Portfolio and Project Management

Capital and Resource Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, you can use the following functions in capital and resource management if you have switched on the 0002 Master Switch -> 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426):

• Business Partner availability in search:

In the resource search, you can compare the availability of a resource with the remaining demand of the chosen role. The system displays a graphical chart below the search result.

• Navigation to fast entry screen (FES) in Resource Management:

You can navigate from the Resource Management work center directly to the resources overview or to the staffing overview by choosing the respective link in the Services area.

• Search criteria for cross project in Resource Management:

Dependent on your needs as a resource manager, program manager, or project manager managing several projects, you can save the search criteria for resources and projects as views. To do so, you can toggle between Switch to Favorites and Switch to Views and define and edit your own views.

• Object header of Portfolio Management:

o Navigation via portfolio hierarchy: The portfolio hierarchy is displayed for the item, item template, initiative, initiative template, and bucket and displays the portfolio and bucket hierarchy in which the object is located. To navigate to the respective portfolio or bucket, you can click the respective object link.

o Process steps: If you have assigned multiple subobjects to a decision point, to display the assigned subobjects, you can open a selection list by clicking the arrow. The list contains all subobjects linked to the decision point. By clicking the name you can navigate to the selected object.

• Copy roles:

You can copy roles and staffings from a project to use them as a basis for a follow-up project.

• Capacity assignment to bucket in Portfolio Management:

o On the Bucket Details screen, you can assign resources to a bucket and you can display the capacity amount mapped to individual view/category/group combinations. You can also derive the financial planning values from the assigned capacity.

o On the Resource Details screen, you can display the buckets to which the resource has been assigned. You can navigate to the bucket or portfolio by choosing a link in the table.

• Import from Microsoft Excel:

To assign capacity to a bucket, you can import Microsoft Excel data by executing the RPM_DX_RES_ASSIGN report.

• Enhanced assignment of subobjects in Portfolio Management:

o You can assign network activities of a Project System (PS) project to decision points of an item. The phases and decisions dashboard contains additional columns for network activity attributes to display the data.

o You can assign multiple objects as follows:

­ You can assign one item decision point (DP) to multiple Project Management phases.

­ You can assign one item DP to multiple PS WBS elements.

­ You can assign one item DP to multiple PS network activities.

­ You can assign multiple Project Management phases to one item DP.

Note:

­ If you have assigned multiple objects, the system displays multiple rows in the phases and decisions dashboard.

­ If you have assigned the item DP to two Project Management phases, the system displays Multiple Phases - and not the link to the objects - in the Timeline Monitor in the Phase Name column.

• Mapping Functions in Common Functions:

If there are multiple source objects, you can define mapping functions to determine the value of a field on the target object. For example, you have mapped two network activities (source) to a decision point (target) and you want to synchronize the start dates. Then you can use the Minimum mapping function to map the earlier start date to the decision point start date.

• Plan vs. Confirmed (Business Context Viewer):

You can display a comparison of the planned time versus the confirmed time for a task/role or a whole project using the side panel of the Business Context Viewer (BCV). This gives you an overview of the current progress of the project.

You can display the confirmed times on a time axis or grouped according to project or phase. You can use this for CATS confirmation or the internal confirmation in the application.

• SAP BusinessObjects Explorer integration:

You can quickly search and explore data for instant insight into your business in all work center dashboards. You can get quick, easy answers to on-the-fly questions without training or IT involvement, by simply entering a few keywords to search for relevant information and then intuitively exploring large volumes of data - without prior knowledge about what data exists or where to find it.

You can navigate to SAP BusinessObjects Explorer directly from the dashboards by choosing SAP BusinessObjects Explorer to display the data and create your own reports.

Moreover, you can:

o Reuse an existing dataset

o Display additional date columns

o Transfer dashboard columns that are not visible

The following features are available if you have implemented BAdI: SAP BusinessObjects Data Export:

o Conversion and data enhancements

o Currency selection and a uniform currency conversion

The following features are available if you have implemented BAdI: SAP BusinessObjects Connection:

o You define whether the system uses SAP BusinessObjects Explorer to transfer dashboard content of SAP Portfolio and Project Management in an on-premise scenario or in an on-demand scenario.

o You provide the connection parameters for the SAP BusinessObjects Explorer in an on-premise scenario.

If you have not implemented this BAdI, the system considers by default an on-demand scenario.

• Transfer to SAP ERP in Portfolio Management:

You can transfer budget or planned costs from an item to the WBS element of a linked PS project. The Transfer to SAP ERP pushbutton is available in the Financial Planning dashboard of the item if the transfer is active for the portfolio type.

• Fiscal year planning in Portfolio Management:

For more information, see release note Fiscal Year Planning (new).

Effects on System Administration

Availability of Resources:

You can test the availability of resources and plan labour costs by executing the RPM_CALC_AVAIL_RESOURCES report.

Effects on Customizing

For all functions mentioned above, you must have switched on the switch 0002 Master Switch -> 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Global Settings.

Capacity assignment to bucket:

• You have selected the Capacity Assignment entry as bucket process for a particular view in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Independent Settings -> Define Financial and Capacity Views -> Define Capacity View.

• If you want to use the search for resource availability at bucket level in Portfolio Management, you must have copied the delivered Customizing entry for the RPO object type (RPM_RES_POOL_SRCH Search Help Name) in Customizing for SAP Portfolio and Project Management under Common Functions -> Search -> Define Search Help for Portfolio Management.

Assignment of subobjects:

• For the particular portfolio item type, if the Link to Project System column is set to PS Project System, you can select an entry in the WBS Element/Network Activity field in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Independent Settings -> Define Portfolio Item Types.

• You have created an entry in the Item Template to PS Project subview and then you have defined the decision point and network related details in the Item Template DP to PS Network Activity subview in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio Independent Settings -> Map Item Template to Project Template or PS Project.

• You have created an entry in the Item Type to PS Project subview and then defined the decision point and the network related details in the Item Type DP to PS Network Activity subview in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Independent Settings -> Map Item Type to Project or PS.

SAP BusinessObjects Explorer integration:

• For conversion and data enhancements, you can use the BAdI INM_BOE_DATA in Customizing for SAP Portfolio and Project Management under Common Functions -> SAP BusinessObjects Explorer Integration -> BAdI: SAP BusinessObjects Data Export.

• To define if the SAP BusinessObjects Explorer transfers dashboard content of SAP Portfolio and Project Management in an on-premise scenario or in an on-demand scenario, you can use the BAdI INM_BOE_CONNECTION in Customizing for SAP Portfolio and Project Management under Common Functions -> SAP BusinessObjects Explorer Integration -> BAdI: SAP BusinessObjects Connection.

Transfer to SAP ERP:

• For a particular portfolio, you have defined the required Transfer Type in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Dependent Settings -> Define Portfolio Types.

• In the Define Financial View subview, you have defined the Amount Type for Transfer and CO Version fields for a particular financial view in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Independent Settings -> Define Financial and Capacity Views.

• For a portfolio item type, you have defined the link to Project System in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Independent Settings -> Define Portfolio Item Types.

Search criteria in Resource Management:

In Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Customizing, choosing 0006 User Interface Settings -> 0020 Default View ( RMF = Favorites and RMV = Selecti View), you have selected RMF or RMV.

Availability of resources:

You have mapped the financial view to the capacity view via a cost/revenue rate in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Base System Interfaces -> Financial Planning Settings -> Define Financial Planning Settings -> Map Fin/Cap Entities to Project Management Rate.

Import from Microsoft Excel:

You can execute the reports in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Utilities -> Transfer Data to SAP Portfolio and Project Management -> Import from Microsoft Excel to Capacity Assignment of Bucket.

Mapping Functions:

• You can define the mapping functions in Customizing for SAP Portfolio and Project Management under Common Functions -> Decision Flow Management Settings -> Attribute Synchronization -> Maintain Mapping Functions.

• You can implement the logic for your custom mapping functions as maintained in Customizing activity Maintain Mapping Functions or change the result of the standard mapping functions in Customizing for SAP Portfolio and Project Management under Common Functions -> Business Add-Ins (BAdIs) -> BAdI: Mapping to Target Object Fields.

Check-In/Check-Out of Documents (New)

Use

As of SAP Portfolio and Project Management 5.0, you can use HTTP-based document management. This enables you to check documents out directly in the application, edit them, and check them back in again. You do not need to lock the document manually while editing it.

Effects on Customizing

You can only use this function if you have activated the HTTP-based check-in and check-out of documents in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Global Settings. For more information, see the Activating HTTP-Based Document Management section of the Basic Settings for Project Management and the Basic Settings for Portfolio Management in SAP Solution Manager.

General Functions (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, you can do the following :

• Import projects from a Microsoft Excel file to Project Management. This enables you to transfer mass data in a quick and easy manner.

