www.prpopcornstore.com. The

Scout’s Seller ID will need to be entered at the time

of purchase, so sales are credited to the Scout.

Pecatonica will ship the products directly to the

customer.

Corporate Sales (Pg. 14)

Corporate Sales are a great way to add to your unit

sales. Preparing Scouts to deliver a message to

neighboring businesses in your community can

quickly help your unit reach its goal.

SHOW & SELL

Show & Sell is a great way to introduce new and younger Scouts to the Popcorn Sale. They can sell with their

buddy and build confidence for the Take Order sale while heightening Scouting awareness.

NOTE: Please use safety protocols such as social distancing, hand washing, hand sanitizer, masks, etc. when

planning for a Show & Sell booth.

PRE-SHOW & SELL

• CONTACT BUSINESSES/FESTIVALS – Contact local businesses and ask permission to set up a table.

• ORDER POPCORN – Submit popcorn order by Wednesday, September 2, 2020. Order will be limited to

50% of the Unit’s total sales for 2019. (Pg. 15)

• PICK UP POPCORN – Pick up popcorn at scheduled time and location. (Pg. 17)

sign out a banner per instructions below and are slightly larger and heavier than what unit received at kickoff.

SHOW & DELIVER Most effective sales method! Scouts go door-to-door and product is brought along (in wagon or vehicle), making

it a quick and easy process for the customer.

• ORDER POPCORN – Submit popcorn order by Wednesday, September 2, 2020. Order will be limited to

50% of the Unit’s total sales for 2019. (Pg. 15)

• PICK UP POPCORN – Pick up popcorn at scheduled time and location. (Pg. 17)

• DISTRIBUTE POPCORN – Distribute popcorn to each Scout, along with flyers and collection envelopes.

• SELL – Scouts can sell to neighbors, family and friends. Parents can sell to co-workers. Plan a

Neighborhood Blitz and split proceeds amongst participating Scouts.

TAKE ORDER Scouts collect orders on their order form. The Scout turns in the order form to the Unit Popcorn Kernel. The

product is then ordered and delivered later. Money is collected when the product is delivered to the customer.

• COLLECT – Collect sales flyers and tabulate quantity of items needed.

• USE INVENTORY – Use leftover Show & Sell/Deliver inventory to help fill orders.

MILITARY DONATION The Military Donation is a way for consumers to support our military men and women by sending them a popcorn

care package. The donation is shipped directly from Pecatonica River Popcorn at the end of the Popcorn Sale.

• PURCHASE – Customers can purchase one or more $30 Military Donations during the

Show & Sell/Deliver and Take Order Sale. Scouts can give a receipt using the

“Donation Receipt” at the back of the Guidebook or download from:

• ORDER – Order Military Donations on the Take Order popcorn order. The unit will receive the same

commission on Military Donations as any other product sold. (Pg. 15)

ONLINE SALE

• Customers can purchase various levels of Military Donations online at www.prpopcornstore.com.

Customers will need the Scout ID so the Scout can receive credit.

ONLINE SALES This is the best way to sell to your friends and family who live out of town. Family and friends can purchase popcorn

online through www.prpopcornstore.com. Pecatonica River Popcorn will ship the products directly to the

customer. They will need to enter the Scout’s Seller ID so that the sales are credited back to the Scout.

• SELLER ID – The Unit Kernel is responsible for signing their Scouts up to sell online.

1. Navigate to www.prpopcorn.com and log in.

2. Click “Scout Seller IDs” on the dashboard.

3. A list of Scouts with current online Sellers ID’s will populate. Scouts can use the same ID each year

while in the unit.

4. Add a new Scout: Enter the Scout’s first name, first two initials of last name and the

parent /guardian email then click “Add”. Repeat until all Scouts have been signed up.

5. The Parent/Guardian will receive an email letting them know their Scout’s Seller ID.

6. The Scout profile can be set up using www.myprpopcorn.com or by downloading the “My PR

Popcorn” app. (Note: Each profile account will need its own email address.) View tutorial

• Customers will go to www.prpopcornstore.com to purchase popcorn using Scout’s Seller ID.

• The Unit Kernel and Parent/Guardian will get an email when the customer receives the order so sales can

be tracked for each Scout.

• Online Sales Commission will be deducted from your final popcorn invoice.

