ospitality is a major industry in the Boulder Val-ley. In Boulder and Broom-field counties, the accom-modations and food-services sectors employ 15,834 people, with an annual payroll of $196.5 million, according to the U.S. Census Bureau’s 2002 Economic Census, the most recent available.

R e s u l t s from the 2007 E c o n o m i c Census will be released over the com-ing months, but even the 2002 num-bers are sig-nificant. Hos-pitality-sector employees work at 815 establishments that gen-erate more than $633 million in annual sales.

And those numbers don’t even count the thousands of employees in the service sec-tor, including florists, decora-tors, audio-visual companies, entertainment, etc.

Business owners seeking to plan an event might have a dif-

ficult time determining the best resources to ensure a success-ful program, be it a staff party or a public gala. And, especially in these economic times, own-ers want to ensure that they’re getting the most value for their dollars.

Enter the Boulder County Business Report’s Event Plan-ning Guide. In this publication, you’ll find articles that help you plan your event, as well as list-ings of hotels, caterers, event planners and other companies that can provide valuable ser-vices. It’s a great place to begin as you plan events to close out 2009 or on into 2010.

aking an event a success and one that peo-ple will remember requires some attention to detail.

If you’ve planned a similar event before, repeat what worked and eliminate what didn’t. Other-wise, consider these tips.

Determine the goals and objectives of the event up front, and make sure they are clear before you start getting the word out. It’s also a good idea to have a theme for the event.

Assess your needs. Write down what you are looking for in facility, food, transportation, audio-visual services and other needs. Also consider the age, gender and background of the attendees and who they will bring with them.

Create a list of things that need to be done and who is in charge of doing them. Check off each thing as it gets done.

Promotion is critical. You’ve got to make sure people know about the event and when it is. Make phone calls. Send out letters and invitations, pass out flyers or hang posters. Do whatever it takes to provide as much publicity as possible where it will be seen by the people who you want to attend.

Make sure the method you use for the promotion matches the audience you’re trying to reach. If you’re looking a tech-savvy audience, you should send an e-mail and have an online-based registration.”

The event’s promotion should also appeal to the intended audience.

Communicate with attendees beforehand so they come prepared. Use the Internet as a re-source. You can use online registration, online site selection and Web research tools. Also, you can e-mail people information about the event.

hoosing a venue for your event is the most critical part of your plan-ning. Several things need to be con-sidered. If you choose an area that is too large, it will look as if your event is not well attended. You also don’t want to choose a venue that is too small.

The first thing people think about from the beginning is cost.

Don’t be afraid to put on your negoti-ating cap. Sometimes, based on food and beverage revenue, you can bargain down the fee for the space.

Other key elements to consider are lighting staging, catering, entertainment and the venue’s staff. The staff can make or break an event.

These tips are only a few things to con-sider in choosing the appropriate venue.

Here is a check list on how to tackle event planning like a pro:

Identify and stick to the objective• Before you make your first phone

call or order nametags, answer these key questions:

• What is the purpose of the meeting? (reward performance, improve morale, educate, etc.)

• Does this meeting have a documented history? (If so, learn from it. If not, start one now.)

• What is the budget?• Who will attend? (employees or em-

ployees and their families, etc.)• Where will it be? (local or out of town)

Prepare request for proposalDeveloping a request for proposal, or RFP,

may take extra time, but it will save you head-aches, hassles and sleepless nights in the long run. Also, research possible venues online, in the phone book or in local publications. Many event-planning Web sites offer sample RFPs;

months before the event so people can put it on their calendars.Always plan well in advance. Ideally, a conference should be

planned at least a year ahead of time. Conference centers and re-sorts book large events from one year to three years beforehand.

“It should be no less than about 18 months out. The reason for that is because the first thing to do is get the venue,” said Jean Atwood, owner of Boulder-based The Atwood Company, an event-planning consultan-cy. “So many venues are contracted that far in advance, and your op-tions will be limited if you don’t start planning and contract your venue that far out.”

If you’re organizing an in-house party or summer picnic, Atwood said to plan six months in advance.

Try using professional event planners because they can save you time and money. They know the right questions to ask and the tricks of the trade. They can also help with site inspection and selection.

As a general rule of thumb, if you’re organizing an internal event such as an employee holiday party, expect 50 percent to 75 percent of the people you invite to show up.

Provide specific activities that attendees can participate in. Be-ing actively involved at least part of the time is better than just sitting and listening.

Make sure the speakers and entertainment are visible to all at-tendees. Attendees should also not have any trouble hearing. Check well ahead of time to ensure that the microphones and other audio-visual equipment work.

“I think audio/visual is extremely important. There is a lot of preplanning involved, and you should set a time earlier in the day of the event to do a run through, so people know when to go up and down off stage and make sure the sound is good,” Sheffield said.

Comfort is also crucial. No one wants to sit for hours in an un-comfortable chair or be in an overcrowded room. Any time people experience discomfort, they focus on that as opposed to the event.

The facility needs to be the right size, not too big and not too small. Consider the room’s lighting, layout and even the airflow and visuals when people walk in.

The event should not be too long or too short. An ideal time frame for a conference is two to three days. That way, people are not away from work or their office all week.

When the actual event is under way, if things aren’t going as planned, improvise. Make the most with what you have to work with.

sponses, you will want to tour a facility (or two) and meet the venue’s representative before making the final decision. Consider making this appointment at the same time of day on the same day of the week as the event. Take along pen, paper and measur-ing tape, and address the following (this as-sumes your event is indoors, but remember that outdoor venues are a creative alterna-tive):

VenueImage and appearance. Does it match

your function goal?

ParkingIs it ample? Is there a fee?

SignageWill the facility supply signage from en-

trance to function room?