• Import data from Microsoft Excel to Portfolio Management:

o To create a bucket, you can import the details of a bucket from Microsoft Excel by executing the RPM_DX_BUCKET report.

o To create a portfolio, you can import the details of a portfolio from Microsoft Excel by executing the RPM_DX_PORTFOLIO report.

• Create project elements directly in the context menu of the structure tree, which enhances the usability.

• Decide if you want the system to automatically generate a version header when you create a version in Project Management.

• Use Floorplan Manager message mapping to change message types or to replace or suppress messages in Project Management.

• Complete a task even if it contains subtasks that are not yet completed.

• Display and edit the substitutes of all project members in the project detail view on the project header.

• Instead of defining or changing settings in several Customizing activities in Decision Flow Management, you can do the following within one transaction:

o You can check, display, define, or change settings for the synchronization of Attribute, Authorization, and Status.

o You can check the completeness of Customizing settings for the synchronization of Attribute, Authorization, and Status.

o You can display the Customizing settings that are already maintained for the synchronization of Attribute, Authorization, and Status.

o You can reset the field values and the log generated using Check Customizing.

Effects on Customizing

• If you want to import projects from Microsoft Excel to Project Management, you need to have carried out the following steps in Customizing for SAP Portfolio and Project Management:

Project Management -> Global Enhancements to Project Elements -> Transfer Data to Project Management -> Configure Fields for Mass Import and Import from Microsoft Excel to Projects.

• If you want to use the automatic generation of a version header, you must select the Internal Numbering of Version Header checkbox in Customizing for Project Management under Structure -> Define Project Types.

• For more information about the required configuration for using the Message Mapper, see the Making Settings for the Message Mapper section of the Basic Settings for Project Management in SAP Solution Manager.

• Import data from Microsoft Excel to Portfolio Management:

You can execute the reports in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Utilities -> Transfer Data to SAP Portfolio and Project Management -> Import from Microsoft Excel to Buckets and Import from Microsoft Excel to Portfolios.

• You can call up the transaction in Customizing for SAP Portfolio and Project Management under Common Functions -> Decision Flow Management Settings -> Check and Maintain Settings for DFM.

Fiscal Year Planning (New)

Use

As of SAP Portfolio and Project Management 5.0, you can define and display data in fiscal year format and therefore use the fiscal year variant for planning a fiscal year in SAP Portfolio and Project Management.

Financial Period Breakdown

For financial and capacity planning, a specific period breakdown according to the fiscal year definition is supported.

Year to Date Values

If you have activated the fiscal year planning, the year-to-date values represent the values from the first periods (P1) of the current fiscal year until the current period.

Exchange Rates

If you have activated the fiscal year planning, the system uses one exchange rate per period during the import from SAP ERP. To determine the exchange rate, the system uses the first day of the period.

Effects on Data Transfer

In case financial values are being imported from the SAP ERP system by linking a portfolio item to a PS project element, the fiscal year variant used for the PS project element and the portfolio item must be the same.

If you use several Controlling areas, for example if you have connected several SAP ERP systems, then you only can import into the portfolio if the fiscal year variants of the Controlling areas are the same.

Effects on System Administration

Migration Reports

If you have switched on 0010 Portfolio Item FI/CO Planning and Integration -> 0006 Fiscal Year Switch (see SAP Note 1457426), you must use the /RPM/MIGRATION_CAL_TO_FISCAL report to transfer the values from calendar year format to fiscal year format.

If you want to copy the fiscal year variants from the SAP ERP system, you can use the /RPM/FISCAL_VARIANT_COPY report.

Effects on Customizing

• To use fiscal year planning, you must have switched on the following:

a) 0002 Master Switch -> 0008 Enhanced Capital and Resource Mgmt Switch (see SAP Note 1457426) in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Global Settings. b) 0010 Portfolio Item FI/CO Planning and Integration -> 0006 Fiscal Year Switch (see SAP Note 1457426) in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Global Settings.

c) If you would like to use a default fiscal year variant for processing, you must have set the value 0010 Portfolio Item FI/CO Planning and Integration -> 0007 Default Fiscal year variant (see SAP Note 1457426) in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Global Settings.

• You defined fiscal year variants in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Maintain Fiscal Year Variant.

• You defined the used fiscal year variant on the portfolio level in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Dependent Settings -> Define Portfolio Types.

BI Content (Enhanced)

Use

As of SAP NetWeaver 7.0 BI Content Add-On 5 SP01 and SAP Portfolio and Project Management 5.0, the following objects are available:

The fields Forecasted Start and Forecasted Finish are available for BI reporting in Project Management.

You can extract the forecasted dates from the Project Management system to the BI system for projects, phases, and checklist items. The info objects for the respective project elements in the BI system now contain the Forecasted Dates field. The following key figures are available:

• 0CPR_FRFR_K (Forecasted Start)

• 0CPR_FRTO_K (Forecasted Finish)

Sort numbers for checklists are available in the BI Content for Project Management.

New data sources for BI content are provided to enable the extraction in case a responsible resource is assigned to the following objects:

Where-Used List for GUID in SAP Portfolio and Project Management (New)

Use

As of SAP Portfolio and Project Management 5.0 SP08, you can create a where-used list for GUIDs by executing the report DPR_GUID_ANALYZE. This report searches all database tables, relevant to SAP Portfolio and Project Management for entries containing the GUID of an application object from this area, for example, a project or portfolio element. The report can be used by system administrators, consultants, or developers during problem analysis.

UI Alignments (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, several UI alignments are available for the Project Management area, the Portfolio Management area, as well as between the Project Management and Portfolio Management area. SAP Portfolio and Project Management 5.0 replaces both the SAP Resource and Portfolio Management (SAP RPM) application and the Collaboration Projects (cProjects) application.

Areas of Alignment

The following alignments are available:

• Floor Plan Manager (FPM) usage

• Object Instance Floorplan (OIF), for example for project details

• Quick Activity Floorplan (QAF), for example for the multi-project monitor

• 4.5 Dashboards have been replaced with work centers in 5.0 (see below)

• Pushbuttons / pushbutton rows (see Usability in Project Management (Enhanced))

• Handling of mandatory fields (see Usability in Project Management (Enhanced))

• Message Area (always visible)

• Terminology (see below)

• Structure of IMG and online help (see below)

Work Centers

The dashboards of release 4.5 have been transformed into work centers in release 5.0. The application views (scopes) in the 4.5 dashboards (such as Last Used Projects, Projects, Favorites, Active Items, or Inactive Items) have been replaced with tabs. The standard views set of columns that are visible by default have been changed.

Opening a project or an item from the work center opens the details in a new window.

Refresh functionality for work centers: You can display the latest refresh date of the dashboard table in this session. In Project Management, if you choose Refresh, the system does not run the evaluations that fill the fields of the dashboard tables, but shows the same behavior as if you had logged on again.

The new Reports pages provide links to BI Web reports.

Services

For Project Management, the following functions are now offered as services:

Portfolio Management

Authorizations (Changed)

Use

As of SAP Portfolio and Project Management 5.0, the authorization handling for creating portfolio objects has been changed. For buckets and portfolios, an additional Create authorization has been added. If you have Create authorization for a portfolio or a bucket, you can create the following portfolio objects within the portfolio or bucket:

• Buckets/Subbuckets

• Items

• Initiatives

• Reviews

• Collections

This enables you to restrict the access to the portfolio or the bucket detail data while still allowing users to create objects within that portfolio or bucket.

When creating a new object, you automatically have Administration authorization for that object.

For decision points in initiatives, the concept of Responsible Role and Responsible Resource replaces the Owner authorization. The roles and assigned resources are defined on the initiative. You can set a responsible role or resource on the decision point.

Effects on Customizing

To implement customer-specific authorization checks, such as including customer-defined authorization activities or setting authorizations other than default authorizations during creation, you can use the Business Add-In Customizing for SAP Portfolio and Project Management under Portfolio Management -> Business Add-Ins and Customer Includes -> BAdI: ACL Authorization for Portfolio Management.

Change Documents (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, the following changes have been made to the change documents in Portfolio Management.

To activate the view for the change documents in the item and initiative user interface (UI), you need to select the following checkbox under User Settings -> Display Change Documents:

• Change Documents for Items (enhanced)

For the item, the existing change document functionality has been enhanced with this release. Previously, the standard fields of the item were logged. As of this release, the system also logs changes to the derived fields of the item such as Planned Cost or Total Budget.

• Change Documents for Initiatives (new)

For initiatives, the system writes change documents for the following areas:

o Detail Data

o Status

o Object Links

o Authorizations

In addition, the system logs the creation of initiatives as well as the addition and removal of items.

The written change documents include the object name, object category, action, old value, and new value, as well as changed by, changed on, and changed at.

