Short Profile Sahid Jaya Solo Hotel was built by Sahid Group.Sahid Jaya Solo Hotel is the first of the fifteen Sahid Hotel’s group which spread around Indonesia. This company is owned by Mr. Dr. H. Sukamdani S. Gitosarjodjono and his wife, Mrs. Juliah Sukamdani. They started their business by building publishing and printing house named PT. Sahid & Co and established on January 13th 1960. Three years later, they built CV Tema Baru on October 7th 1963. Mr. Sukamdani, as a printing and publishing businessman, often visited many cities around Indonesia. Then he attempted to establish new business in hotel and accommodation. He decided to build his first hotel in Solo named Sahid Sala Hotel on July 8th 1965. At the first time Sahid Sala Hotel had 26 rooms on a land measuring 3.000 m2. Sahid Sala Hotel was renovated and changed into Sahid Raya Hotel. The hotel with its 140 rooms available for rent had been considered as a four star hotel because of its improvement in services quality from 1993 until 1995. Then, since July 8th 2007 Sahid Raya Hotel Solo has changed into Sahid Jaya Solo Hotel. Now, it is a five star hotel in Surakarta. Sahid Jaya Solo Hotel

In this chapter, the writer will explain the company profile of Sahid Jaya Solo Hotel.

Besides, the writer also presents the history, location, facilities, and organization chart of Sahid

Jaya Solo Hotel.

Short Profile

Sahid Jaya Solo Hotel was built by Sahid Group.Sahid Jaya Solo Hotel is the first of the

fifteen Sahid Hotel’s group which spread around Indonesia. This company is owned by Mr. Dr.

H. Sukamdani S. Gitosarjodjono and his wife, Mrs. Juliah Sukamdani. They started their

business by building publishing and printing house named PT. Sahid & Co and established on

around Indonesia. Then he attempted to establish new business in hotel and accommodation. He

Location

Sahid Jaya Solo Hotel is located at Gajah Mada, 82 Solo. It has strategic location at the

center of Surakarta. It has easy access to all important areas in Surakarta. It only takes 3

minutesfrom Balapan railway station, 20 minutes or 15,5 km from AdiSumarmoairport, and 5

minutes or 1 km from Tirtonadi bus station.

If the guests want to go to the business district, it takes only 5 minutes from the hotel by

car. To visit Mangkunegaran Palace, it only takes 5 minutes by car as it is only 1 km from the

hotel. Oneof many tourist destinations is Klewer Market, the biggest clothing market center in

Central Java which is only needs 15 minutes from the hotel by car.

Facilities

Sahid Jaya Solo Hotel was built with a modern culture as its architecture style, while its

decoration refers to both modern and traditional Javanese architectures. To indicate traditional

style, there is a set of traditional Javanese music instrument or gamelan. It is put in the lobby

corner and usually played in the morning or afternoon. It is played to welcome guests so that

they will feel comfortable since entering the hotel.

1. Rooms of Sahid Jaya Solo Hotel

Sahid Jaya Solo Hotel has 140 rooms which are located on the second floor up

to the eleventh floor. These rooms are classified into four types. Each of the type has

different price and specification. These room types are:

a) Superior Room (96 rooms)

This type is the cheapest room containing of two beds, each bed is only for one

person.

b) Deluxe Room (20 rooms)

This kind of room is more expensive than Superior room. It consists of one big

bed for two people.

c) Executive Suite Room (23 rooms)

This kind of room is more expensive than Deluxe room. It consists of two rooms;

which are bedroom and living room. It has one big bed for two people, two

bathrooms and dining table in its living room.

d) President Suite (1 room)

This type of room is the most expensive room in Sahid Jaya Solo Hotel. It is a

very large room with several rooms inside such as: living room, a large bedroom,

working room, kitchen, and functional room. Important guests usually stay in this

room.

2. Fitness Center

Fitness center in Sahid Jaya Solo can be used either by the guests or public. The

guests can enjoy some facilities such as gymnasium, aerobic room, and jogging track

there. The guest can also join various activities such as aerobic, body language, low

impact, high impact, individual exercise, tae boo, stretching, weight loss/gain

program, and fitness.

3. Gajah Mungkur Swimming Pool

Gajah Mungkur swimming pool is located on the second floor. The guests or

public can enjoy their leisure time in Gajah Mungkur swimming pool. It opens from

06.00 am up to 09.00 pm.

Each of the position in organization structure has responsibilities to their work. It will be

explained as follows:

1. General Manager

General Manager is responsible for the whole operation activities of the hotel.

She/he assists other department manager in making decision and keeps all departments

informed about the day to day hotel condition.

2. Front Office Department

It has duty to sell room, give information about the hotel to the guests, and handle

the guests’ check-in and check-out process.

3. Personnel Department

This department has responsibility for handling all of the hotel operation which is

related to the employees, such as salary, work arrangement, promotion in rank, severance

in work relation, and staff recruiting.

4. Marketing Department

This department has responsibility for selling and promoting hotel’s products and

services.

5. Food and Beverages Department

This department handles all activities which are related to the food and beverage

served to the guests.

6. Housekeeping Department

It is responsible for the cleanliness, comfort, and beauty of the hotel area,

especially the rooms.

7. Engineering Department

It is responsible for maintenance and the operation of the hotel’s lightning,

heating, air conditioning, elevator, and other mechanical systems.

8. Accounting Department

It is responsible for financial matters, handle the hotel’s outcomes, and also

handle the requests for things needed by other departments.

