On Thursday, 14 April 2016, the European Parliament adopted the General

Data Protection Regulation (GDPR)

The GDPR came into effect on 25 May 2018 and companies should now be

accountable for their compliance.

SAP system users should be interested in what needs to be done to apply

the new EU data privacy laws to their SAP systems, in particular how to

handle your SAP data in accordance to the regulations.

The risks of non-compliance with GDPR

Not complying with the GDPR (General Data Protection Regulation) leads to

significant fines and compliance risks. The EU created two tiers of maximum

fines for companies violating the GDPR. The higher fine threshold is four

percent of an undertaking’s worldwide annual turnover or 20 million

euros, whichever is higher. The lower threshold fine is two percent of an

undertaking’s worldwide annual turnover or 10 million euros, whichever is

higher.

What is considered privacy relevant information?

There are many elements of personal information

Some examples are name, gender, age, date of birth, marital status,

citizenship, languages spoken, veteran status, disabled status, IP address

(some jurisdictions), business and personal addresses, phone numbers, email

addresses, internal identification numbers, credit card and bank account

numbers, government issued identification numbers (social security, drivers

license numbers, etc.) and identity verification information, etc.

It is important to remember business data elements can be considered

personal information as well.

“Personal data” is defined as “any information relating to an identified or

identifiable natural person”

SAP ILM GDPR Tools

The lifecycle of information (put under corporate control) can be managed

with SAP Information Lifecycle management (ILM). SAP ILM is currently

the only SAP tool to manage the lifecycle of SAP data and documents in a

controlled way using records management & retention policies.

Data destruction objects

For the controlled destruction of privacy relevant SAP data and documents,

SAP ILM offers so called data destruction objects. Alone in SAP module HCM

we find in excess of a 100 data destruction objects, and the SAP HCM data

destruction objects can (in most of the cases) be used without additional

SAP license implications.

Retention policy: manage the lifecycle of your data

Privacy relevant data should be managed in alignment with other legislation

based on retention rules. Other (overruling) legislation – e.g. tax regulation

– might require the preservation of privacy relevant data, blocking e.g. the

destruction of financial data containing privacy relevant data.

With SAP ILM we can harmonize this and apply specific policies for specific

types of SAP data.

Data destruction in SAP

Based on the defined retention rules in SAP ILM it is possible to comply with

the GDPR rule to destroy privacy relevant SAP data in a controlled way.

Data Logging

Data logging involves tracking who has requested data within the SAP

system, as well as what SAP data has been requested. This can go a long

way to preventing data breaches if users know that their activity is being

monitored

Data Masking

Another way to protect SAP data is through hiding or masking data fields by

default, giving only authorised users the ability to access unmasked data.

SAP INFORMATION LIFECYCLE MANAGEMENT Control and comply using effective ILM

About SAP Information Lifecycle Management (ILM)

SAP ILM is not a separate SAP system, it is available as a business function

which can be activated via the switch framework and is available in SAP

NetWeaver based systems e.g. SAP ECC. Certain areas of SAP ILM are

included in your standard licence so it is worth contacting SAP to ascertain

whether or not there are additional license costs applicable. Once activated,

on top of the default archiving functions the ILM functionality is made

available. The 3 main pillars of SAP ILM are Data Archiving, Retention

Management and System Decommissioning.

The Pillars of ILM

Data archiving is the cornerstone of SAP ILM and focusses mainly on data

volume management, it consists of the classical archiving functions which

have been available in SAP systems for many years. With SAP ILM these

classical functions have been enhanced to allow for integration with the two

other cornerstones;

Retention Management

System Decommissioning

With Retention Management tools and functions are available to manage

the lifecycle of the data, from the time the data is created until it has to be

destroyed based on legal requirements or other retention policies.

System decommissioning focusses on the end-of-life of systems,

allowing the extraction of data from legacy systems, importing it into a

datawarehouse and gives the ability to report on it.

What separates SAP ILM from the classical SAP archiving functions is

Retention Management, this is also the functionality which relates most to

GDPR because it will allow you to erase personal data based on the retention

rules created.

Auditing

From a business perspective an audit area is the scope and reason for an

audit, for example tax or product liability. From a technical point of view

an audit area contains and covers all data types needed for that audit, for

example a list of necessary object types that are assigned to the audit area,

as well as relevant structures, tables, and fields. ILM gives the ability

to maintain policies and assign rules to them. You define the conditions

to which the data should adhere, these could be for example company

code or sales organisation. As part of the rule you are able to define the

minimum and maximum retention time and the time reference, the latter

is important, because with this setting you define from which point in time

the retention time should be determined

GDPR with ILM

How does this exactly relate to GDPR? SAP ILM provides the functionality

to make sure personal data is not stored and processed after its original

purpose has ended, there could be a period in which the data still needs to

be accessible due to varied business processes. At the end of this period, and

only if other legal retention periods apply, is ILM allowed to continue to store

the data, within this period the data can be blocked so it is only accessible

by authorized users, when this period ends the data is destroyed

Analysis & Blueprinting

At the core of any successful decommissioning project lies the

analysis & blueprinting phase. During this phase the ERP system to be

decommissioned is analysed in detail. This provides an understanding

of what volume of data needs to be extracted and moved to the

decommissioning solution. The blueprint also considers what reports the

users use and how these are to be created in the new solution.

Data Extraction

Extraction of the data needs to be carefully planned and orchestrated to

ensure that all data is brought across to the new solution. As the Legacy ERP

solution will be switched off after the data has been extracted it has to be

right first time.

Report Generation

Access to the legacy data is still required for audit, compliance and to ensure

that the business can report on data for operational reasons. Design and

delivery of the reports required are an important part of our service delivery.

To enable Proceed to analyse data residing within the ERP landscape, access

is required to the production systems for our consultants to investigate what

data must be decommissioned. The purpose of the blueprint document

is to provide a full in-depth analysis of the data residing within the legacy

ERP systems and an indication of the type and frequency of reports run

on a regular basis. The blueprint also discusses what unstructured data

(documents) are stored and associated with each of the ERP systems. The

anticipated blueprint audience includes, senior management, key users and

functional consultants. The blueprint sets out how long each type of data

needs to be retained once decommissioned before being deleted or moved

to further “very-long term storage”.

The strategy differs for various data within the same business and could

differ for the same data between different operating companies within

a potential group. The final version of the blueprint is signed off by the

representatives from the business, and used as a reference check during the

realisation phase of the project, to ensure that solutions being developed &

implemented meet the agreed requirements.

Decommissioning Process

Data is extracted from the legacy system using SAP Landscape

Transformation Technology (SLT). Once extracted it is subsequently archived

using enhanced archiving objects into the ILM.

Reporting

Reports that are required need to be created either using ABAP report

writer tools or by creating BW queries. When a report is called the data

must first be extracted from the SAP ILM Retention Warehouse.

Solution Architecture

ILM Retention Warehouse runs on a dedicated NetWeaver technology

stack and requires an associated relational database. If SAP BW is being

used for reporting then a BW landscape is required.

Solution Architecture

Data is extracted from the legacy system using System Landscape

Technology. Once extracted it is subsequently moved into the Cloud and

archived using enhanced ILM objects.

Reporting Architecture

Reporting is provided using the Proceed Accelerate for ILM solution. This