You can activate this function for the initiative in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Process and Service Settings -> Activate Change Document.

Classification (New)

Use

As of SAP Portfolio and Project Management 5.0, you can create classification hierarchies that are alternatives to the standard portfolio hierarchy. The standard portfolio hierarchy usually represents the organizational structure of the company. With classification hierarchies, you can define alternative bucket structures with clusters of items and initiatives; for example, you can add a market-based view to a portfolio. Classification hierarchies provide more flexibility and additional views of the items and initiatives within a portfolio. You can assign items and initiatives to the buckets within these classification hierarchies. You can use the classification hierarchies to get alternative views and specific operations regarding the financial and capacity planning data.

Classification Hierarchy Structure

A classification hierarchy consists of a multilevel bucket structure, just like a standard portfolio.

The classification hierarchy can be one of the following:

• Cross-Portfolio:

You can assign portfolio objects in all existing portfolios to the cross-portfolio classification. Several cross-portfolio classification hierarchies can exist per portfolio management system.

• Portfolio-Specific:

You create the classification hierarchy specifically within one portfolio. You can only assign portfolio objects of that specific portfolio to the classification hierarchy. You can create several portfolio-specific classification hierarchies per portfolio.

Within a classification hierarchy, you cannot create new items and initiatives - you can only assign existing portfolio objects to the classification hierarchies. Within classification hierarchies, you can create reviews, what-if scenarios, and collections based on the assigned items and initiatives.

You can mark classification hierarchies as mandatory. All items and initiatives in the given context then have to be assigned to this hierarchy.

• If the hierarchy is cross-portfolio, assignment to this hierarchy is mandatory for all items and initiatives in the portfolio management system.

• If the hierarchy is portfolio-specific, assignment to this hierarchy is mandatory for all items and initiatives within the parent portfolio of this hierarchy.

When working in the context of a portfolio, you can access all available classification hierarchies via the Classification Hierarchies work center. It provides a table and graphical representation of the bucket structures of the classification hierarchies. Using the Item/Initiatives pushbutton, you can access a list of all items and initiatives within the selected buckets.

Classification of Items/Initiatives

You can assign an item or initiative to one or more classification hierarchies. When creating the assignment, you can define what percentage of the item's financial and capacity planning is assigned to a certain bucket. For example, the item "New Carpet Shampoo" has planned costs of

100,000 USD. Fifty percent of the item's planning value is assigned to the "Americas" bucket, and 50% is assigned to the "Europe" bucket. Therefore, 50,000 USD would be rolled up from the item to the "Americas" and "Europe" buckets in the classification hierarchy.

It is also possible to define different percentage values for financial and capacity planning.

You can review all the classification hierarchies to which an item or an initiative is assigned in the object details by choosing the Overview view and then the Classification subview.

You can also use classifications for item and initiative templates. When creating from templates, all of the classifications from the template that are allowed for the current portfolio are copied to the operative portfolio object.

Effects on Customizing

A new global setting has been created to define whether cross-portfolio classification hierarchies or portfolio-specific classification hierarchies or both can be used. You can check this setting in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Check Global Settings:

Concept Phase Support (New)

Use

As of SAP Portfolio and Project Management 5.0, support for the concept phase in the product development process has been improved.

Process Change

In the early phases of product development, it is sometimes unclear what kind of project will develop out of a new idea or concept. If you have chosen the Change Process pushbutton in the object details, you can do the following:

• Change the item or initiative type that defines the phases in the project after the initial creation of a portfolio object.

Rules in Customizing define which portfolio object type you can switch to. These possibilities to switch can be restricted by the current decision point. The decision points and the decision point's status of the portfolio object types are mapped.

• Decide whether previous decision points should be deleted or renamed (according to the mapping in Customizing).

• Create a version of the object.

Item Details and Initiative Details Screens

In the concept phase, additional descriptive data is required to provide a more detailed view on the concept to all stakeholders. The following functions have been added:

• Thumbnails in Item Details and Initiative Details Screens

On the Item Details and Initiative Details screens, you can add a picture as a thumbnail. The thumbnail is displayed in the General Information subview of the Overview view. The thumbnails are displayed only after you save the item or initiative, and the uploaded picture is then stored in the document repository of the item or initiative.

• Customer-Defined Long Text Fields

You can define long text fields that can be dependent on item type or initiative type. Rich Text Format (RTF) is available for these long text fields. All long text fields are displayed in the Custom Long Text Fields subview of the Overview view.

• Text Field Support for Questionnaires

Within questionnaires, a new Text question type has been provided. The answers are not taken into account for score calculation but can be used to add descriptive texts and user judgements.

Effects on Existing Data

When you change the item type or initiative type, the decision points are changed and the decision point statuses are updated accordingly.

DataSources for Delta Extraction of Role Demand and Staffing Data (New)

Use

As of SAP Portfolio and Project Management 5.0 SP08, the following new DataSources are available:

• 0RPM_ROLE_D_DELTA for project role data

• 0RPM_RELATE_D_DELTA for role staffing data

These DataSources support delta extraction. If you use delta extraction, the relevant changes are transferred to the BW delta queue whenever the corresponding data is saved in the application. This enables a faster transfer of application data to the Business Warehouse than the existing DataSources 0RPM_ROLE_D and 0RPM_RELATE_D, which only support full extraction.

Note, however, that only the DataSources are delivered by SAP. Customers who wish to use them need to develop the BI Content required to process and analyze the data in the Business Warehouse.

To activate the transfer of the relevant project data to the BW delta queue, make the following entry in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Global Settings -> Override Default Global Settings:

Document Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, the following changes have been made to document management in Portfolio Management. By default, the new document management based on Knowledge Provider (KPro) is used.

KPro-Based Document Management

The document management systems of Portfolio and Project Management have been aligned. In addition to the already existing KM-based document management, a new KPro-based document management is available. The document management system that is used can be specified using a checkbox in Customizing (see 'Effects on Customizing').

The new document management layer is supported for the following portfolio objects:

• Portfolio

• Bucket

• Collection

• Review

• Item

• Initiative

• Decision Point

Templates

The document management supports document templates that can be defined under Portfolio and Project Administration -> Portfolio Management Templates -> Document Templates. For each object type, you can define folders and documents that can be copied over to operative objects. To use the document templates in the operative portfolio object, you need to set the status of the document in the template to Released.

Assigning Documents

Within the document structure, the top-level node always represents the portfolio object. Therefore, no document-specific functions such as authorization and versions are supported for this node. Below the top-level node, you can create new folders and documents.

To protect the document from unauthorized access, you can define authorizations per document or folder. You can define the following authorizations per user or per role:

• Admin

• Read

• Write

• None

Within the folder structure, the authorizations are inherited from the parent folder to the folders and documents below it.

When you change the content of a document, you can either overwrite the current content or create a new version. When you create a new version, the previous document is stored as a read-only version. Versions can also be deleted from the content versions tab.

Navigation to Project/Item Documents

If you have a link between a portfolio item and a project, you can navigate directly from the documents tab of the portfolio to the project and vice versa.

KM-Based Document Management

The KM-based document management requires Java web services for integration to the KM functionality. You can only use the KM-based document management functionality if you run Portfolio Management in a portal environment and the software component PPM_KM is deployed on that portal.

With SAP Portfolio and Project Management 5.0, the KM folder for the portfolio object is created when the object itself is created. At the same time, the authorizations of the portfolio object are copied over to the KM folder. This only applies to the authorizations that are maintained directly for the portfolio object. When a user has inherited authorizations for a portfolio item, he or she is not added automatically to the KM folder. However, if he or she accesses the document in KM, the system checks the inherited authorization and adds the user during runtime as an authorization holder.

Whenever the user changes the object authorization, these changes are also transferred to the KM folder. For example, if a user is deleted as authorization holder for a portfolio item, this user is also deleted as an authorization holder for the KM folder and he or she can no longer access the item documents. As KM does not support the assignment of authorizations vias roles, the roles of the portfolio object are dissolved and all users in the role are added to the KM folder.

Financial and Capacity Planning (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0 SP09, financial and capacity planning within Portfolio Management has been enhanced in the following ways:

• ALV View for Financial and Capacity Planning Data

You can display the financial and capacity planning data of buckets, items, initiatives and what-if scenarios using the SAP List Viewer (ALV). The new ALV view provides all the functionality available in the old list display. Based on the standard ALV functionality, it also offers the following additional options:

o Ad-hoc filtering of the ALV list

o Printing the data as a PDF document

o Exporting the data to Microsoft Excel

• Change Documents for Financial and Capacity Planning Values

Changes to financial and capacity planning values of buckets, items, initiatives, and what-if scenarios can be documented. You can display the change documents within the respective Portfolio Management object on the Change Documents subview of the Miscellaneous view. On this subview, two extra tab pages have been added for financial and capacity planning changes.

