Thank you very much for your participation in ASTINDO FAIR 2016. The purpose of this simple manual is

to assist you in understanding and preparing your participation in the ASTINDO FAIR 2016 more

efficiently.

You are advised to STUDY THIS MANUAL CAREFULLY AND THOROUGHLY to ensure that all relevant

matters are processed smoothly and arranged properly. You should have a copy of all forms for your

own reference, so that queries can be settled immediately should they arise.

G. Astindo Fair’s Rules And Regulations

Exhibitors shall be bound by the conditions, rules and regulations set forth by the Organizer of ASTINDO FAIR.

Exhibitor is a company or institution which meets the following qualification: o Tours & Travel Agents domiciled in Indonesia o Airlines o NTO o Insurance Companies o Hotels, Restaurants, Cruises o Banks

Tours & Travel Agents should also meet the following rules: o Exhibitor is a Travel Agent with official license o Exhibitor is not a Wholesaler and/or Ticket Consolidator o Every Tours & Travel Agent is allowed to apply for:

- Maximum of 1 (one) booth with the size of 6m x 6m (36m²), or - Maximum of 2 (two) booths with the size of 6m x 3m (36m²), or - Maximum of 4 (four) booths with the size of 3m x 3m (36m²), calculated as 1

(one) unit o Each booth should be occupied by an Exhibitor who has registered to the Organizer,

and it should not be delegated to other agents, company or organization. o Exhibitor is not allowed to take additional booth using Company Brand/Product. o Exhibitor is not allowed to register under any form of consortium, with the

exception of Associations. o Exhibitor agrees to sign Memorandum regarding Minimum Selling Price which will

be released by the Organizer. o Merchant Fee should be paid by each Tours & Travel Agent.

No Business activity shall be conducted by exhibitor and / or his co – delegate outside

their booth boundaries such as distribution of promotional materials outside their booths.

Exhibitors cannot leave or close the stand before the closing time.

Exhibitors are advised to be ready at their booth 30 minutes before the exhibition starts.

Aisle ways indicated on the floor plan must be kept clear of all exhibition goods or decoration materials in order to facilitate traffic.

H. Rearrangement And Relocation Of Booth

Allotment of booth will be on “first come first serve” basis. The Astindo Fair Secretariat

reserves the right to re-arrange and or re-locate the booth(s) based on the actual number

of booths sold.

J. Security

All personnel in the Exhibition Hall should wear identification badges at all time. The

identification badges are the Exhibitor Pass and Working Pass.

Passes are available at the Registration Counter on 24 March 2016.

The Organizer has arranged security personnel to ensure the safety of all Exhibitors in

general. However, these security personnel cannot pay attention to each booth.

Exhibitors are strongly urged to remove valuable exhibits from the Exhibition Area as

soon as possible after the closing of exhibition.

Exhibitors are reminded not to leave their booths unattended until all valuable items

have been removed

Exhibitors and their staff are not allowed in the Exhibition Hall after the show-hours. If

your display is considered highly valuable or sensitive for theft and you wish to hire

security personnel to attend to your booth exclusively during off show-hours, please

contact the Organizer for further information. Please note that exhibitors are not

allowed to hire security personnel from any other security agency.

The Organizer and the Jakarta Convention Center (JCC) will not be responsible for theft,

loss or damage of exhibits or any other equipment belonged to Exhibitors, contractors

or visitors.

For security and safety purposes, the moving of exhibits in and/or out of the venue

during show-hours is not permitted.

K. Insurance

The Organizer of Astindo Fair 2016 will not be responsible for the safety of the properties,

exhibits or articles of any kind brought into the exhibition by the Exhibitors, their staff,

agents or contractors, public or any person whatsoever.

L. Payment

The Organizer of Astindo Fair 2016 will issue an invoice of 100% rental fee upon receiving a

contract signed by the Exhibitor. No Exhibitor is allowed to start building their booth and/or

move their exhibits into the Exhibition Hall or its surrounding areas until full payment has

been received by the Organizer.

A. Astindo Fair 2016 Newsletter

The Astindo Fair 2016 Organizer will publish the Astindo Fair 2016 newsletter which will

serve as media of promotion for Astindo Fair 2016 Exhibitors and information for visitors

during the exhibition. Exhibitors are advised to place advertisements in the Astindo Fair

2016 Event Catalogue by submitting to [email protected]

B. Badges

All Exhibitors are entitled to procure the Regular Exhibitor ID Badges based on square meter

taken. The exhibition badges are valid within the Exhibition Area and shall not give any

rights into the Exhibition. Any submission on additional badges will be charged Rp. 35.000,

C. Setup & Dismantle Regulations

1 General Rules and Regulations during Booth Construction

All Exhibitors shall be bound by the Rules and Regulations and comply with the

Event working hours set forth by the Astindo Fair 2016 Organizer.

The Exhibitors and their contractors should wear badges issued by the Astindo Fair

2016 Organizer onsite during build up, exhibition and dismantle periods.

All Exhibitors are responsible to inform all personnel and third parties concerning

the Rules and Regulations of the Event. The Exhibitors should inform the Organizer

all names of their personnel and third parties who will work during the construction

of their booth.

The Organizer suggests that Exhibitors pay close attention to the Agreements made

with booth designing companies.

The loading and unloading services will be provided by a company appointed by the

Astindo Fair 2016 Organizer. This service is chargeable and it includes the

transportation of the equipment from the loading gates to the booths. Standard

fork-lift services are rendered during construction. In case of a need for additional

equipment, the Exhibitor should apply to the Organizer by the 4th of March 2016

the latest. The Astindo Fair 2016 Organizer will check the availability of the

equipment and inform the Exhibitor. Any use of fork-lifts, cranes, or other heavy

construction equipment from the third parties without consent from the Organizer

is strictly prohibited.

