WhatafantastictimewehadinD.C.!Iwouldliketosaythankyoutoeveryonewhomadetheconferencesuchasuccess—withoutthehardworkofourmemberswewouldcertainlynotbewherewearetoday.WehadahugelysuccessfulprogramontheuseofGISindifferentlibrarysettings,whichdrewlibrariansfromsomanydifferentdivisionsandgroupsinALA,andaninformativesessionco-sponsoredwithRBMSoncatalogingandsecurityforspecialcollections.ManythankstoJohnHébertfromtheLibraryofCongressfortakingtimeoutofhisbusyscheduletogiveourmembersatouroftheGeographyandMapDivision.Thosewhotookitfounditfascinatingandveryinteresting.

RegardingthisConference’sannualprogram,theysuggestedsavingtheprogrammaterialsandperhapsofferingtheprogramasawebinar.

Digitizationwasanotherprogramsuggestion,asitwasproposedthatMAGERTofferavideoofaLibraryofCongress(orotherlibrary’s)digitizationdemo,andmakeitaccessibleviatheMAGERTwebsiteandthroughALAConnect.

AndrewTurner,chieftechnologyofficerofFortiusOne,hasanintroductiontoGISontheESRIHigherEducationblog.Perhapswecouldlinktothataswellformoreinformation.

VirtualMembershipTherewasadiscussiononvirtualmembership.Severalapproacheswere

suggestedincludingdoingpresentationsatstateandregionalmeetings.MAGERTcouldgivesomesupportforthesepresentationsifitwasanofficialMAGERTevent(foroutreach,education,etc.).

KathynotedthatMAGERT’sprogram,“GISinEVERYLibrary:MakingItHappen,”willbeheldinroom206oftheConventionCenterthisafternoon.

•PlanningforRDAinmembers’institutions—eachattendeesharedwhateachknewaboutplanningandimplementationforRDAafterreleaseinhis/herhomeinstitution.

•Discussedthepossibilityofmovingthecataloginginterestgrouptoanonlinemeetingenvironment,possiblyinlieuofmeetingatMidwinter,

butatleastonememberquestionedwhywedon’tplantodoboth.ItwasnotedthatALCTSwouldneedtobeconsultedbeforethisplancouldbeapproved.Itwasagreedenthusiasticallybythememberspresentthatmovingmeetingstoanonlineenvironmentishighlydesirableandthatfurtheractionshouldbetakentomakeonlinemeetingsareality.

•TheALCTS-CCS/MAGERTCartographicResourcesCatalogingInterestGroupleader,CarolynKadri,calledforavolunteertoassumethegroupleader’srolefollowingAnnual2010.Noonespokeuptovolunteer,sothepositionremainsopen.InterestedpartiesshouldcontacttheMAGERTChair,[email protected],[email protected].

7. CC:DA report, including RDA (Betsy Mangan)

TheCommitteeonCataloging:DescriptionandAccess(CC:DA)metonSaturdayafternoonandMondaymorning.GivingthereportfortheLibraryofCongress,BarbaraTillettannouncedthatalldocumentation,policydecisions,trainingmaterials,etc.,thathavebeendevelopedfortheRDAtestareavailableathttp://www.loc.gov/catdir/cpso/RDAtest/rdatest.html.ThepolicydecisionsforthetestareinPDFfiles.

Relatingtocartographicmaterials,TillettreportedthatwiththeassistanceofOCLC,coordinateshavebeenaddedtoapproximately50,000authorityrecordsthathavebeenredistributed.InthefuturecoordinateswillbeaddedtotheLCsubjectauthorityrecordsaswell.Thelistof65form/genretermswasapprovedinmid-Mayforusewithcartographicmaterials,andtheinvertedsubdivisionsusedformapsarebeingrevisedthissummer.

Inearly2009,theLibraryofCongressreceivedaCatalogingHiddenSpecialCollectionsandArchivesgrantfromtheCouncilonLibraryandInformationResources(CLIR)tosupportaprojectthatwillcatalog125,000sheetmapsofAfrica.Thecatalogrecordsbeingproducedunderthe$240,240grantincludegeographiccoordinatesforeachmapthatpermitgeographicsearchingofthecatalogrecords.TheenhancedcatalogdatawillmakeitpossibletoviewthecoverageareaofindividualsheetmapsusinggeographicalbrowserssuchasGoogleEarth.TheCatalogingHiddenSpecialCollectionsandArchivesgrantprogramismadepossiblebyfundingfromtheAndrewW.MellonFoundation.Theprojectbeganwiththecatalogingof1,800setsofmapsfromthe19thcenturytothepresent.Anunexpectedchallengearosefromthediscoverythatabout22percentofthemapslackedcoordinateinformation;thecatalogingteamhastoresearchordeterminecoordinatesthroughindirectmethods.Priortothecommencementoftheproject,about30percentofthemapshadnocatalogingdata.ByJune4,2010,atotalof1,846bibliographicrecordshadbeencompleted,providingcatalogaccessto64,319mapsheets.

