On Thursday, 14 April 2016, the European Parliament adopted the General
Data Protection Regulation (GDPR)
The GDPR came into effect on 25 May 2018 and companies should now be
accountable for their compliance.
SAP system users should be interested in what needs to be done to apply
the new EU data privacy laws to their SAP systems, in particular how to
handle your SAP data in accordance to the regulations.
The risks of non-compliance with GDPR
Not complying with the GDPR (General Data Protection Regulation) leads to
significant fines and compliance risks. The EU created two tiers of maximum
fines for companies violating the GDPR. The higher fine threshold is four
percent of an undertaking’s worldwide annual turnover or 20 million
euros, whichever is higher. The lower threshold fine is two percent of an
undertaking’s worldwide annual turnover or 10 million euros, whichever is
higher.
What is considered privacy relevant information?
There are many elements of personal information
Some examples are name, gender, age, date of birth, marital status,
citizenship, languages spoken, veteran status, disabled status, IP address
(some jurisdictions), business and personal addresses, phone numbers, email
addresses, internal identification numbers, credit card and bank account
numbers, government issued identification numbers (social security, drivers
license numbers, etc.) and identity verification information, etc.
It is important to remember business data elements can be considered
personal information as well.
“Personal data” is defined as “any information relating to an identified or
identifiable natural person”

How we can help
The supply of and need for data is greater than ever before. This abundance
of information, combined with technological advances, means that data
laws necessarily have to become more stringent to protect individuals
and promote confidence in how data is being used by businesses. Data
regulation compliance is an integral part of this. Data management
underpins Proceed’s approach to ensuring your SAP data is GDPR compliant,
using SAP ILM and other SAP best practice tools to regulate your SAP
personal data. Get in touch with Proceed to discuss how our experienced
SAP data and document management experts can help your organisation
navigate the transition to GDPR compliance.
Black Light for SAP HCM/HR
Proceed’s Black Light Solution enhances SAP ILM functionality for HCM and
HR, giving users the ability to control what personal information needs to be
retained and seen or not as the case may be
SAP ILM GDPR Tools
The lifecycle of information (put under corporate control) can be managed
with SAP Information Lifecycle management (ILM). SAP ILM is currently
the only SAP tool to manage the lifecycle of SAP data and documents in a
controlled way using records management & retention policies.
Data destruction objects
For the controlled destruction of privacy relevant SAP data and documents,
SAP ILM offers so called data destruction objects. Alone in SAP module HCM
we find in excess of a 100 data destruction objects, and the SAP HCM data
destruction objects can (in most of the cases) be used without additional
SAP license implications.
Retention policy: manage the lifecycle of your data
Privacy relevant data should be managed in alignment with other legislation
based on retention rules. Other (overruling) legislation – e.g. tax regulation
– might require the preservation of privacy relevant data, blocking e.g. the
destruction of financial data containing privacy relevant data.
With SAP ILM we can harmonize this and apply specific policies for specific
types of SAP data.
Data destruction in SAP
Based on the defined retention rules in SAP ILM it is possible to comply with
the GDPR rule to destroy privacy relevant SAP data in a controlled way.
Data Logging
Data logging involves tracking who has requested data within the SAP
system, as well as what SAP data has been requested. This can go a long
way to preventing data breaches if users know that their activity is being
monitored
Data Masking
Another way to protect SAP data is through hiding or masking data fields by
default, giving only authorised users the ability to access unmasked data.