• Automatic Calculation of Item and Initiative Headcount and Effort

The following field values on the Capacity Information subview of the item and initiative overview can be calculated by the system:

o Actual Effort and Planned Effort, Work Effort Year to Date and Planned Effort Year to Date

According to the SAP standard functionality, these values are calculated from the relevant capacity-planning values of the item or initiative. They can, however, also be determined according to a customer-defined logic.

o Actual Headcount

This value can only be determined according to a customer-defined logic. However, SAP provides a sample implementation in which the headcount is derived from the staff assignments of the projects linked to the item or initiative.

Financial Integration (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, financial integration has been enhanced.

To transfer costs to SAP Portfolio and Project Management, you can execute either one of the following reports:

• RPM_FICO_DATA_TRANSFER in the SAP ERP system

• /RPM/FICO_INT_PLANNING in the SAP Portfolio and Project Management system

Integration for Item

Transfer of financial planning data from Project System (PS) to SAP Portfolio and Project Management has been simplified. In Customizing, you can configure the following:

• You can activate hierarchy processing to ensure that project hierarchies are handled in line with Project System during the transfer of financial planning data.

• The transfer of planned data of orders and networks is affected if hierarchy processing is activated and if orders or networks are appended.

Note: In case of hierarchy processing, only planned data of appended orders and networks is transferred to SAP Portfolio and Project Management.

• You can specify for each settlement receiver whether it is considered in settlement during the transfer of financial planning data from PS to Portfolio and Project Management. SAP Portfolio and Project Management ensures that when financial planning data is transferred from Project System, costs and settlements do not cancel each other out, and that you can see costs for a project.

• The mapping rules have been enhanced: The data transferred from SAP ERP can be mapped based on additional attributes, that is, cost element group, cost center, cost center group, activity type, and activity type group.

Currency Handling

In Customizing, you can specify how currency is handled during the upload of financial data from Project System to SAP Portfolio and Project Management. In the application, you can choose the currency in which the financial planning data is displayed, and the unit in which capacity planning data is displayed.

In Customizing, you can specify the currency conversion rates to be used. By means of smart currency conversion, the system avoids unnecessary conversions and ensures that the values displayed in SAP Portfolio and Project Management are in line with SAP ERP.

As of SAP Portfolio and Project Management 5.0, you can mass import item and initiative data from Microsoft Excel workbooks. The workbooks contain sheets in which you can populate fields that match those in the item or initiative.

Metrics Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, the metrics management has been enhanced. Depending on the type of project or proposal, different metrics to measure the performance of the project or proposal are needed. You can now define per metric whether it is relevant for all items and initiatives in Portfolio Management or just for items and initiatives of a certain type. In addition, the metrics can now be added to the dashboard via Customizing. In addition to the values, icons derived by the key figure monitor can be embedded in the dashboards.

Within metrics management, financial figures are planned. SAP Portfolio and Project Management 5.0 offers a standard calculation report (INM_KFM_REP_IPO_FINPLAN) which allows the calculation of metrics via the key figure monitor based on the categories, groups, and views of the financial and capacity planning.

Object-Type Dependent Metrics

You can define metric groups, metrics, and metrics value types that are available for an object type in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Global Customizing -> Portfolio-Independent Settings -> Define Portfolio Item Types and Define Initiative Types.

Direct Navigation to the UI of the Linked Object

In the Application column, there is a link that calls up the transaction or URL specified for the linked object directly. If several applications are assigned to the linked object, the system displays a list of all applications and the corresponding direct links. You configure which applications can be started in Customizing for SAP Portfolio and Project Management under Portfolio Management -> Base System Interfaces -> Application Object Settings ->

• Make Settings for Calling an SAP Transaction. Here, you also define the description of the transaction or URL.

• Define Object Link Types. In this Customizing activity, select an object type and choose Service for an Object Type.

Creating a Link to an Unidentified Object

You can create links to unidentified objects, for example, when you are planning a link to an object that does not yet exist. Therefore, select the Identify Object Later checkbox when creating the object link, then choose Add Objects. A new entry is created with the text Object not yet identified in the Identification column.

You can create object links between SAP Portfolio and Project Management and SAP Product Lifecycle Management (SAP PLM). The following object link types are available for the integration with SAP PLM:

Usage of BCV for Portfolio Reporting (New)

Use

As of SAP Portfolio and Project Management 5.0, the Business Context Viewer (BCV) is used for portfolio reporting.

BCV is a standard framework that you can use to show context-related information using a side panel. For Portfolio Management, BCV replaces the technology used to provide the reporting cockpit and the portfolio charts.

BCV offers the following features:

• Generic side panel area

• Support for several analytical functions

• Dashboard functionality

• Configuration center for business content

For Portfolio Management, the following functions are supported with BCV:

• Reporting cockpit

• Financial reporting cockpit

• Financial and capacity planning charts

• Phase/decision point graphics

To use the BCV functions, the following roles are mandatory:

• SAP_RPM_BCV_USER_COMP (for user)

• SAP_BCV_ADMIN (for administrator)

Effects on Customizing

To be able to make settings in Customizing, such as for creating custom charts and tables and for configuring existing charts and tables, you must have the SAP_BCV_ADMIN role.

You can then copy from standard content or create new BCV objects, such as search connectors, BCV queries, BCV query views, BCV dashboards, BCV overviews, and so on.

For the financial reporting cockpit, the customer can directly view his or her custom BCV query views and BCV dashboards in the side panel area.

You can configure the standard InfoSets to add fields that are not already in the search connector, such as custom fields. The user would then need to create his or her own BCV objects for these fields.

Usability in Portfolio Management (Changed)

Use

As of SAP Portfolio and Project Management 5.0, numerous improvements to the user interface are available. The improvements cover the adjustment of the screens to the Floor Plan Manager (FPM) concept, the rearrangement of existing fields and data, as well as enhancements to the user settings. A large number of adjustments were required due to the technology change; only the major ones are listed here.

Navigation Adjustments

The navigation within the application has been adjusted. Instead of navigating via the navigation panel on the left, the navigation is now performed using pushbuttons, views, and subviews. Most of the entries in the navigation panel have been realized via views. The following entries have been added as pushbuttons in the toolbar of the details view of a portfolio object. The details view is realized in the Object Instance Floorplan (OIF):

It is also possible to choose currencies or units that are different than the items/initiatives planning currency. The financial and capacity planning is only changeable when the values are displayed in the planning currency/unit.

Graphical View of the Portfolio Structure of Buckets

A graphical view of the portfolio structure of buckets has been created. You can navigate to the graphical view by choosing Portfolio Structure -> Portfolio Structure Graphic. It displays the buckets and subbuckets of the current context as nodes.

Depending on your Customizing settings, the IDs can be generated using one of the following options:

This enables you to use readable or meaningful IDs. The IDs generated by the system can be manually overwritten during portfolio maintenance.

The portfolio-type-dependent user interface configuration can vary according to the authorizations of the users accessing a Portfolio Management object. For example, a particular field can be ready for input for a user with Admin authorization for this object, whereas it is read-only for a user with Write authorization.

• Portfolio-Type-Dependent Field Configuration for Dashboards

The field configuration of dashboards for Portfolio Management objects can vary according to the portfolio type of the portfolio in which they are called.

• Filtering Item and Initiative Types According to Portfolio Type

When you create an item or initiative, the item or initiative types available can be filtered in such a way that only those relevant to the current portfolio type are offered for selection.

• Reporting for Selected Items and Initiatives

When launching the reporting cockpit of the Business Context Viewer from the item or initiative dashboard, you can select the items or initiatives for which the report is to be created. If you do not activate this enhancement, the reporting cockpit will be launched for all the items or initiatives displayed in the dashboard.

• Metrics for Items and Initiatives

Depending on the item or initiative type, the following metrics are displayed on the Metrics subview of an item or initiative:

o If metrics have been assigned to the item or initiativ type, these metrics are displayed.

Use

The following enhancements to Portfolio Management are available as of SAP Portfolio and Project Management 5.0 SP10:

• Decision Point Status in Item and Initiative Header

In the process steps for items and initiatives, the status icon of decision points can be displayed instead of the decision point icon. This makes it possible for you to see the status of a decision point directly in the object header.

• Customer-Defined Item and Initiative Dashboard

You can define your own item and initiative dashboards. This enables you to use your own logic for selecting the dashboard objects, and to select the columns displayed in the dashboard according to your needs. The customer-defined dashboards can be displayed in the following places:

o As an additional view in the item or initiative dashboard

o As an additional subview in the Items or Initiatives view of buckets

• Accumulation of Object Numbers in the Bucket Dashboard

The bucket dashboard displays the number of items, item templates, initiatives, initiative templates and reviews assigned to a bucket. These numbers can now be accumulated in the portfolio structure and the classification hierarchy. This means that in the bucket dashboard, you see the number of objects assigned to the current bucket and its subordinate buckets. If you do not activate this enhancement, the bucket dashboard only displays the number of objects directly assigned to the current bucket.

