Expo Guests Each sponsor will receive a discount code enabling them to invite guests to the expo for free ($50 value).

Expo guests will have access to the expo hall and activities, SecTor Theatre, lounge. They may attend

Sponsor and Tools sessions. Expo guests DO NOT have access to any meals, the keynote hall, breakout

sessions (other than the Tool sand Sponsor session), or the Networking Reception and Party. Expo

guests can purchase food and refreshments at the café located on the 700L. Coffee will also be

provided in the 800 Level Lounge.

Sponsor Room (713) The Sponsor Room is located on level 700 in room 713. The room serves as a quiet space for breaks and meetings and will be accessible during conference hours. This is also the room where sponsors can redeem their lunch vouchers. Only those with designated sponsor badges will have access to the Sponsor Room. Please note, all food must be consumed in the Sponsor Room or in the common area, as it will not be permitted in the Expo area, in or around the booths. Food is allowed in the 800 level lounge and seating outside Hall G.

Sponsor/Exhibitor badge pickup It is essential that each person attending from your organization have the correct identification in the form of an official conference name badge. All sponsor booth representatives must be pre-registered before the show. • All delegates and exhibitors are required to wear their identification badge and lanyard at all times. • Identification badges are Non-transferable. • Persons without an identification badge will be denied access to the Expo area, meals and events. Venue As in previous years, the conference is held the South Building of the MTCC, utilizing both Halls F and G.

The keynotes and meals are held in Hall F, which is only accessible to full attendees through the Expo

area located in Hall G. The Hall G Expo, which includes exhibitor space and activity areas, is open all day

to all attendees and expo guests. With a great deal going on, and an increased amount of time between

keynotes and sessions for attendees to visit SecTor exhibitors, there is a constant buzz of traffic and

energy both days of the conference. Be sure to staff your booth appropriately.

Sponsorship booth set up will be as permitted by the MTCC in accordance with Fire Safety rules and

regulations. Floor plans subject to change.

Access to Sponsor Booths Move In Monday, October 1, 2018 - 1:00 PM – 5:00 PM Show Hours Tuesday, October 2, 2018 - 8:00 AM – 5:00 PM Wednesday, October 3, 2018 - 8:00 AM – 4:00 PM Move Out Wednesday, October 3, 2018 - 4:30 PM – 8:00 PM *For a complete daily schedule for SecTor please refer to pages 3 and 4. Sponsors must have a representative in their booth by 8 am until the end of the day on each day of the conference (October 2 and 3, 2018). To receive SecTor leads after the conference, Sponsors agree to not take down their booths until after 4:30pm on the final day (October 3, 2018). SecTor will have overnight security. It remains the responsibility of the sponsor to ensure all items of value within their booth are secured and stored properly during non-conference hours. All exhibitors must arrange for the pickup of their exhibit materials no later than Wednesday, October 3, 2018 8:00 PM.

MTCC: New South Building Service Elevators MTCC has added two new service elevators located on Bremner Boulevard for pre-selected exhibitor freight move in and move out. The new elevators, accessible from Bremner Boulevard or the MTCC South Building parking garage, will provide a more efficient and direct means for clients and exhibitors to access all South Building levels, including exhibit halls. The new elevators service Levels 600, 700 and 800 with a capacity load of 5000 lbs each. These elevators will accommodate standard flatbed dollies only. Note: Loading and unloading of materials via the main entrances to the facility i.e. Front Street, Internal Street or Bremner Boulevard is prohibited. All material must be delivered and/or received through the designated loading areas.

Shipping directly to the MTCC Items can be shipped directly to the MTCC must be received October 1, 2018 (see shipping label at the end of this document). Any packages sent directly to the MTCC before October 1, 2018 may be refused and sent back. Any carrier deliveries after October 1 will not have access through the loading docks and will have to use the main escalators. Both Robinson Show Services (RSS), and our customs shipping

provider North American Logistics Services Inc. (NALSI), can assist you with advance warehousing. NALSI also provides custom shipping services. RSS also provides materials handling.

Material Handling at SecTor (Move-in and Move-out) SecTor nor the Metro Toronto Convention Center provide labour. RSS can be contacted for staffing requirements to help with set-up, please contact Niels Pierik at [email protected] or call T -905-417-7789 x 208/ C – 647-408-6241.

All shipments that come in through the Loading Dock during move-in / move-out will be received by RSS

and are subject to Material Handling charges. Exhibitors should arrange material handling prior to the

show to receive discounted rates (outlined in SecTor RSS Exhibitor Manual available for download at

https://sector.ca/promotions/). Material handling includes delivery of items to the booth and moving

the shipment back on to the carrier’s truck for pick up after the show.

Exhibitors should schedule their delivery and pickups during the exhibitor move-in/move-out.

Shipments scheduled earlier may be refused as loading docks will be reserved for show management

contractors.

