1 Introduction

Use the SAP Fieldglass Manager Hub mobile app to remotely manage tasks for SAP Fieldglass.

With the SAP Fieldglass Manager Hub mobile app, customer users (not suppliers or workers) can access the My Workers Dashboard remotely and perform frequently used actions for managing Job Postings, Job Seekers, Work Orders, and Workers. This includes managing contingent, SOW, and profile workers.

Key features:

● Gain oversight to your workers to ensure that pending activities, time sheets, and expense sheets are completed and approved on time.

● Approve or reject work items.● Shortlist job seekers and schedule interviews.● Create Quick Job Postings.● Hire workers and create work order revisions.

The mobile app is available in all countries and regions that SAP provides products and services. SAP Fieldglass prohibits the use of this app on any mobile device that has been rooted or jailbroken. The app is free of charge.

2 Signing in and Home Screen

Learn how to sign in to the SAP Fieldglass Manager Hub app and navigate its Home screen.

Signing in for the First Time

The first time you launch the app, you're given the option of signing in with a QR Code or with your Username. Later, you're required to set up a PIN to use for subsequent sign-ins.

NoteIf you tap Sign In with QR Code, you're shown a screen with step-by-step instructions of how to sign in using a QR code. The following are the same as those instructions.

1. Sign in to the SAP Fieldglass desktop application.2. Click on your profile name or picture at the top-right corner.3. Click My Profile.4. Scroll to the Mobile SAP Fieldglass Manager Hub section and click Generate QR Code.5. Scan the code with your device.6. Enter your PIN and then confirm it.7. When finished, tap Sign In. The Home screen displays.

NoteYou can also unregister mobile devices. Use the SAP Fieldglass desktop application and go to the Mobile SAP Fieldglass Manager Hub section under My Profile.

Username Registration

1. Tap the wrench in the upper right corner of the screen and select Alternative Setup.2. Enter the Server and your Username and Password. Your server and username information can be found in

the SAP Fieldglass desktop application by clicking on your name in the top-right corner and selecting My Profile. Scroll to the mobile app section and click the link to see the necessary information.

3. Tap Complete Registration.4. Enter a PIN and then confirm it.5. Tap Sign In. The Home screen displays.

For subsequent sign-ins, you only need to use your PIN.

NoteIf your phone has biometric capabilities (fingerprint sensor or facial recognition), you can use that functionality for sign-ins. Tap the biometric button on the screen and allow the app access to biometric features. Subsequent sign-ins can be performed using those capabilities instead of your PIN.

Signing in and Home Screen

Resetting Your PIN

If you ever need to reset your PIN (for example, if you forget it), you can do so via the Reset Registration link on the Home screen.

1. On the sign-in screen, tap Reset Registration. When you see a message letting you know you're about to reset your registration, tap Yes.

2. Repeat the initial sign-in process.

The main part of the screen consists of several tiles:

My Workers Dashboard The My Workers Dashboard tile displays the total number of Job Posting, Work Order, or Worker items that belong to you. In addition to the number, an icon displays indicating the criticality of the items within the tile (contingent on configured PMO Dashboard thresholds).

When you tap on this tile, the My Workers screen displays.

The following are the relevant PMO Dashboard thresholds that can be configured:

● Job Posting awaiting approval - Job Postings that are Pending Approval submitted more than x number of days (where x is the threshold)

● Job Posting needing an approver - Job Postings in Approval Paused status● Rejected Job Posting - Job Postings in Rejected status for more than x number of days

My Pending Approval Items This tile displays the total count of the items that are pending your approval. Tap on it to view the Approvals Home screen.

My Interview Agenda This tile displays the total number of upcoming interviews (any status) that you have as the inter­viewer or you created. When you tap on it, the Interview List screen displays.

My Work Items The My Work Items tile displays the total number of your Work Items, excluding any Approvals or Interviews (covered in the My Pending Approval Items and My Interview Agenda tiles respec­tively). Tap this tile to display the Work Items List screen.

Request a New Worker This tile is used to create Quick Job Postings. Tap it to display the list of job posting templates.

The tile only displays with certain configurations; refer to Quick Job Postings for more informa­tion.

If a tile doesn't have any items, you can't tap it (and it's grayed out). Tap the refresh button at the top of the screen to refresh the counts.

Additionally, at the top-right corner, you can access a menu of several options:

● Privacy Policy: A browser opens and displays the SAP Fieldglass privacy policy.● Help: Displays a Frequently Asked Questions page.● Sign Out: Signs you out and returns you to the Sign In page.