• Moving Items/Initiatives to Another Bucket

You can move an item or initiative from one bucket to another if you have Create authorization for the original bucket and the new bucket. If you do not activate this enhancement, you need Admin authorization for both buckets.

• Opening the Multi-Project Monitor from the Item Dashboard

The multi-project monitor, which is already available in Project Management, can now also be opened from the item dashboard to display the projects linked to one or more items. Select the items in the dashboard and choose Open Multi-Project Monitor. Depending on your system settings, the monitor is displayed in the current window or in a new window.

• Toggling Between Edit and Display Mode

From the Portfolio Management views, you can toggle between edit and display mode using the Edit and Read Only buttons. These buttons are now displayed in the same place.

• Enhanced Resource Maintenance

Version Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, version management for initiatives is available and version management for items has been enhanced.

Version Management for Initiatives (New)

You can create and display versions of an initiative in the version dashboard. To display the version dashboard, choose Portfolio Initiatives. Select an initiative to display the Initiative Details screen. On the details screen, select the Miscellaneous view and then select the Versions subview.

For initiatives, you can choose between the version types Snapshot and Simulation.

If the initiative has items assigned to it, the system creates versions for the items along with the initiative version. The item versions inherit the version type from the initiative version; you cannot change the item version type. If at least one of the assigned items is linked to a project, you can decide whether you also want to version the project that is assigned to the items.

The version dashboard for the item has been enhanced by the following columns:

• Original Initiative Name

• Version Information Name

These fields are only filled if the item version was created from an initiative.

During version creation, the system copies the following data from the original initiative to the initiative version:

• Initiative detail data

• Values of financial and capacity planning

• Decision points and phases of the initiative

• Checklists

• Metrics

• Questionnaires

• Object links

• Relations

• Documents (only if you use KPro-based document management )

The authorizations displayed in the version details are the authorizations you have maintained for the original initiative. The same applies for the link to collaboration rooms; the link displays the collaboration room for the original initiative.

Equal Efforts When Staffing with Multiple Resources (New)

It ensures that when a role is staffed with multiple resources at the same time on the cross-project Staffing Overview, equal shares of the required effort are assigned to all resources by default. If the availability of a resource is insufficient to provide its share of the required effort, the remaining demand is divided evenly among the other resources.

Alternatively, you can define your own logic to divide the effort among the resources involved.

If this feature is not active, the system covers the role demand by using up the entire availability of the first resource before consuming that of the second one, and so on.

Authorizations in Resource Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0 SP08, project-specific authorizations obtained through role or resource assignment can be deleted automatically when the corresponding role or staffing is deleted. The affected authorizations may have been changed after their original assignment. For this reason, you can decide whether the delete function is to be applied to all authorizations related to the role or resource, or only to those that remain unchanged. You can define this deletion condition generically for all roles and staff assignments, or you can specify it in a dialog box when deleting individual roles or staff assignments.

As of SAP Portfolio and Project Management 5.0, the following new RFC-enabled function modules are available. All these function modules are enabled for multiple objects. This means that it is possible to get the necessary information for n objects with one single call. For performance reasons, the function modules determine the necessary data directly via database access without using the standard object model.

You can use this function to display the URL of the current sub view or tab page and add this URL to your browser favorites. This enables you to directly access any sub view of the Structure view, or any tab page of the Details sub view for a project element by using the browser favorites.

As of SAP Portfolio and Project Management 5.0, the main functions for confirming tasks and checklist items are available on new additional screens.

You can select several tasks in the Tasks work center. Choosing Confirm opens the task confirmation table in a new window.

On the new confirmation screens, you can do the following for tasks:

• Maintain several time-confirmation related fields of a task (depending if CATS time confirmation is active or not)

• Set the status of a task

• Add notes to a task in a new window

• Attach documents to a task in a new window

• Open task details in a new window

• View the role or resource assignments for a task in a new window

• Copy planned start to actual start

• Copy planned finish to actual finish

You can select several checklist items in the Checklist Items work center. Choosing Confirm opens the checklist item confirmation table in a new window.

Drag and Drop (New)

Use

As of SAP Portfolio and Project Management 5.0, drag and drop for project elements is available to change the project structure as well as to create relationships between tasks.

You can change the order of project elements as well as the hierarchy of project elements using drag and drop in the followings sub views under the Structure view:

• Detail

• Table

• Graphic

Drag and drop to change the order of project elements is available for the following:

• Operational projects

• Templates

• Simulations (not for snapshots as they are read-only)

You can use drag and drop in edit mode but not in read-only mode. If you drag an element over and drop it onto another element, the drag and drop functionality is equivalent to the cut and paste functionality. The sort numbers are not changed. If you drop an element between two other elements, the system automatically adjusts the sort numbers when inserting it. The system adjusts the numbers in the tree from where the element was taken as well as in the tree in which the element is newly inserted. This also overwrites sort numbers that were set manually.

The following drag and drop functionality is available for the different project elements:

• Project definition (including programs): As there is only one project definition in a project and this project definition is always located at the top of the hierarchy, no drag and drop is possible.

• Phases: All phases within a project are on the same level, thus it is possible to change the order of phases by using drag and drop. You cannot drop a phase onto another project element.

• Tasks (including master tasks, mirrored tasks, sub projects, and milestones):

o Tasks under the project definition: You can change the order of tasks under the project definition. Therefore, dropping between project elements (on the same level) is possible. It is not possible to have a hierarchy of tasks under the project definition, and tasks under a project definition cannot be dropped under a phase or a task.

o For other tasks (such as tasks under phases, tasks under tasks, tasks under checklist items) drag and drop between two elements is supported by placing the element on the same level in between these two elements. Drag and drop onto a single element creates it as a sub object.

o You cannot use drag and drop for mirrored tasks.

• Checklists or checklist references:

o Checklists or checklist references under project definition: It is possible to change the order of checklists or checklist references under the project definition. Therefore, dropping between project elements (on the same level) is possible. It is not possible to have a hierarchy of checklists or checklist references, and checklists or checklist references under a project definition cannot be dropped under a phase or another tasks.

o Checklists under phases: It possible to change the order of checklists under a phase and to drag and drop a checklist to another phase. It is not possible to have a hierarchy of checklists, and checklists under a phase cannot be dropped under the project definition.

o You cannot use drag and drop for checklist references.

• Checklist items: As checklist items can only occur under checklists and without hierarchies, you can use drag and drop either to change the order of checklist items under the same checklist or to move checklist items from one checklist to another.

Up to cProjects 4.5, tasks and checklists on the same level were always ordered block-wise, with the tasks in the upper area and the checklists in the lower area. Since sort numbers for checklists are available in release 5.0 (see Usability in Project Management (Enhanced)), it is possible to allow for tasks and checklist on the same level to appear in mixed order. In this case, they share the same range of sort numbers and the mixed order of elements can be changed by using drag and drop.

Drag and drop is also possible for multiple selection. However, in cases of mixed multiple selection (such as tasks and phases) the system considers the respective options as described above and does not execute the drag and drop in case of a conflict.

Sub Object Tabs

Drag and drop is also available for the sub object tabs Tasks, Subtasks, and Checklist Items. These three tabs only display elements of the same type that are located on the same level and which have the same parent node. Therefore, only drag and drop between project elements is possible. If you change the order of elements on one of these tabs, this is reflected in the structure tree. This is the same as when you change the order of elements by changing the sort number.

The system uses sequential copying if you select multiple elements. This means it inserts one project element including all subordinate project elements after the other. Moreover, if you use drag and drop in combination with multiple selection, the order of the selected objects is leading and not the order of elements in the structure.

Relationships Between Tasks

You can create or edit relationships between tasks using drag and drop. You can select a task from the project structure tree and drop it in either the Predecessor or the Successor table of the Relationships screen. By default, a finish-start relationship with the calendar type Use from Project is created.

Forecasted Dates (New)

Use

As of SAP Portfolio and Project Management 5.0, forecasted dates are available for project elements. Forecasted dates help capture a specific date that is important for the project manager. Forecasted dates do not change in case of re-scheduling and can serve as a baseline for the project manager. Forecasted dates can be used as a basis for measuring and reporting schedule performance, for example to facilitate analysis of schedule progress in the Gantt chart, or to restore a specific schedule which was originally planned for a specific project element.

If you have administration authorization, you can edit the forecasted dates manually with arbitrary date values or you can copy the earliest or latest date to the forecasted date. You can do this on the Dates and Work tab page by choosing Forecasted Dates. You can also edit forecasted dates across the whole project, across phases, or across task hierarchies by using the top level button on the Structure - Detail view. The available copy function copies the date, depending on the available type of date on the project element, to the forecasted date (such as Calculated Start/Finish on the project definition, Earliest Start/Finish or Latest Start/Finish on phases and tasks, and so on).