9. Laundry Department

It is responsible for handling all of guests’ clothes and staffs’ uniforms.

Public Relations of Sahid Jaya Solo Hotel

The role of hotel is important to support all of business activities, especially tourism.

Sahid Jaya Solo Hotel offers many kinds of facilities and has special characteristic of Surakarta

culture. Sahid Jaya Solo Hotel aims at doing some efforts not only to give good service to the

costumers, but also to reach their vision “Where Tradition, Culture & Service Merged”.

1. The History of Public Relations in Sahid Jaya Solo Hotel

Public Relations Division of Sahid Jaya Solo Hotel started its operation optimally

in 1998. On its organization chart, Public Relations belong to Sales & Marketing

Divisions. However, Public Relations division is not under to Sales & Marketing

Manager, but is under directly to the General Manager.

2. The Function of Public Relations

Generally, there are two functions of Public Relations in Sahid Jaya Solo Hotel:

a) Corporate Function

Public Relations Manager in Sahid Jaya Solo Hotel not only has function to create

good image of this company, but also to keep a good relationship with internal and

external public.

b) Marketing Function

Marketing in Public Relations of Sahid Jaya Solo Hotel has function to position

the company as a leader or expert,to build confidence and trust of the costumers, to

introduce new products from the hotel, to pass on the news of Sahid Jaya Solo Hotel

before making an advertisement, and to give motivation to all of the sales personals. In

Sahid Jaya Solo Hotel, Public Relations Manager and Sales & Marketing Manager have a

strong relationship. Both of them help each other to reach the target expected by the

Hotel Managements. The target is to improve the quantity of hotel product selling.

Although both have a strong relationship to each other, they have different duties and

responsibilities in order to prevent overlap.

3. The Duties and Responsibilities of Public Relations

In order to be a good Public Relations practitioner, there are duties and

responsibilities for guiding the entire work program. Public Relations of Sahid Jaya Solo

Hotel has duties and responsibilities as follows:

a. Liaising with Sales & Marketing Manager on all matters dealing with media.

b. Developing and maintaining good media contacts.

c. Working with Sales & Marketing Manager in planning and strategizing media

press related activities.

d. Supervising the implementation of all activities related to press.

e. Arranging media publicity on the hotel and corporate activities through

dissemination of media release, general media relation in house promotion, and in

house function.

f. Arranging in house newsletter together with Human Resources Department

focusing on internal news, employee’s well being developments, “Hotel’s News

Update”, in order to develop pride in product and company.

g. Initiating, coordinating, and supervising all photo shoots in hotel, in line with the

image guidelines, to promote the hotel to the local and overseas market.

h. Dealing with guests and general public’s complaints and inquiries positively and

promptly under the guidance of the Sales & Marketing division.

i. Preparing advertising and media campaigns to actively promote the property and

submit to Sales & Marketing Manager/General Manager.

j. Implementing and maintaining the Public Relations budget set out by Sales &

Marketing Manager.

k. Working with Front Office and Guest Relation to determine VIP guests and

assists VIP guests with coordination of in house guest reception.

l. Coordinating guest lists and invitation of VIP guests, General Manager’s

corporate/press lunches, dinners and other in house organizing functions.

m. Providing other department with relevant information or activities that may be

useful when dealing with guests.

n. Supervising and coordinating Public Relations and sub section staff members

accordingly.

o. Ensuring that all intended printed work prepared for the hotel proofreading and

approval by the Sales & Marketing Manager and the General Manager prior to

finalization.

p. Maintaining all administrative activities including press clippings, mailing lists,

and photo library requirements according to standard.

q. Attending and participating in training sessions as scheduled.

r. Following all the hotel layoff procedures.

s. Obeying all the hotel rules and regulations.

t. Establishing and maintaining effective staff relations.

u. Implementing related duties and special project assigned by Sales & Marketing

Manager

4. The Jobs Description of Public Relations

Public Relations in Sahid Jaya Solo Hotel has job description as follows:

a) Publicity

Sahid Jaya Solo Hotel uses printed and electronic media for publicity in

local and national areas; publicity through mass media done by Sahid Jaya Solo

Hotel such as: press release, press conference, and interview (with telephone,

facsimile, and radio). Sahid Jaya Solo Hotel has good relationship with all media.

They have partners like Solopos, JITU, Joglosemar, Karavan FN, and PTPN

Radio.

b) Planning Some Work Programs

Public Relations has some programs called “Public Relations Action

Plans”. This program can help Public Relations plan some work programs.

c) Advertising

Public Relations makes public advertisement. So far, Sahid Jaya Solo

Hotel make a good cooperation with TEMPO Magazine. From this cooperation, it

is hoped that one of hotel’s objective is fulfilled.

d) Promotion

Promotion has different meaning from publicity and advertising. Public

Relations always gives free room vouchersas exchange with the press for news.

That is one of the ways to promote the products indirectly.

e) Lobbying and Public Affairs

Public Relations as the communication expert in Sahid Jaya Solo Hotel

must have a good relationship with internal and external public. Especially they

should have good external relationship to make lobbying easier. A good lobbying

can help the hotel all the way.

f) Collecting Data

Public Relations collects data from the guests by giving questionnaire

which consists of the service, complaints, and the staff affairs of Sahid Jaya Solo

Hotel.

g) Issues Management

Public Relations makes a monthly magazine for internal stakeholder to

inform all the information from the outside of the company.

5. The Scope of Communication in Public Relations

Good image is important for the development of the company. The key to build

good image is by making good relationship and communication.