3 Working with Job Postings

View, approve, reject, and close job postings using the SAP Fieldglass Manager Hub app.

Introduction

The app displays job postings owned by the signed-in user. Job postings no longer display in the app if the number of work orders created is greater than or equal to the number of requested positions for the job posting.

You can only approve, reject, or close job postings if you have the appropriate user role permission to do so.

Viewing Job Postings

1. On the Home screen, tap My Workers Dashboard.2. Locate the job posting you want to view from the card view, list view, or by searching.3. Tap the job posting to display the Job Posting screen.

The Job Posting screen contains the following information in the header:

● Job posting title● Status● Job posting ID● Date range● Criticality indicator

Tab Description

Dashboard Contains overview information about the job posting, including items for approval or completion, cycle times, and rates.

Details Contains system variables enabled for the Summary Tabs/Pages for the Job Posting module.

Job Seekers Contains a list of all job seekers for the job posting. This tab is only displayed when there are job seekers for the job posting.

Approving Job Postings

1. On the Home screen, tap My Workers Dashboard.2. Locate the job posting you want to approve from the card view, list view, or by searching, and tap it.3. Tap the button and then tap Approve.4. Fill out any required fields and optionally enter comments.5. Tap Approve.6. When you receive a message that the job posting has been approved, tap OK. You're returned to the job

posting.

Rejecting Job Postings

1. On the Home screen, tap My Workers Dashboard.2. Locate the job posting you want to reject from the card view, list view, or by searching, and tap it.3. Tap Reject.4. Select the reason why you're rejecting the job posting and optionally enter comments.5. Tap Reject.6. When you receive a message that the job posting has been rejected, tap OK. You're returned to the job posting.

Creating Job Postings

You can create job postings in SAP Fieldglass Manager Hub by clicking the Request a New Worker tile from the Home screen. For more information, refer to the Quick Job Postings topic.

Closing Job Postings

1. On the Home screen, tap My Workers Dashboard.2. Locate the job posting you want to close from the card view, list view, or by searching, and tap it.3. Tap Close (if available) or tap and then tap Close.4. Select the reason why you're closing the job posting and optionally enter comments.5. Tap Close. You're returned to the job posting.

3.1 Quick Job Postings

Use Quick Job Postings to create simple job postings based on existing Job Posting Templates.

NoteQuick Job Postings were added in the 2018.21 release of the SAP Fieldglass Manager Hub app.

You can create a Quick Job Posting using the SAP Fieldglass Manager Hub mobile application. Job postings created from the app rely on Job Posting Templates in the SAP Fieldglass desktop application. This limits the complexity of job posting creation by defaulting or omitting items, such as rate selection and time sheet rules.

When creating a Quick Job Posting, you're presented a list of Job Posting Templates. Templates starred in the desktop application are listed first, followed by the most frequently used templates. If necessary, you can modify the Job Posting owner or currency by tapping the Setup button.

Users can create Quick Job Postings when the following criteria are met:

1. Users have the Job Posting user role permission enabled.2. One of the following:

○ The user profile flag "Program Office will assist with Job Posting creation" is enabled○ The Job Posting template rule "Enabled Simplified Workflow" is enabled

Job posting templates don't display in the list if any of the following are true:

● Job Posting Template Rule: Direct Hire is enabled● Job Posting Template Rule: Default Rate Schedule on Job Posting is disabled on rate schedule job posting

template● Job Posting Template Rule: Use Shift Manager is enabled● Job Posting Template Rule: Require Attachment on Job Posting is enabled● Job Posting Template Rule: Custom Field Segmented Object Detail is enabled● Company Configuration: Require Segmented Object Detail based allocation on Job Posting and Statements of

Work is enabled● Both Job Posting Template Rule: Enable Simplified Workflow and User Profile Flag: Program Office will assist in

creating Job Posting are disabled● If the Buyer company uses multiple MSPs and the user doesn't have appropriate permissions

Creating Quick Job Postings

1. On the Home screen, tap Request a New Worker.2. From the Job Posting Templates list, tap the Job Posting Template you want to use.3. Fill out the required information.

4. When you're finished, tap Submit.

To see the job posting, go to the Job Posting Details. If you're the owner of the job posting, it also displays in the My Workers Dashboard.

4 Working with Job Seekers

Once you've posted a job, you can interact with job seekers.