JohnAttig(ALArepresentativetotheJSC)reportedthattheRDAisnow

publishedasthetoolkitandwasreleasedonWednesday,June23rd.Thusfar1,500errorsinthetexthavebeenreported.Errorsthataresubstantiatedbycomparisonwiththefinaltextwillbecorrectedasquicklyasfeasible.Thetoolkitinterfaceincludesamethodofreportingerrors.Sincethebeginningoftheyear,thecompletesetofexampleshavebeenreviewedandsomegapswerenoticed,sotheJSCislookingatadditionalexamplestobeaddedafterapproval.Theexamplesareintwoforms,usingRDAnumberingandMARCtagging.

TheJSCassumestherevisionprocessforRDAwillreturntotheAACR2model,withproposalscomingfromtheconstituentmembers.TheCommitteeofPrinciplesisreviewingthecurrentcompositionoftheJSCtodetermineifthereareotherstakeholders,suchasothernationallibraries,thatshouldbeincludedinthemaintenanceofRDA.GroupscansubmitproposalstoCC:DAfortheMidwintermeeting.ALAplanstoworkonproposalsforoutstandingissuesfortheJSC’smeetinginthespringof2011.AtaskforcewasapprovedtoreviewRDA’shandlingofcorporatebodiesandgovernmentbodieswithachargetomergetherules,thustreatingallcorporatebodiesalike.Ataskforcewasalsoapprovedtoreviewtheinconsistenciesinthetreatmentofheadsofstateandheadsofgovernments,includingrulingexecutivebodies,withachargetomaketheirtreatmentconsistent.JohnalsonotedtheomissionofmappingaccompanyingmaterialtoMARC300subfielde,andthereforehewantstoexaminetheoveralltreatmentofaccompanyingmaterialbeforeaskingforataskforcetodevelopaproposaltocorrecttheproblem.

TroyLinkerfromALAEditionsannouncedthatthetoolkitwasnowavailableforopenaccessuntilAugust30.Userscanobtainaccessbyregisteringatwww.rdatoolkit.org.Ofthosealreadysignedup33%aresoleusersand50%arefromtheUS.Theco-publishershaveagreedtopublishaprintversionofRDA,tentativelypricedat$150,butnotimetablewasgiven.AdditionalfeaturesareplannedincludingtheadditionoftheLCpolicydecisions,linkagefromtheAACR2rule(hopefullyduringtheopenperiod),andadditionallanguages.Althoughnotranslationshaveyetbeendone,Frenchwillbethefirst,duetotheCanadianneedsforFrenchandEnglish.

8. AACCCM (Mary Larsgaard)

ThecommitteehasbeeninaholdingpatternawaitingthereleaseofRDA(ResourceDescriptionandAccess),whichoccurredonJune23,withanannouncementoffreeaccessthroughAugust31,2010.Followingitsrelease,majorlibrariessuchastheLibraryofCongresswillbeperforming6-monthtestsandevaluationofcatalogingusingRDA;theURLfortheLCRDATestwebsite:http://www.loc.gov/catdir/cpso/RDAtest/rdatest.html.

Thecommitteewillbediscussinghowbesttorevise“CartographicMaterials:AManualofInterpretationforAACR2R;”whatoccursnextdependsonseveralmatters:

Rehousing of US maps

Forthepast5yearswehavehadateamworkingontherehousingandrelabelingofourtitlecollectionofUSstatemapspublishedbefore1970.Atpresentover163,000mapshavebeenrehoused,andanassessmentofpreservationconcernsforeachhasbeenmade.ThatprojecthassystematicallyworkedthroughtheindividualstateholdingsintheDivisionandasofthisdateonlyahandfulofmapsforthestateofCaliforniaremaintobehandled.Wehavenotreviewedallofthestateholdings.However,weestimateanother5,000mapsremaintobehandledandrehousedforthatstate.Theprojecthasbeenapprovedforcompletion,startinginearlyJune,withtheadditionofrehousingUnitedStatesgeneral,regional,andthematicmaps,foratotalofsome15,000maps.

Asyoucanimagine,thematchingprocessisincrediblycomplicated.TheoriginalDDRdevelopedinthelate1980sandearly1990susedaseriesofalgorithmsthatcomparedfourteendescriptiveelementsgatheredfrombothfixedandvariablefields,thencomputedasimilarity.Additionally,therewereasetofabouttenorso“flagged”conditionsthatpreventmerges.Whenboththelevelofsimilarityandtheflagsdeterminedthatamergewasappropriate,therecordsweremergedaccordingtoahierarchyofEncodingLevelsandotherfactors.Thosefourteenelementsincluded:cataloginglibrary;LCCN;ISBN;governmentdocumentclassificationnumber;media;author;title;statementofresponsibility;editionstatement;placeofpublicationandpublisher;publicationdate;numberofpagesorvolumes;size;andseriesstatement.Manyoftheseelementscomprisedinformationgatheredfrommultipleplacesintherecord,withthedegreeofinternalconsistencyfactoredintothealgorithm.

ThenewDDRisdifficulttocomparetotheoldone,partlybecausethecapabilitiesandtoolsatourdisposalnowaresomuchgreaterthantheywere