CleanlinessInsider tip: check bathrooms to discern

facility’s attention to detail.Will a representative be available

throughout the event, just in case?Is a construction project scheduled near

the time of your event?Is a large group scheduled at the same

time as your function? How will you be af-fected?

Sleeping accommodationsIf any guests will be staying overnight,

ask to see a room.

Meeting roomHow are the acoustics? You want to hear

your speaker but not the one next door. What floor plans have been successful

for groups similar in size? What are the audio-visual equipment

capabilities?

Catering policyWhat is the catering policy?

CostRequest an itemized list of all costs.Is there anything the list does not include that

you must provide, such as security personnel?What hours of rental are included, and

how are extra hours billed?

Get it in writingProfessional event planners insist on

contracts. The venue representative may encourage you to sign it on the spot, but pros recommend you review it carefully be-fore signing. Here are some particulars your contract should contain:

A date guarantee.Access times.The cost itemization mentioned above.All specifications outlined in RFP or dis-

cussed with representative.Refund policy.

Experts recommend that you keep metic-ulous notes throughout the planning process. The next time you choose a facility, an event history will be an indispensable resource.

hether you have a few weeks or a few days to plan an event, last-minute event planning isn’t impossible. You can handle it.

While stress can be high when planning on the fly, here’s a few of tips for planning a last-minute event.

Know the basicsWhy are you having the event? What style of event will it be?

Who is your intended audience? If you can answer those three ques

tions, you’re on the right track. Con-sider this:

Demographics: Are you targeting family and friends, co-workers, busi-ness contacts, the media or the gen-eral public? And remember to be real-istic on how many people will attend – not how many you are inviting.

Nature of the event: Are you try-ing to network, launch a product, an-nounce a merger, celebrate a grand opening or educate the community?

Jeans or black tie: Are you hop

ing to have a backyard barbecue with guests clad in jeans and T-shirts or are you thinking of an chic masquerade with tuxedos and evening gowns?

It all will tie into your budget.

the morning, or perhaps all day? Is it crunch time and you want the event in three days or are you planning it a few weeks out?

Venue: Do you need a permit and tent for a party in the park, a partitioned ball-room with elegant tables for a retirement party or something in between?

Finding the venue needs to be the first call you make.

Show me the moneyWhile planning a last-minute event can

save money under some circumstances (an empty venue or unreserved caterer may want the business), charges and rush fees are often passed to the customer. Consider this:

• Food and drink: While good caterers can often get food quickly if they have at least two days notice, anything less than that is typically considered a rush order which will cost more. Depending on the size of the event, consider a restaurant that ca-

ters or choose to dine in.Budget: Know what you have to work

with in terms of finances, and be flexible if you have to adjust your budget accordingly.

Spread the wordYour contacts list and your time until the

event will often determine how you spread the word about your function. Consider this:

More than a week: If you have a few weeks and a good mailing list, send invites via snail mail because it’s more formal al-beit more expensive.

Less than a week: If you’re a few days out, send e-mails or e-vites and follow it with a phone call. It’s less formal, but it’s fast and cheap.

It’s always good to send something via mail, but you can always back it up with other methods.

Emphasize what countsThink of the events you’ve attended

recently. What stuck out as really good or really bad? Typically, Jaeger said, it comes down to a handful of topics that can make or break an event. Consider this:

Was there enough to eat and drink and was it good?

Were the bathrooms easily accessible, clean and functional?

What did guests get for free (for instance a CD, T-shirt or pen set)?

FlexibilityThe key to planning an event on the fly is

to be flexible. Don’t have your mind set on the best venue or caterer that’s always booked be-cause they’re probably booked. One thing some event planners like about last minute events is that people are forced to make a decision and stick with it. So do that. Time is against you, but make the most of it. You’ll need to stay calm, and at this stage of the process it would be wise to call an event planner either for a consulta-tion or to have him do the work.

be done at an event. Make sure the contract includes things not as obvious as menus, but, for example, include what time the food should be served, how it should be served, etc. Late food can through a hun-gry and impatient crowd into a tizzy. Also, some caterers will allow customers to add customized requests, so that both parties know what is expected.

Are the prices guaranteed?Food, flowers and other material prices

can fluctuate quickly. Make sure if you’re planning way ahead for the event, that the prices today will be the same at the time of the event. If it’s not written into the con-tract, don’t let a caterer pass on the prices on when the prices increase.

Changes in food, attendanceBe aware of deadlines when you can

last make changes to the contract, such as how many guests will be attending or

changes in the menu. For example, be sure to let the caterer know how many vegetar-ian plates are needed. Check to make sure how many days prior to the event you are allowed to make changes without incur-ring a late or change fee. Most caterers try to be flexible, but remember they have a budget as well and last-minute changes could put a dent in their profit margin and usually have clauses in their contracts to address them.

Deposits and feesBe aware of deadlines when you can

last cancel the event and avoid losing a lot of money. Most catering and event compa-nies will require a nonrefundable deposit. Others will also require a nonrefundable down payment if the event is canceled closer to the day of the event.

Location mattersDepending on whether you chose an

onsite location at a restaurant or cater-ing company to service the event off site, there will be a significant price dif-ference. Onsite restaurant events tend to be set in cost based on the number of people being served. For off-site events, the prices can vary. For exam-ple, with higher fuel costs, the prices to transport people and materials to an off-site venue and costs could change. Make sure how fluctuating prices will be handled.

Meet in personIn today’s fast-paced world, a lot com-

munication is done via phone or e-mail. This is one time when you should meet in person with your event planner or caterer, especially if this is the first time you are using them. It’s important to meet with them face-to-face, and try not to let per-sonality clashes distract from the goal of a great event.