Depending on the project type Customizing, users without administration authorization can only see plan dates (if they have at least read authorization).

The forecasted date can also be used for a comparison in the Gantt chart.

The forecasted dates are contained in the following:

• Evaluations

• Project versions, in version comparison and reconciliation

• Print-outs that contain calculated dates (not in Smart Forms)

The forecasted dates of the project are mapped to the forecasted dates of the item of the Portfolio Management application.

Graphical View (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, the following enhancements of the graphical view are available:

• Version comparison in the Gantt chart for snapshots, simulations, and forecasted dates

o You can do a version comparison of an operational project in the Gantt chart for snapshots, simulations, and forecasted dates. The forecasted date, simulation, or snapshot are shown as shaded bar per project element. You can compare changes of the operational project with original planned schedule or view the impact of a project simulation for the future more easily.

o Starting from a snapshot or a simulation, you can also compare a snapshot or a simulation with an operational project or another snapshot, simulation, or forecasted dates.

o In addition, the columns Deviation, Version Start, and Version Finish are available which complement comparison with snapshots or simulations. If you compare a project with its forecasted dates, the columns Deviation, Forecasted Start and Forecasted Finish are available.

o You can also open the comparison for a simulation or a snapshot directly from the Gantt chart to see which changes have been made besides the schedule (such as status or documents, and so on). The direct connection to the comparison reduces navigation and thus improves the usability of the solution.

o You can also open the graphical version comparison from the reconciliation screen.

o The field control data for the source project is also taken for the target project (and not the own field control of the target project).

• Scheduling conflicts are visualized

o Scheduling conflicts can be highlighted in the Gantt chart. The rows of project elements with a conflict are highlighted. This enables you to identify conflicts in the Gantt chart and gives you a better overview of all conflicts across the project schedule. You can take immediate action to solve the scheduling conflicts directly in the Gantt chart. In this context is particularly useful to directly access the project details.

o The option to deactivate this feature in the user settings gives you the flexibility to choose whether you want to see the scheduling conflicts.

• Access to project details

o You can access and edit the most important project details per project element directly from the Gantt chart by clicking the object and choosing Details. There is no need to switch back to the project details to work on the Basic Data tab, and the Dates and Work tab, for example.

o You can now edit the lag within the dialog box of a relationship directly in the Gantt chart.

• Improved printing of the Gantt chart

o In previous releases, the option to define a specific time frame for the printing of a Gantt chart was not available. You can now set a date ranges defining the print area of the project in a dialog box via the Settings pushbutton. There two fields Start Date and Finish Date are displayed If the dates are set, only the defined range is shown in the print preview and only this range is printed. If only the start date is set, the project is displayed from that date to the end of the project. If only the finish date is set, the project is shown from the beginning of the project until the defined finish date. This is in particular a benefit for you if you only want to focus on a specific time frame of a larger project.

o The defined time frame is also complemented by the new Date Range view. This view only shows the defined date range.

o The improved printing of the Gantt chart is also available in the multi-project monitor.

• Views for the Gantt chart

o Two new views are available and the other views were slightly adjusted concerning the visible time frame, to enable a better handling of scheduling. The following new views are are available:

o The new view Date Range complements the option to set a Start Date and Finish Date.

o The new view Fit only shows the complete project without any overlap of the visible time frame at the beginning and the end of the project.

• BAdI Enhancements

o The method DISPLAY_ADDITIONAL_FIELDS of the BAdI DPR_GANTT supports the option to make additional customer fields and standard fields visible as columns in the Gantt chart. For more information, see Customizing for Project Management under Global Enhancements to Project Elements -> Business Add-Ins (BAdIs) -> BAdI: Check or Change Graphical View Display.

Control Plans Obsolete

Control plans (including control plan templates, search for control plan objects, and so on) are obsolete (see SAP Note 1114207) and invisible per default, but can be enabled (which is not recommended), see SAP Note 1404960.

Obsolete Web Dynpro ABAP UI Components and Applications

The following UI components are obsolete and have been moved to the package DEVELOPMENT_PROJECTS_UI_OBSOLE:

The obsolete BSP pages for SRM integration and import/export have been deleted as they have been replaced by Web Dynpro ABAP screens. Additionally, the former ActiveX for import/export of MSP files has also been deleted as it has been replaced by a NetWeaver solution.

Start Page, and Exit Pushbuttons Removed

The pushbuttons Start Page and Exit are obsolete in release 5.0 due to the new navigation and have been removed accordingly.

Business Package for SAP Portfolio and Project Management 5.0

In release 4.5, you were able to call the whole cProjects application in one single iView. There is no such iView in the Business Package for Portfolio and Project Management 5.0 as all the functionality of the application is available via the delivered content of the business package as well.

Nesting Depth of Custom UI Components

Some browsers support only a restricted nesting depth of HTML tables. This is relevant for example for Microsoft Internet Explorer 6 and Firefox. If the nesting depth gets too large, the browser no longer renders elements. The nesting depth of Project Management has changed with release 5.0 mainly due to Floor Plan Manager usage and UI alignments. This has increased the standard nesting depth in some areas. We recommend that you check and adapt your custom UI components and/or enhancements/modifications accordingly in case of any issues.

Filter for Project Elements (Enhanced)

Use

The enhancement described here is available as of

It enables you to use the filter function available on the Structure view of a project to filter all project elements, regardless of the element or subtree you have selected in the structure tree of your project. BCV Reporting for Resource Management (New)

Use

As of SAP Portfolio and Project Management, you can start BCV graphics displaying the resource assignment and role demand from the Resource Overview and Staffing Overview screens in the project and in the cross project views (Fast Entry Screens in Portfolio Management). Overall, four new graphics are available. The graphics are displayed in a preview mode in the side panel. You can also enlarge the graphics in a new window, where enhanced capabilities for analyzing the data can be used (such as filtering or navigation). The BCV reports are started using the Additional Information on Resources link in the header of the project's resources views or the cross project staffing or resources views. Depending on the current selection, the following graphics can be displayed:

• Role staffing

Displays for a selected role all resource assignments with the assigned effort distributed over the periods.

• Role demand

Displays for a selected role the aggregated values for remaining demand, remaining demand including soft bookings, and the total demand of the role.

• Business partner staffing

Displays for a selected resource all role assignments. This could also include role assignments from other projects. The assigned effort is displayed in a stacked column chart, where each section represents a single staffing.

• Business partner availability

Displays for a selected resource the aggregated values for total availability, remaining availability, and remaining availability including soft bookings.

Prerequisites

To use Business Context Viewer (BCV) reporting, the business function /BCV/MAIN needs to be active. This enables the BCV-specific functions such as configuration center, the Customizing entries of the BCV Customizing. In the delivery customizing of BCV, standard printforms are available, one for portrait and one for landscape printing of the BCV graphics and tables.

To use the BCV functionality, you need to have the role SAP_BCV_USER. To access the respective resource data in Portfolio and Project Management, you need the role SAP_CPR_BCV_USER. These both roles are combined in the new PFCG role SAP_CPR_BCV_USER_COMP which is required to start the BCV reporting for resource management.

The staffing overview with focus on dates focuses on non-distributed data. It contains the master data of the roles, resource assignments, and task assignments (such as demand, assigned effort, start and finish dates). The data can be maintained directly in the table or in the detail view.

The staffing overview shows a hierarchical view of all the roles in the project. The hierarchy contains the following data:

In the described views, a new menu is available per object. You can open the menu for the selected object by left-clicking it. Here you can access the main functionality, such as Assign As Resource or Delete Staffing. The menu item Details always starts the details of the selected object in a popup.

Sending e-Mails

In previous releases, you could send e-mail notifications using local e-mail clients such as Microsoft Outlook. This is no longer possible. From this release, e-mail notifications are sent from the back end.

Resource Management Views

The cProjects 4.5 resource management views Roles and Role Staffings are invisible by default. They can be made visible by using the method SET_VISIBLE_RESOURCE_VIEWS of the BAdI DPR_RES_OVERVIEW contained in the enhancement spot CPRO_RES_OVERVIEW.

Resource Overview with Focus on Dates

The aggregated values are displayed per period. For the resource, an icon indicates per period whether the resource has remaining capacity. You can modify the value of the icon by using the method GET_ICON_BUPA of the BAdI DPR_RES_OVERVIEW contained in the enhancement spot CPRO_RES_OVERVIEW.

Sort Roles

The former Sort Roles functionality has been replaced by Sort Ascending/Sort Descending. You can activate the previous version by using the method SORT_ROLE_DROPDOWN of the BAdI DPR_RES_OVERVIEW contained in the enhancement spot CPRO_RES_OVERVIEW. The Sort Ascending/Sort Descending functionality is available on the Staffing Overview views and the role detail.