All pre-arranged Material Handling orders with RSS will be delivered to the booth right away. Shipments

without arrangements or without exhibitor name/booth number indication will be held until the

exhibitor collects their shipment at the on-site RSS Exhibitor Services Desk (available during exhibitor

move-in/out).

Pick up of packages by FedEx, UPS or other carriers must go through RSS or NALSI. Any packages left on the show floor and not picked up will be held by RSS, fees will apply.

Shipping, Customs & Storage SecTor has partnered with North American Logistics Services Inc. (NALSI) to provide customs clearance,

shipping and storage services for your exhibit materials. North American Logistics has the expertise to

move complex shipments for exhibitors and vendors into Canada or the United States from anywhere in

North America, across the border and back again. As the customs clearance specialists for conventions,

trade shows and special events, NALSI will look after permits, advance electronic filing and security

requirements on your behalf. Your goods will arrive where they need to be, when they need to be there

The MTCC only allows shipments on October 1, 2018. Any shipments received before this date will be

returned. Any shipments after this date will not have access via the South building.

North American Logistics also offers advanced shipments to their warehouse. This does not include

material handling services provided by RSS. Advanced warehouse services include delivery to the show

site only. There is no post show warehouse service. If you require post show warehousing please contact

647-408-6241 for a quote. All carriers must pick up from show site at the end of the show.

After the Show MTCC will not be responsible for the loss or damage of any items left at the facility. All items / freight left after 8:00 pm on Wednesday, October 1, 2018 will be considered stranded. All stranded freight will be removed by RSS. If your departing goods are being returned via a third party – your staff must complete the appropriate bill(s) of lading and package appropriately for pickup. Your staff must wait for the shipper to pick up and take responsibility for your goods. Your shipments must be shipped pre-paid on your own account, including all applicable duty, brokerage, customs and freight charges. If your staff cannot stay for carrier pick-up, then either RSS or NALSI can assist you with your shipments. Fees will apply. Every effort must be made to have leftover material picked up at the end of the event. All boxes must

be properly packaged and labeled by the exhibitor.

Additional Audiovisual Equipment The audiovisual supplier for the conference is Apex Sound & Light. Apex Sound & Light Corporation was

founded in 1990 and since that time has been engaged in production, design, and supply of audio, video,

lighting, multimedia systems in both show service, and permanent installation. Our Experience Includes:

major concerts and tours, product launches, corporate functions and many other events spanning across

North America.

Print and Marketing Prinnovation is a full-service print company that offers fast turnaround times at competitive prices. We are dedicated to making sure your order is printed correctly and on time. Products available include: business cards, postcards, flyers, signage, and any other marketing materials that you may require. Print is completed locally and shipped directly to your booth. Lead Retrieval Badge Scanners To help our valued exhibitor’s follow-up with attendees, SecTor is proud to include a Conexsys Registration lead retrieval badge scanner with your booth space. Conexsys Registration badge scanners are extremely easy to use – simply push the scan button and wave over the attendee’s badge. The attendee’s company and contact information will be captured and will be sent to you in Excel format at the end of the show. Your sponsorship package comes with a lead scanner. Additional scanners can be rented for $400 plus HST. The deadline to advise if you require an additional scanner is September 14, 2018. After this date we cannot guarantee supply.

The Metro Toronto Convention Centre’s (MTCC) exhibitor services provides wired internet, parking and

booth cleaning services. There are two convenient ways to order services from MTCC:

Security & Insurance It is the exhibitor’s responsibility to attend their booth during show times. During non-show times, the exhibit hall and hallways will be secured, and after-hours security will be provided. Neither SecTor nor the Metro Toronto Convention Center will accept responsibility for goods and equipment left at exhibitor booths. Exhibitors are reminded that their insurance for goods and services should take effect from the day that the goods are delivered to the exhibition venue and should remain in force until their exhibits are removed. Exhibitors are required to take out adequate insurance coverage against the kinds of risks they will incur in connection with the exhibition, especially public liability.

Hotel Accommodations Please visit www.sector.ca/travel for discounted hotel room rate information. There is currently high

demand for hotel rooms during the conference dates. We encourage conference participants to make

their hotel arrangements well in advance.

FOR MTCC INTERNAL USE ONLY Exhibitor Load In/Out: Moving in/out of South Building Hall G will be conducted through the two truck

elevators. The entrance to the truck elevators is located on Lower Simcoe Street, North of Bremner Blvd. The

truck elevators can accommodate straight trucks, cube vans and 5 ton vehicles. The maximum length is 38 feet;

height is 13’6”, width 10’ and the load capacity of 27,500 kg or 30 tons. NOTE: The off-loading area is NOT at

dock level. Alternatively, exhibitors can off load and hand carry/dolly their material via the parking garage to

Hall G. Exhibitors should bring their own dollies to transport material directly to the room as the MTCC does not

have any in inventory. Materials shipped or delivered to the MTCC in advance of October 1, 2018 will be