BLACK LIGHT FOR SAP HCM/HRSimplifying compliance of SAP HCM & HR
What is Black Light?
How does it work?
There is often an assumption that SAP ILM has everything you need for HCM
Data. However, ILM provides Deletion Objects only, there is no functionality
to Block Access to an employee once they have left the organisation, but
due to legislation employers still have to keep employee data for many years.
Also deletion through SAP ILM does not delete all the employee’s data,
certain key records are kept.
This is where Proceeds Black Light Solution comes into play, enhancing
SAP ILM functionality, it gives users the ability to control what personal
information needs to be retained and seen or not as the case may be.
Black Light enhances functionality for GDPR compliance
> Removes all employee data
> Provides blocking functionality for SAP HCM Data
> Option to soft or hard delete data
> Simply solutions for ZHR & PA9000 data
> Uses ILM retention management rules
> Provides an audit trail of employees who have been blocked or deleted
Black Light reduces overall costs
> Significant reduction in customisation costs
> Simplified testing
> Rapid deployment
> Reduces the cost of bespoke objects management (ZHR & PA9000)

Benefits at a glance
Reduce Costs:
Black Light can significantly reduce the cost of implementing GDPR policies
with ILM
Manage Bespoke Tables:
Customer specific database tables containing GDPR data can be quickly
added to the solution
Audit
Black Light creates an audit log of activity proving an employee has been
encrypted or deleted
Soft & Hard Delete
It’s possible to soft delete an employee, this gives an option to undelete them
if it was done in error
Extendable
Black Light can be extended to provide GDPR functionality to other areas of
SAP outside of HCM. Vendor, Customer and Business Partner data can also
be blocked using the Black Light technology
Ease of use in BAU
Align with Audit and User Teams. Looks for a common reporting process
which can fulfil the needs of both.

SAP INFORMATION LIFECYCLE MANAGEMENT Control and comply using effective ILM
About SAP Information Lifecycle Management (ILM)
SAP ILM is not a separate SAP system, it is available as a business function
which can be activated via the switch framework and is available in SAP
NetWeaver based systems e.g. SAP ECC. Certain areas of SAP ILM are
included in your standard licence so it is worth contacting SAP to ascertain
whether or not there are additional license costs applicable. Once activated,
on top of the default archiving functions the ILM functionality is made
available. The 3 main pillars of SAP ILM are Data Archiving, Retention
Management and System Decommissioning.
The Pillars of ILM
Data archiving is the cornerstone of SAP ILM and focusses mainly on data
volume management, it consists of the classical archiving functions which
have been available in SAP systems for many years. With SAP ILM these
classical functions have been enhanced to allow for integration with the two
other cornerstones;
Retention Management
System Decommissioning
With Retention Management tools and functions are available to manage
the lifecycle of the data, from the time the data is created until it has to be
destroyed based on legal requirements or other retention policies.
System decommissioning focusses on the end-of-life of systems,
allowing the extraction of data from legacy systems, importing it into a
datawarehouse and gives the ability to report on it.
What separates SAP ILM from the classical SAP archiving functions is
Retention Management, this is also the functionality which relates most to
GDPR because it will allow you to erase personal data based on the retention
rules created.
Auditing
From a business perspective an audit area is the scope and reason for an
audit, for example tax or product liability. From a technical point of view
an audit area contains and covers all data types needed for that audit, for
example a list of necessary object types that are assigned to the audit area,
as well as relevant structures, tables, and fields. ILM gives the ability
20
T: +44 (0) 121 629 7830 | E: [email protected] | W: proceedgroup.com
Benefits
to maintain policies and assign rules to them. You define the conditions
to which the data should adhere, these could be for example company
code or sales organisation. As part of the rule you are able to define the
minimum and maximum retention time and the time reference, the latter
is important, because with this setting you define from which point in time
the retention time should be determined
GDPR with ILM
How does this exactly relate to GDPR? SAP ILM provides the functionality
to make sure personal data is not stored and processed after its original
purpose has ended, there could be a period in which the data still needs to
be accessible due to varied business processes. At the end of this period, and
only if other legal retention periods apply, is ILM allowed to continue to store
the data, within this period the data can be blocked so it is only accessible
by authorized users, when this period ends the data is destroyed
With effective Information Lifecycle Management (ILM) in SAP, you can
comply with internal, external, and legal requirements for data retention
and destruction.
Benefits
> Reduce database size, boosting performance and lowering costs
> Streamline systems, reducing IT management costs
> Mitigate risk through effective auditing, reporting and good governance
> Achieve legal compliance by managing the retention of SAP data
> Reduce SAP total cost of ownership
> Increase SAP return on investment
Our experienced SAP consultants will analyse information across your
business, mapping requirements for retention, removal and destruction.
Using SAP NetWeaver Information Lifecycle Management software we
can implement advanced rules to control the retention and destruction
of your data.
21
T: +44 (0) 121 629 7830 | E: [email protected] | W: proceedgroup.com
We can extend SAP’s ability to manage the retention of your data,
using SAP NetWeaver ILM software.
Our SAP consultants will work with you to create ILM rules, based on a
data retention policy tailored to your business needs.
Your SAP ILM rules will:
> Reflect legal requirements for live and archived data
> Put legal holds on data relevant to legal cases to prevent
destruction
> Destroy data at the end of its retention period
SAP ILM data retention will ensure data is accessible and legally
compliant. It can also adapt and grow as your retention needs evolve
in the future.
Decommissioning legacy systems can be expensive and complex.
Using SAP Information Lifecycle Management (ILM) processes, legacy
systems can be identified and safely decommissioned.
The decommissioning of legacy systems can be done simply and
efficiently with the support of our experienced SAP ILM consultants.
By establishing an effective ILM policy all data can be managed
centrally in a SAP Retention Warehouse. Legacy systems can be safely
identified and retired, reducing costs, easing demand on IT resources
and simplifying ongoing data management