You can specify that this function is triggered automatically by the system. The automatic update function can be applied to all roles or only specific roles such as roles of a specific type or roles used within a specific project type. • Directly running a resource search

You can specify that the resource search starts immediately when you choose Resource Search on the Resources view of a project. Usability in Project Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, multiple improvements to the user interface are available. The improvements cover the adjustment of the screens to the Floor Plan Manager concept, the rearrangement of existing fields and data, as well as enhancements to the user settings. In addition, the handling of existing functionality was improved and new functionality was developed for project elements.

Floor Plan Manager Adjustments

Extended Availability of Information About Substitutes

• The substitute names for a project are visible on the tasks dashboard and on the detail screen. If you maintain a substitute for a project, you can see the tasks related to this substitution on the tasks dashboard by using the My Tasks As Substitute view.

• In addition, the substitute name appears for the project definition on the Basic Data of the detail view. A popup also provides substitute details. The popup contains a table that shows each substitute for the corresponding responsible person. The person who is responsible for the project has administrative authorization and can also maintain his or her substitute on this popup.

Changed Functionality

• Multi-project monitor: As of SAP Portfolio and Project Management 5.0, the data is read directly from the database for better performance. This implies that the field control is not available on field level but only on column level. The former multi-project monitor version can be activated via the BAdI DPR_MPM. For more information, see Customizing for SAP Portfolio and Project Management under Project Management -> Structure -> BAdI: Influence or Check Functions in Multi-Project Management.

• If a user has ACO_SUPER authorization, he or she is now able to access projects for which the activity None for his or her user is set.

• Documents: For security reasons, it will no longer be possible to save non-standard URLs (such as file paths) as documents (the URL may contain fatal script). For more information, see SAP Notes 1236155 and 866020.

• BAdI: Determine Explosion Mode for 'SAP DMS' Tab (DPR_DMS)

You use this BAdI to disable the immediate multilevel explosion when you display the document structure of a document info record on the SAP DMS tab. The initial retrieval includes only the documents and folders up to the second level to increase performance. Project Management: Various Functions (Enhanced)

Use

The following enhancements to Project Management are available as of SAP Portfolio and Project Management 5.0 SP09:

• Milestone Trend Analysis

The milestone trend analysis enables you to analyze the progress of your projects and recognize schedule deviations at an early stage. It can be displayed within projects on the new Milestone Trend Analysis view. The milestone trend analysis is based on the snapshots available for a project as well as the current project data. For each project task that is flagged as a milestone, it displays the planned finish dates saved in the individual snapshots as well as the current project data. The data of the milestone trend analysis can be displayed in a business graphic and in an ALV table. It can be filtered, downloaded to Microsoft Excel, and printed as a graphic or as a PDF document.

• Filter for Project Templates

You can define your own logic for filtering the project templates offered for selection during project creation. This enables you to reduce the number of templates displayed to those relevant to the particular context or user. When you activate the Show All Templates checkbox in the Create dialog box for projects, you ensure that users can still display and use all available templates for a project type if required.

• Gantt Chart Optimization

The Gantt chart optimization enables you to display additional project phase and task information directly on the bar chart. This enhancement is available in the Graphic subview of the project structure. Note, however, that it is not supported in the multi-project monitor, or when you choose the Compare function in the Graphic subview of a project.

To display the additional information on a Gantt chart, go to User Settings and select the required constraint information and other related project data under Show Additional Gantt Information. For each piece of information that you want to display, choose either Label with Information or Information, depending on your requirements.

Constraint information is displayed using different arrows for each constraint type. You can shift constraint dates; that is, the arrows depicting constraints, directly in the chart. These changes are reflected on the Details and Table subviews, updating your project at runtime. You can also delete constraints directly from the chart by right-clicking the mouse for each constraint arrow that is to be deleted. Each phase or task for which you want to edit or delete a constraint must be switched to edit mode. Otherwise, constraint dates cannot be adapted in the graphic.

Project Management: Various Functions 2 (Enhanced)

Use

The following enhancements to Project Management are available as of SAP Portfolio and Project Management 5.0 SP10:

• Copying of Projects

You can create projects using an existing operational project as a template. The function is available in the project dashboard. You can either choose Create and use the template type Project or select a project and choose Copy Project.

The system copies the project structure, made up of the project definition with phases, tasks, roles, checklists and checklist items. All project elements are copied in their initial status. Attributes that do not match this status, such as actual dates, are not copied. Additionally, the data scope copied depends on your system settings.

• Deactivation of Accounting Integration During Background Evaluation

You can deactivate the transfer of project data to accounting during the background evaluation of projects. If the accounting integration is active for your project types, this can lead to a considerable performance improvement of the background process. The data transfer can be deactivated for all projects, or only for projects with certain attributes, such as a specific project type. If you do not activate this enhancement, the data transfer is carried out for all projects for which accounting integration is active, even though in most cases, the evaluation results are not relevant to accounting.

• Fixed Values for Milestone Tasks

When you create milestone tasks in operational projects or project templates, fixed values can be assigned automatically to the following attributes:

When filtering project elements in the Structure view of a project or the multi-project monitor, you can filter milestone tasks by setting the Milestone indicator in the filter. This enhancement ensures that all other project element types are deselected automatically when you set this indicator so that only tasks are filtered. If you do not activate this enhancement, all project element types are filtered unless you deselect them manually.

• Display of Original Task Data in the Detail View of Mirrored Tasks

Original task data such as the responsible role or resource, duration and work, status, priority and relevancy for approval can now be displayed in the Detail view of the mirrored task. If you do not activate this enhancement, only the dates transferred from the original task and a link to the original task are displayed in the Detail view of the mirrored task.

• Multiple Deletion of Project Roles

When editing projects, you can select and delete multiple roles at a time. Select the roles in the Role Overview or the Details subview of the Resources view, and choose the corresponding pushbutton. If you do not activate this enhancement, you can only delete one role at a time.

• Automatic Refresh of Project Management Dashboards

All dashboards in Project Management are refreshed automatically when a project or project element is saved. If you do not activate this enhancement, you need to manually trigger the refresh.

• Optimization of the Structure Display for Your Screen Resolution

You can adjust the number of lines displayed in the structure tree and the Table subview of the project structure by specifying your screen resolution in the general user settings in the field Structure Display Optimized for Resolution. • Display of Gantt Chart Optimized for Screen Size

• Enhanced Where-Used List for GUIDs in SAP Portfolio and Project Management

The creation of where-used lists for GUIDs, which is carried out using report DPR_GUID_ANALYZE, has been enhanced in the following ways:

o On the selection screen, the field Database Tables has been added. This enables you to improve report performance by restricting the selection to those tables relevant to the current application object.

o When you navigate from the where-used list to a table and execute the report again for one of the GUIDs in this table, the table, as well as the object type of the original GUID, are displayed as breadcrumbs above the new where-used list.

When the status of a project element is changed, follow-up actions can be triggered automatically in the system. With this enhancement, you can control these actions in the following way:

• You can suppress the execution of actions that are triggered automatically in the standard system. For example, this enables you to prevent that all tasks of a phase are released and displayed for processing in the task dashboard as soon as the phase is released. Follow-up actions of the following status changes can be controlled in this way:

o Release of projects, phases, tasks, checklists, or checklist items

o Completion of phases or tasks

o Approval of phases

• You can establish your own customer-specific follow-up actions for certain status changes. For example, you can automatically complete summary tasks when all of their subtasks have been completed.

Access control to project versions has thus been aligned with access control to item and initiative versions in Portfolio Management. To display or maintain a snapshot or a simulation for an operational project, a user needs the corresponding authorization for the project definition of the operational project. The system does not check the authorizations assigned in the project version, nor does it perform any authorization checks on project element level.

Effects on Existing Data

If you have projects whose authorizations were changed after the creation of a project version, the authorizations in the project version are no longer taken into account. The version can be accessed by all users that are currently authorized to access the project definition.

Role Creation in Operative Projects by Include Only (New)

Use

You can use this feature to ensure that roles in operative projects of specific project types are created only by include from project templates. This enables you to enhance project role standardization in you company. When editing projects of the affected project types, users cannot create roles without a template, copy roles within a project, or copy roles and staffing from other operative projects. The corresponding pushbuttons and menu options are not available in these projects.

Effects on Customizing

You can activate this feature for your project types in Customizing for SAP Portfolio and Project Management under Project Management -> Structure -> Define Project Types. On the Details view of the relevant project types, scroll to the Resource Management screen area, and select the Role Crtn by Include checkbox.

Enhanced Milestone Processing (New)

Use

It enables you to define a fixed duration for milestone tasks in projects and project templates.

