Using the Directory

The AWS Speakers Directory has been prepared specifically to help AWS Sections prepare their educational and technical programs. The Directory contains the names and contact information of those who have volunteered to speak at local Section meetings. This Directory is divided into several listings: Geographic, Subject and Alphabetical. The Geographic listing indicates where the speaker will be able to travel. The Subject listing identifies potential speakers for any subject listed in the Directory. It provides the name of each speaker who has offered to talk about the particular subject. The Alphabetical listing gives important information about each speaker: name, title, address, phone number, email address, subjects he or she will cover, expenses, and equipment needs. There is no particular order in using the listings. If you wish to contact speakers from within your area only, turn to the geographic listing for the speaker names. Next, go to the alphabetical list and note the topic numbers the speakers are willing to present. Finally, check the topic number against the subject list for the title. If you have an idea of the subject you want discussed at your meeting, turn to the subject listing for the title. Available speakers will be listed under the topic. Then check the alphabetical list to find who will best meet your needs. Once your Section has decided on a speaker, contact the individual directly to verify availability, confirm the information provided in the Directory, and to discuss specific details about what you want and expect and what he or she expects. Circumstances change and you will want to be sure there is no misunderstanding. Confirm all arrangements by letter. If you know of a volunteer speaker we have not listed, please provide the individual’s name and phone/email address to Rhenda Mayo, so that they may be included in the Directory.

Arranging for Speakers

The selection of technical speakers to talk before your Section is very important to further the success of your Section operation. The speaker should be chosen on technical background and experience as well as the ability to properly communicate to the audience. The subject should be of direct interest to the majority of its members. Invitations to speakers should be in writing, or at least confirmed in writing. Be sure to discuss and agree upon the amount of expenses, if any, to be covered by the Section. When the invitation has been accepted, the speaker should be provided with a copy of the meeting announcement pertaining to his/her presentation. The Section should contact the speaker and offer to arrange overnight accommodations in the event they should be needed. The speaker should also be advised of the time allowed for the presentation and the probable occupational representation of the audience. The Section also needs to know the speaker’s equipment requirements, if any. At least three weeks prior to the speaker’s appearance, the Section’s Program Chairman, or designate, should once again contact the speaker to be certain plans have not changed and to offer local transportation if needed, or to meet at a pre-determined place and travel to the meeting together. Upon arrival at the meeting, everything should be done to make the speaker feel welcome.

Following the presentation, the meeting should be opened for discussion if the talk warrants audience-speaker participation. When the discussion period has concluded, the Program Chairman, Chairman, or other designate should thank the speaker for the presentation and then present the Section’s token of appreciation. It is recommended that within the following week, a thank-you letter be sent by either the Section Chairman or Program Chairman to the speaker and his/her employer, if known. This not only pleases the speaker, but encourages the employer to do more of this type promotion, and thereby contributing to the advancement of the welding industry.

Suggested Check List for Planning the Program

Inviting the speaker

1. invite the speaker early 2. advise speaker of program details and send a copy of the agenda 3. discuss the desired topic and how long he or she should speak 4. describe the type of meeting/event, as well as the type of audience 5. settle amount of expenses, if any, to be covered by the Section

The follow-up

1. write official letter to confirm date, place and time 2. obtain a biography and photograph 3. obtain an abstract of the presentation 4. ask the speaker if any special equipment will be needed 5. arrange to have the speaker met upon arrival, and provide speaker with details 6. make travel and room arrangements, if needed, and be frank concerning who will be

responsible for payment 7. ask if speaker’s spouse will attend 8. clear publicity arrangements with speaker 9. obtain permission to tape or reprint the presentation, if a reproduction is desired

At the meeting 1. provide speaker (and spouse) with a name badge 2. arrange for speaker to meet your officers and key members 3. check out any special equipment well in advance 4. make sure the speaker has water and a glass 5. be sure the speaker is reminded of how long he or she is to speak 6. present the speaker with a gift from your Section

After the meeting

1. ensure that transportation to the hotel is provided, if needed 2. within one week of the meeting, send a thank-you note to the speaker,

as well as to the speaker’s employer