• Please NOTE:

1. Do not include Online Sales to your “Take Order” order.

2. Scouts can use all Online Sales made through Thursday, November 5, 2020 towards their

prize/bonus prize totals.

3. Online Sales from November 5 - December 10, 2020, will not count towards prizes, but will still be

awarded to units and commissions applied towards balances due.

CORPORATE SALES Corporate Sales are a great way to add to your unit sales. Prepare your Scouts to deliver a message to neighboring

businesses in your community as another way to help your unit reach its goal.

WAYS A LOCAL BUSINESS CAN BE INVOLVED:

1. CUSTOMER “THANK YOU GIFTS” – Example: 100 tins of Mud Puddles, use 1 per customer to say “Thanks!”

2. EMPLOYEE RECOGNITION – At the holidays, 50 tins of Cheese to “Thank” employees for their dedication.

3. MATCHING MILITARY SALES – Company matches a Scout’s Sales with military donations.

4. EMPLOYEE BREAKROOM – Place an order form in the breakroom.

5. SMALL BUSINESS RETAIL SPACE – Set up a small display of popcorn to sell.

STEPS TO SUCCESS:

1. PROSPECTING – Create a list of nearby businesses, call, or stop in person to set an appointment. (You may

be told to come back later but be prepared to make your sale on the spot).

2. MAKE THE ASK – If you don’t ask, you will not receive. Be specific about what the business can do to

support your Scouting program.

3. FOLLOW UP – Please be polite if you are told “No Thanks,” but keep trying until you get a final

answer. Sometimes business decisions can take weeks.

PRODUCT MANAGEMENT For units ordering product for Show & Sell/Deliver, here are some tips to help you manage your inventory.

• INITIAL ORDER – Don’t over order on your initial popcorn order. Up to 50% of 2019 sales can be ordered.

• VOLUNTEERS – Plan early to line up volunteers and vehicles for Popcorn Distributions, Weekly Pick Ups

and Returns, particularly if dates and times are inconvenient for the Kernel.

• REORDER WEEKLY – Reorder inventory and/or return inventory as needed each week during the sale.

o Weekly pickup/return dates will be each Thursday during the Popcorn Sale. (Pg. 15)

o A payment on the account or a return of inventory will need to be made by Wednesday. (Pg. 15)

• TRANSFER PRODUCT – Transfer product to or from another unit if you need product or have excess

inventory. (Pg. 16)

• STORAGE – Keep popcorn products organized in their original boxes and do not store popcorn in extreme

temperatures (hot car, in direct sunlight, etc.) or where it could get wet.

UNIT TO UNIT TRANSFER Units may transfer product between each other during the Popcorn Sale. For example: a unit needs Caramel Corn

and picks up 6 containers from another unit that has too much.

A Transfer Form must be filled out for the transfer to be accounted for at the Council office. The Transfer Form

should be completed by the unit giving the popcorn and using container quantities.

unit Kernels will receive a confirmation email and the information will automatically be sent to

Erin to adjust unit accounts accordingly.

SHOW & SELL POPCORN RETURNS Show & Sell Popcorn Returns will be Wednesday, November 4 - Thursday, November 5, 2020, depending on your

district. Schedule your return time using the SignUp Genius link in the email you will receive.

• FILL TAKE ORDERS – Use inventory to fill Take Orders before returning.

• QUANTITY LIMIT – Returns of product will be allowed on up to 25% of total product ordered in 2020.

• RETURN LOCATION – Products will be returned to a central warehouse and during weekly pickups.

• RE-SELLABLE – Product must be in Re-Sellable Quality.

• DAMAGED PRODUCT – Products with dents, ripped boxes, NO box (single tin cases), melted chocolate, etc.

will NOT be accepted. If a tin is damaged by your Scouts, try to resell at a reduced price.

• ORIGINAL BOXES – Repack tins and containers in original case boxes – disorganized products delay the

process and create unnecessary work by the volunteers receiving the return.

o Do not put different containers in same box – Example: Butter and Kettle in the same case.

• TIP – Collapse and store boxes until end of sale. You will have them if needed, otherwise, please recycle.

PAYMENTS

Payments are due to Council on or before the following dates:

• Weekly Add-On Payments – Wednesdays prior to Weekly Pickup – Pay portion of money collected, if an

additional order is placed. (Pg. 15)

• Show & Sell Payment – Wednesday, October 21, 2020 – Units pay portion of money collected to date.