Viewing Job Seekers for a Job Posting

1. On the Home screen, tap My Workers Dashboard.2. Locate the job posting from the card view, list view, or by searching, and then tap it.3. Tap the Job Seekers tab. A list of job seekers is displayed, including the current status for the job seeker.4. Tap an individual job seeker.

The Job Seeker screen includes the following information:

● Job seeker display name● Profile picture● Status● ID● Supplier● Icons (when applicable)

○ = Possible Duplicate Submittal

○ = Possible Match to Worker or Job Seeker

○ = Rate Negotiation in Progress● Resume/CV icon (if a resume or CV is available) - tapping on this icon displays the Job Seeker Resume screen● Average Rating (shown as stars)● Dashboard Tab (Meets Requested Criteria/Doesn't Meet Requested Criteria for rate, availability, and

qualifications)● Details Tab (System variables enabled for the Summary Tabs/Pages for the Job Seeker module)

ActionsFor submitted job seekers, you can then perform the following actions (providing you have the appropriate user role permissions):

● Reject the job seeker● Mark the job seeker as interviewed● Schedule an interview● Perform a quick hire

Rejecting Job Seekers

You can reject a job seeker from the Job Seekers tab of the job posting.

1. Tap the job seeker you want to reject.2. Tap Reject.3. Select a reason for the rejection, and optionally enter comments.4. Tap Reject. You're returned to the Job Seeker screen.

You can also reject job seekers from the Job Seekers tab of the Job Posting. Tap a check box next to one or more job seekers and then tap Reject.

Shortlisting and Unshortlisting Job Seekers

For submitted job seekers, you can shortlist (or unshortlist) individuals. You can do this from the Job Seekers tab of the job posting.

Working with Job Seekers

1. Tap the job seeker you want to shortlist.2. Tap Shortlist. The job seeker status is changed to Shortlisted and the screen is refreshed.

To unshortlist a job seeker, follow the same procedure and tap Unshortlist. The job seeker status reverts to Submitted.

You can also shortlist or unshortlist multiple job seekers from the Job Seekers tab of the Job Posting. Tap the check box next to several job seekers with the same status (shortlisted or not shortlisted) and tap the appropriate button.

Scheduling Interviews

You can schedule an interview from the Job Seekers tab of the job posting.

1. Tap the job seeker you want to interview.2. Tap Schedule Interview, and then fill out the appropriate information.3. Tap Schedule (if your permissions allow you to schedule interviews directly) to save the interview in Submitted

status and submit it to the supplier. If your permissions require a scheduler to assist, tap Request (another user in your company's workflow can then submit the interview to the supplier).

You can also schedule interviews from the Job Seekers tab. Tap a check box next to a job seeker and then tap Schedule Interview.

Marking a Job Seeker as Interviewed

You can mark a job seeker as interviewed from the Job Seekers tab of the job posting.

1. Tap the job seeker you want to mark as interviewed.2. Tap and then tap Mark as Interviewed.3. Optionally select a 0- to 5-star rating for the job seeker and enter comments.4. Tap Mark as Interviewed. You're returned to the Job Seeker screen.

Working with Job Seekers

Performing a Quick Hire

A quick hire is a simple way to create a work order for a job seeker. Instead of completing all fields for the work order as you would have in the SAP Fieldglass desktop application, you complete a subset. The remaining information defaults from the job posting, job seeker record, or work order record (depending on the field).

Because you can only edit a subset of fields in the mobile app, you may need to save a draft work order and complete it in the SAP Fieldglass desktop application. You also can't perform a quick hire for job seekers who use rate schedules, rate change matrices, or parity rates.

To perform a quick hire:

1. Tap the job seeker you want to perform the quick hire for.2. Tap and then tap Quick Hire. If the worker can be hired using the mobile app, the Quick Hire screen displays.

Otherwise, you receive a message informing you that you must perform the hire using the SAP Fieldglass desktop application, along with an explanation of why.

3. On the Quick Hire screen, fill in the required fields.

4. Complete the quick hire.○ If you want to save the work order to complete in the SAP Fieldglass desktop app, tap Save. The mobile

app validates that information is complete before saving.○ If you want to submit the work order for approval, tap Submit. Validation is performed and, if successful,

the work order is submitted for approval just as it would have been for a work order created in the SAP Fieldglass desktop application.

5 Working with Workers

You can view or close workers using the SAP Fieldglass Manager Hub app, as well as perform Quick Hires from it.

Only workers where the signed-in user is the owner are displayed in the app. Additionally, the worker must either be in open status or closed (with an end date in the future) to display.