By assigning the duration 0, you can ensure that milestones are treated as a single point in time. They only have one date, the finish date, which is displayed in the graphical view of projects using the special milestone symbol. You can also set a fixed duration greater than 0 for your milestones. In this case, milestone tasks have a start date and a finish date, but they can only have a start constraint. In the graphical view, only their start date is displayed using the special milestone symbol. You cannot assign work to milestones with a fixed duration.

If you do not define a fixed milestone duration, milestone tasks are scheduled like normal tasks. In the graphical view, only their start date is displayed.

• To define a fixed milestone duration, make the following setting in Customizing for SAP Portfolio and Project Management under Project Management -> Basic Settings -> Override Default Global Settings:

Preservation of Relationships When Tasks Are Moved or Copied (New)

With this feature, you can ensure the following:

• All relationships between a task and its predecessors and successors are preserved when the task is moved to a new place within the project structure.

• When a task is copied, the relationships are copied along with the task.

If you do not activate this feature, the relationships are deleted and successor tasks are shifted to the project start date after the task has been moved. When a task is copied, the relationships are ignored and the new task is shifted to the project start.

Resource Management (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, the resource management views have been enhanced.

For Staffing and Resources new work centers are available. The selection in the work center is a preselection with which you can start the fast entry screens for staffing and resources. Within the fast entry screen, you still have the option to select from all the resources and projects assigned to you.

Resource Work Center

The Resources work center is a read-only view displaying all the resources that you are responsible for staffing. Within the work center, icons indicate the staffing status of the roles.

The sorting of the projects, assigned roles, and resources can be changed using an enhancement spot.

Staffing Work Center

The Staffing work center is a read-only view displaying all projects and roles that you are responsible for staffing. Within the work center, icons indicate the staffing status for each project and the assigned roles. The sorting of the projects, assigned roles, and resources can be changed using an enhancement spot.

Within both work centers you can:

• Select the display period

• Select the Period breakdown and Unit (Unit only available in Staffing work center)

• Changed the display of resources and roles by using self-defined favourites

• Search for roles and resources

• Recalculate: updates the icons and values in the work center when changes have been made in another session

To start the fast entry screen for staffing or resources, you select one or several projects and roles, or resources from the work center and choose Open Selected. You can also click a resource or project. This opens the fast entry screen, which offers the same functionality such as changing the resource assignments and the assigned effort.

Enhanced Search for Resources

The enhanced search for resources can be started from the work center or the fast entry screen by choosing Search Options, then Advanced Search. This resource search leverages the Resource Search of Project Management and allows you to search according to:

• Organizational Assignment

• Qualifications

• Availability Of the Business Partner.

You can select one or several business partners from the search result. The selected business partners are displayed in the work center or the fast entry screen.

Enhanced Search for Roles

The enhanced search for roles can be started from the work center or the fast entry screen by choosing Search Options, then Advanced Search. This role search leverages the Role Search of Project Management. You can search according to role information such as role type or function.

In addition search using qualification is supported. You can select one or several qualifications from the qualification catalog and provide a proficiency, which the role requires. You can select one or several roles from the search result. The selected projects or roles are displayed in the work center or the fast entry screen.

Fast Entry Screen Enhancements

In the fast entry screen for staffing, the staffing manager now has the possibility to set the status of the role directly when the extended staffing process is active and the role is in staffing status Staffing in Process. The status change can be started from the context menu of the role.

In addition the Business Context Viewer (BCV) reports described in BCV are also supported in the fast entry screens. The reports can be started using the Additional Information on Resources link when a role or a resource is selected.

Effects on Customizing

The enhancement spot Portfolio Management -> Business Add-Ins and Customer Includes -> BAdI: Change Sorting and Content - Resources Work Center/FES can be used to change the sorting of the resources, projects, and roles in the Resources work center and fast entry screen. In addition, you can modify the content by removing resources or projects, for example.

Import and Export from or to MS Project and XML (Enhanced)

Use

As of SAP Portfolio and Project Management 5.0, the import and export functions that are available on portfolio level and on project level have been consolidated. The same user interface is now used when starting the import or export from the item and from the project.

The authorization concept has been aligned, as follows:

• For export at project level, at least write authorization for all project elements is required.

• For import at project level, at least administration authorization instead of write authorization for all project elements is required.

• For export at portfolio level, at least write authorization for all project elements is required, and write authorization for the portfolio item is required.

• For import at portfolio level, at least write authorization for all project elements is required, and administration authorization for the portfolio item is required.

You can now start import and export from the Versions work center directly.

Functional Enhancements for XML and Microsoft Project

During import, you can decide which data is to be imported. You have the following options:

• Structure Only

• Structure and Resources

• Structure, Resources, and Resource Assignments

The system creates a log of all imports and exports. The log contains, for example, the date of the import or export, the user who performed the import or export, and additional information, such as warning and error messages. You can access the log directly during import or export. You can view earlier versions of the log in the log table in the import/export UI.

During import, either a new simulation is created or the operational project is updated. This is decided either by the user during import or via Customizing for the project.

The last imported file is stored in the document management of Project Management. The file can be viewed by choosing the link on the Additional Data tab in the Detail sub view of the project.

When changing the project during import, the changes are logged in the change documents of the project (in case change documents are activated).

When creating a new project by importing, the system automatically generates the project number if this is not provided in the import file.

Microsoft Project-Specific Enhancements

You can now export and import fields of the project definition.

When you add tasks or checklists to the project in MSP and import the project again, the sequence of the tasks remains the same as in MSP. The sequence of tasks and checklists also remains the same during export.

In MSP, it is possible to define lags in relationships with a percentage value. Example: Task 1 (duration 10 days) and Task 2 (duration 1 day) have a finish-start relationship. You maintain a lag of 50% in MSP. During import, 50% of the duration of the predecessor is used as lag in the relationship (5 days).

When exporting the project for the fields Phase Type, Checklist Type, Process, Priority, Duration, Severity, and Currency value list descriptions are created.

Technical Adjustments

As of SAP Portfolio and Project Management 5.0, the import and export UI in both Project Management and Portfolio Management uses the Web Dynpro ABAP OfficeControl UI element for Microsoft Project Integration. Since rendered pages are normally displayed in a Web browser connected to the Internet in Web Dynpro, security aspects must be considered for UI elements like OfficeControl.

The following security measures therefore exist for OfficeControl:

• OfficeControl only communicates with authorized servers.

• Data can only be stored in authorized directories.

• Data can only be read from authorized directories.

The authorized servers and directories are listed in a whitelist (an administrator stores this information locally using transactions WDR_ACF_WLIST and ACF_WHITELIST_SETUP). If requests for access to directories or communication with servers are sent using HTTP or HTTPS, the control first checks whether this is allowed. It then compares the directories or servers in question with the data in the local whitelist file. It only executes the relevant methods if the authorization is set in the white list.

The whitelist certificate needs to be installed locally on each end-user PC to perform the Project Import and Export. The whitelist certificate can be generated using transaction WDR_ACF_GEN_CERT. To install the whitelist certificate, go to transaction ACF_WHITELIST_SETUP and click Install Certificate.

Prerequisites

Import and export from or to MS Project is only supported when either Internet Explorer or NWBC for Desktop (with Browser rendering from Internet Explorer) are used. It is not supported for Firefox, for example. For more information, see SAP note 1402912.

If the browser does not support ActiveX, the system issues a warning message and the application Microsoft Project is not available in the Application dropdown box.

SAP Portfolio and Project Management: Create User (New)

Use

As of Enhancement Package 1 for SAP NetWeaver 7.0 and SAP Portfolio and Project Management 5.0, the system can automatically create a user with a specific role and its respective authorizations in SAP NetWeaver Identity Management. You can distinguish between the following use cases:

• If you use SAP ERP HCM and you transfer the users to SAP NetWeaver Identity Management, SAP NetWeaver Identity Managment contains the business role.

o When creating a user for a new employee in SAP ERP HCM, the system transfers the user data to SAP Identity Management, creates a business partner (BP) for the employee, and you assign an employee business role from SAP Portfolio and Project Management. The transfer of HCM data to SAP NetWeaver Identity Management (central identity store) is based on a SAP query data extraction.

o Once you have assigned the business role to the appropriate PFCG role, you can assign the identity in SAP NetWeaver Identity Management.

o As a result, a resource is created in the SAP Portfolio and Project Management system.

o The system assigns a status with the start date as today's date and the end date as a much later date (31.12.9999) to the business partner in the SAP Portfolio and Project Management system.

o The following PFCG roles are provided by SAP Netweaver Identity Management for the SAP Portfolio and Project Management application:

This role can update access control lists for SAP Portfolio and Project Management entities, such as portfolio or bucket, and create users and business partners in the SAP Portfolio and Project Management application.