• Final Payment – Thursday, December 10, 2020 – All units must pay the balance due in full.

How Much?

• Units taking the Prize Option: Pay 75% of total funds collected.

• Units taking the 3% Cash Option: Pay 72% of total funds collected.

Steps for Collecting and Making Payments

1. Parents and Scouts will collect payments from customers; cash or checks made out to their unit.

(Checks from customers should not be made out to Erie Shores Council.)

2. Deposit all payments into your unit’s own checking account.

3. Unit Treasurer will write a check payable to Erie Shores Council, BSA for the amount owed.

4. Make your unit payment using one of the following methods:

o Use the deposit slip from your Kickoff Kit and take your unit check to a Huntington Bank.

NOTE – New deposit slips – destroy any old deposit slips.

▪ (Please include your unit type and number on the deposit slip - Example: Troop 11)

o Bring or mail your unit check to the Iott Scout Shop at the Jadel Leadership Center.

o Payment by check is preferred. However, we can accept credit cards. There will be a 4% credit

card processing fee for all payments made with a credit card.

Important Notes

• CUSTOMER checks should be collected from Scouts and made out to your unit, then deposited into YOUR

UNIT account. (Council cannot accept third party checks.)

• DO deposit UNIT checks written from your unit account, into the Erie Shores Council Huntington Bank

account using the deposit slips in your Kickoff Kit.

• DO use popcorn deposit slips for POPCORN payments ONLY – not for other Scouting purposes.

• Payments for Popcorn can and should be made throughout the sale using the steps listed above.

BSA NATIONAL SUPPLY PRIZE INFORMATION Each unit has a choice of taking either prizes or extra cash valued at 3% of total gross product sales. (Pg. 11)

UNITS TAKING PRIZE OPTION:

• Please refer to the Prize Brochure from BSA National Supply, included in your Kickoff Kit.

• Prizes are awarded based on total sales dollars of individual Scouts on a tiered system.

4. Click on “Choose Your Prizes” on the left side.

5. Scroll down the list and add the quantity needed for each item.

6. After all quantities are entered, click “Add to Cart” button.

7. Click on the “Shipping Info” tab (upper right) to add your destination for delivery.

8. Review Cart (one last time!) and Checkout.

9. Your order will be reviewed and approved by Council before going into processing.

o Email – Set up a Google email address for your Popcorn Sale, ex: [email protected].

This will allow you to keep popcorn emails separate and facilitates transferring to a new Kernel.

o Mail Merge – Send personalized reminders and mass emails. In Google Sheets create a simple

spreadsheet with Scout name, parent email, and money owed. Once you download the Add-in

“Yet Another Mail Merge” in Google Sheets, you can use this to send quick easy emails. You can

also use Microsoft Outlook and Excel.

• SignUp Genius – www.signupgenius.com

o Create signups for time slots (Show & Sell slots or picking up/dropping off popcorn)

o Best of all, it will send reminder emails for you!

• Square Card Reader – https://squareup.com/reader

o Accept customers’ credit card payments with Square Card Reader.

o Square Point-of-Sale is a free, easy to use app that helps you manage your sale.

o Pay 2.6%+10¢ per swipe for major credit cards (Additional fees if keyed in)

▪ The unit can cover the processing fee or

▪ Notify the customer and add the cost of the fee to the purchase price (Ex: $10 Caramel

Corn would be $10.36)

o Deposit, less processing fee, will be made to bank account in 1-2 business days.

o Sign up at www.squareup.com/i/PRPOPCORN1 to receive free processing on up to $1,000 in credit

card transactions for the first 180 days.

POPCORN SALE PARENTAL CONSENT AND RESPONSIBILITY FORM (White)

MUST BE FILLED OUT BY RESPONSIBLE PARENT OR GUARDIAN, THEN GIVEN TO UNIT POPCORN KERNEL

Please carefully read the Parental Consent and Responsibility form below. This form must be signed and returned

to your Scout’s unit Leader before he can sell/take orders for the 2020 Popcorn Sale. Please save the top portion

of this form and keep in a safe place for further reference. By signing the form below, you are giving your Scout

permission to participate in the Popcorn Sale and accepting responsibility and agreeing to the terms below.

• To accept responsibility for all popcorn received and for all popcorn money due. I also understand that in

the event that payment for popcorn is in default, the amount due will be submitted to a collection agency