Viewing Workers

1. On the Home screen, tap My Workers Dashboard.2. Locate the worker from the card view, list view, or by searching.3. Tap the worker. The Worker screen displays.

The Worker screen consists of two tabs:

Tab Description

Dashboard Contains overview information about the worker, including the worker type, any alerts, items you need to ap­prove or complete, the current worker's spend, and the work order duration.

Details Contains the Summary tabs/pages system variables enabled in the SAP Fieldglass desktop application for the Worker module. Each variable is displayed under its appropriate section: Details, Accounting, or Posting Information.

Performing a Quick Revision

A quick revision enables you to make simple revisions to an existing work order (for example, to extend the duration).

1. On the Home screen, tap My Workers Dashboard.2. Locate the worker you want to revise from the card view, list view, or by searching. Tap the worker.3. Tap Revise.4. Modify any necessary information for the worker (such as a new end date).5. Tap Submit. The quick revision is submitted for approval, and the Details tab for the new work order is

displayed.

Closing a Worker

1. On the Home screen, tap My Workers Dashboard.2. Locate the worker you want to revise from the card view, list view, or by searching.3. Tap Close.4. Provide a reason for closing the worker, the actual end date for the worker, and fill out any other required fields.5. Tap Close. You're returned to the My Workers Dashboard.

6 Working with Work Orders

View work orders in the SAP Fieldglass Manager Hub app and act on them.

Your work orders can be viewed in the app by tapping from the Work Order screen (accessible from the My Workers Dashboard tile on the Home screen). From here, you can view overview and detail information, and perform several actions. This includes activating a work order, approving or rejecting a work order, or marking an activated worker as a no-show.

Work orders are displayed in the My Workers screen if the following criteria are all met:

1. You must be the owner of the work order.2. The work order must be in one of the following statuses:

○ Accepted○ Activated○ Approval Paused○ Created○ Declined○ Pending Approval○ Pending Submission○ Rejected

You must have the appropriate user-role permissions to perform actions on a work order.

Activating a Work Order

1. On the Home screen, tap My Workers Dashboard.2. Locate the work order you want to activate from the card view, list view, or by searching.3. Tap the work order.4. Tap Activate. The Activate screen displays, providing details and informing you that you're about to activate

the work order. Tap OK.5. When you receive a message that the work order has been activated, tap OK. You're returned to the My

Workers screen.

Approving a Work Order

1. On the Home screen, tap My Workers Dashboard.2. Locate the work order you want to approve from the card view, list view, or by searching.3. Tap the work order.4. Tap Approve.5. Optionally enter any comments and tap Approve.

6. When you receive a message that the work order has been approved, tap OK. You're returned to the Work Order screen.

Rejecting a Work Order

1. On the Home screen, tap My Workers Dashboard.2. Locate the work order you want to reject from the card view, list view, or by searching.3. Tap the work order.4. Tap Reject.5. Select the reason for rejecting the work order and optionally enter any comments. Tap Reject.6. When you receive a message that the work order has been rejected, tap OK. You're returned to the Work Order

screen.

Marking an Activated Worker as a No Show

1. On the Home screen, tap My Workers Dashboard.2. Locate the work order from the card view, list view, or by searching.3. Tap the work order.4. Tap Mark as No Show.5. Enter comments.6. Tap OK. The work order is closed.

Working with Work Orders

7 Approving and Rejecting Items

You can approve or reject items using the SAP Fieldglass Manager Hub app.

Approvals can be performed using the SAP Fieldglass Manager Hub via the My Pending Approvals tile. When tapped, the Pending Approvals screen displays, providing a list of pending approvals for the signed-in user on a per module basis. A module must have at least one item pending your approval to appear in the list. When a module is tapped, pending approvals for that specific module are displayed.

The module-specific list of pending approvals contains overview information including:

● Name/Title● ID● Amount with currency (if applicable)● Date (depending on the item type, this can be Start Date, Scheduled Date, Latest Submit Date, Expected Date,

or Effective On Date)

Items are sorted from oldest to newest by date.

When you tap an individual item, details are displayed (the system variables). Tap Approve to open the Approve screen; tap Reject to open the Reject screen.

If there are any attachments for the item, they appear under the Attachments tab. From there, you can tap the attachment to view it (pinch-to-zoom is supported and rotation is available for images). In the event that an attachment can't be displayed, you're informed to view it using the desktop version of the SAP Fieldglass application.