Set up time will be start from 10.00 - 22.00. Should there any exhibitor need

additional set up time, The Organizer of Astindo Fair 2016 will charge IDR

10.000.000/hour/exhibitor.

2 Rules and Regulations during Exhibition Period

Music is not allowed, Astindo Fair 2016 Organizer reserves the right to revoke this

permission.

Exhibitors are strictly prohibited to carry products or exhibited equipment outside

the venue during the exhibition period (within visiting hours or not). Official

permission from Astindo Fair 2016 Organizer is required in exceptional occasions.

All booths shall remain opened with at least one person in charge until the closing

time and shall not be dismantled even partially within that time.

3 Exhibitor Responsibilities for Damages

All Exhibitors are responsible for any loss or damage to their property, other

exhibitors’ property, organizer’s property, visitors property, or the exhibition area

and its equipments, which is caused by their employees’ or agents’ acts that may

occur during the build up and dismantle periods or during the exhibition period

(within visiting hours or not).

Astindo Fair 2016 Organizer assumes that all Exhibitors accept all information

regarding services provided by Astindo Fair 2016 Organizer, and comply with the

instructions given in the Exhibition Agreement and Exhibitor Manual.

Astindo Fair 2016 Organizer is not responsible for any damage caused by the

Exhibitors.

All damages or possible damages should be reported.

D. Participation Types

Type 1 (Standard Shell Scheme)

No additional booth fittings or display may be attached to the standard shell

scheme structure.

Wall panels must be returned after the exhibition without any damages. Nailing,

drilling, wallpapering, inappropriate cello tape, etc. are prohibited. Please make

sure that you have enough chains, support brackets, or special double-stick pads to

display/hang your graphics.

Type 2 (Space Only)

This type of booth is mentioned in the Participation Form as Space Only. The booth

location determined by the agreement and indicated on the floor plan is rendered to the

Exhibitor as an empty space with marked borders. The Exhibitor is to build a special booth

based on the company’s requirement either by themselves or by appointing a booth

designing and/or constructing company. The Astindo Fair 2016 Organizer accepts the

Exhibitor as the responsible party. Construction of booth is not permitted without the

approval of the Astindo Fair 2016 Organizer.

E. Special Design Rules and Regulations

When creating a special design booth and/or creating items which will be displayed in the

booth, there are some aspects to comply in order to adjust with the dimension of the

Exhibition Hall.

1 Booth Design

Two copies of the booth layout including elevations, plan, perspective and materials

used should be presented to the Organizer for approval no later than 4th March

2016.

All design proposals should indicate the positions of all entry points for the services

required, i.e. electricity and telephone.

The name and booth number of the Exhibitor should be prominently displayed.

Electricity will be provide at 09.00 during exhibition day and will be turn off at 20.00.

Exhibitor must turn off MCB panel and all the electronic when the exhibitions end.

Organizer doesn’t responsible for any damage cause by violating regulation above

For Exhibitor who uses electronic units, such as computer, printer must install

stabilizer unit to prevent damages from unstable electricity.

G. Identification

All workers employed in the construction of the booth should wear identification badges

provided by the Astindo Fair 2016 Organizer at all time during the build-up period.

H. Dress Code

All workers are required to be neatly dressed during build-up period & show days and

should wear appropriate working shoes.

I. Removal of Rubbish

Contractors appointed by the Exhibitor should collect and remove all construction debris

or garbage from Jakarta Convention Center area on a daily basis. Please do not use JCC’s

refuse compartments, as the Exhibitor will be charged at IDR 1.000.000 per box (1 cubic

meter) for the removal of any refuse.

J. Floor Covering

Plywood underlay and carpeting is required for booths which contain heavy objects that

may damage the existing carpet.

K. Noise Levels

Excessive noise levels from Exhibitors’ promotional videos and displays are not permitted.

Please be advised that the Organizer reserves the rights to ask Exhibitors to reduce the

volume or shut down the source.

L. Medical

M. Fire Precautions

Naked flames or temporary electrical connections are strictly prohibited. Explosive, petrol,

dangerous gasses or inflammable substances are prohibited inside the building. Exhibitors

who require special extinguishers or fire-fighting equipment, owing to the nature of their

exhibits, should make their own arrangements to provide such items.

N. Emergency Exits

All gangways leading to emergency exits and doors must remain clear of debris at all time.

O. Freight Forwarding and Lifting

Our official freight forwarding, lifting and storage contractor will assist you with customs

clearance, transportation of goods from overseas, fork-lifting and handling of goods onsite,

and storage of empty packing cases. To order these services, please fill in and submit the

PRODUCT DISPLAY FORM (FORM 11) .

P. Custom Clearance

The control of temporary imported goods for exhibitions is carried out at the port of entry.

A declaration should be made to HM Customs & Excise and as long as the goods are re-

exported after the show, they are exempted of duties. please fill in and submit the

SHIPPING MANUAL (FORM 16). Our recommended freight forwarding contractor will

assist you in these matters.

All Agents will be provided with Official GDS Computers based on square meters taken and

equipped with 1 (one) printer. Please refer to Page 32 (FORM 12) for the GDS Equipment

Application Form.

Using Other GDS is not allowed, if your company using other GDS system beside The

Official GDS, organizing committee have right to put a penalty on you by taking away the

pc/notebook from the booth until the end of the event. We shall returned the pc/

notebook back after the event finished