Approving Items

1. On the Home screen, tap My Pending Approval Items.2. Tap the module that has the item you want to approve.3. Tap the specific item you want to approve.4. Tap Approve.5. Enter any required information and optionally enter any comments about the approval. Tap Approve.

The item is approved and you're returned to the list of items pending approval. The item continues for additional approvals if required by your workflow.

Rejecting Items

1. On the Home screen, tap My Pending Approval Items.2. Tap the module that has the item you want to reject.3. Tap the specific item you want to reject.4. Tap Reject.

5. Select a reason for the rejection and optionally enter any comments. Tap Reject.

The item is rejected and you're returned to the list of items pending approval.

8 Working with Interviews

Use SAP Fieldglass Manager Hub to quickly schedule and manage interviews.

Viewing the Interview List

To view the interview list, tap the My Interview Agenda tile on the Home screen. The My Interview Agenda screen displays, consisting of two tabs (tabs are only visible if you have interviews that meet their respective criteria):

● The Confirmed tab displays all your Confirmed interviews for today forward, including interviews you created but aren't included in as an interviewer. Interviews are grouped by date.

● The Proposed tab displays all your interviews (or interviews you created) for today forward where the status is Requested, Submitted, Declined, or Accepted.

Job seeker, job posting, and interview details are shown for each interview. This information is also included in individual Job Seeker screens in the Interviews tab.

Scheduling an Interview

1. On the Job Seekers tab for a job posting, locate the job seeker you want to interview, and tap their row in the list.

2. Tap the Interviews tab, and then tap Schedule Interview. (You may have to tap to see the Schedule Interview option.)

3. On the Schedule Interview page, fill out the appropriate information.4. Tap Schedule to save the interview and submit it to the supplier (if your permissions allow you to schedule

interviews directly). If your permissions require a scheduler to assist, tap Request and another user in your workflow submits the interview to the supplier.

Confirming an Interview

1. On the Home screen, tap My Interview Agenda.2. Tap the menu button ( ), and tap Confirm Interview.3. Confirm that the information for the job seeker and interview is correct (including the date, time, and length of

the interview).4. Optionally enter any comments about the interview or job seeker in the Comments field.5. Tap Confirm.

Marking an Interview as Complete

1. On the Home screen, tap My Interview Agenda.2. On the Confirmed tab, locate the interview you want to mark as complete and tap the menu button ( ).3. Tap Mark as Complete.4. Optionally enter a rating for the interviewee (on a 0- to 5-star scale).5. Optionally enter any comments about the interview.6. Tap Mark as Complete.

Marking an Interview as a No Show

CautionWhen you mark an interview as a no-show, you also close the work order for that job seeker.

1. On the Home screen, tap My Interview Agenda.2. On the Confirmed tab, locate the interview you want to mark as a no show and tap the menu button ( ).3. Tap Mark as No Show.4. Optionally enter any comments.5. Tap Mark as No Show.

Canceling or Rescheduling an Interview

1. On the Home screen, tap My Interview Agenda.2. Tap the appropriate tab containing the interview you want to cancel or reschedule.3. Tap the menu button ( ) on the interview, and tap Reschedule Interview or Cancel Interview.

When an interview is rescheduled, it's submitted to the supplier (if your permissions allow you to schedule interviews directly). If your permissions require a scheduler to assist, tap Request to send it to another user in your workflow to submit the interview to the supplier.

9 Working with Work Items

Use the SAP Fieldglass Manager Hub app to complete simple work items.

The My Work Items tile on the Home screen displays the total number of work items for the signed-in user, excluding approval actions and interview module actions. When you tap the tile, the My Work Items screen displays, consisting of two tabs:

Tab Description

Complete Now This tab contains all work items for the signed-in user that can be completed using the mobile app and aren't approval or interview actions. These include items such as:

● Job postings to close● Work orders to activate● Actions to mark as complete (such as activity items)

Complete Later on Desktop

This tab displays all work items for the signed-in user that can’t be acted on using the mobile app, grouped by item type. Due to the complexity of these work items, they can only be completed at this time using the SAP Fieldglass desktop application.

1. On the Home screen, tap My Work Items to display the My Work Items screen.2. If it isn't already selected, tap the Complete Now tab.3. Tap the type of work item you want to complete (for example, Work Order - Activate).4. From the list of items, tap the item you want to complete. The details page for that item displays.5. Fill out the page as appropriate (filling out mandatory fields as necessary).6. Tap the action button at the bottom of the screen (for example Activate).7. When you receive a message that you've completed the action successfully, tap OK to dismiss the message.

You're returned to the list of items.