SAP & NON-SAP LEGACY SYSTEM DECOMMISSIONINGSAP & Non-SAP decommissioning with advanced reporting tools
The challenge Most businesses acquire a high number of legacy systems over a period of
time, these systems are expensive to run with inefficient hardware and high
licencing costs, whilst complicating the IT infrastructure. Organisations need
to reduce overall costs of their IT Infrastructure, be it to fund new innovative
technologies or simply to reduce TCO, with Proceeds Decommissioning for
SAP and Non-SAP legacy systems, we simplify the processes, store the data
securely and safely should it be required for reporting or auditing purposes
(Cloud), eliminating all associated costs of retaining internally, we even take
away the pain of managing this data, although we do offer an on-premise
service if that is preferred.
The decommissioning of legacy systems that are only required for reporting
and auditing purposes with Proceeds Decommissioning significantly reduces
the TCO of these systems, in most cases achieving a reduction of up to 80%
Our expertise in SAP and non-SAP decommissioning will help you to:
> Plan and implement a decommissioning project
> Reduce your on-going IT maintenance costs
> Access legacy data quickly and easily

Our services
Analysis & Blueprinting
At the core of any successful decommissioning project lies the
analysis & blueprinting phase. During this phase the ERP system to be
decommissioned is analysed in detail. This provides an understanding
of what volume of data needs to be extracted and moved to the
decommissioning solution. The blueprint also considers what reports the
users use and how these are to be created in the new solution.
Data Extraction
Extraction of the data needs to be carefully planned and orchestrated to
ensure that all data is brought across to the new solution. As the Legacy ERP
solution will be switched off after the data has been extracted it has to be
right first time.
Report Generation
Access to the legacy data is still required for audit, compliance and to ensure
that the business can report on data for operational reasons. Design and
delivery of the reports required are an important part of our service delivery.
To enable Proceed to analyse data residing within the ERP landscape, access
is required to the production systems for our consultants to investigate what
data must be decommissioned. The purpose of the blueprint document
is to provide a full in-depth analysis of the data residing within the legacy
ERP systems and an indication of the type and frequency of reports run
on a regular basis. The blueprint also discusses what unstructured data
(documents) are stored and associated with each of the ERP systems. The
anticipated blueprint audience includes, senior management, key users and
functional consultants. The blueprint sets out how long each type of data
needs to be retained once decommissioned before being deleted or moved
to further “very-long term storage”.
The strategy differs for various data within the same business and could
differ for the same data between different operating companies within
a potential group. The final version of the blueprint is signed off by the
representatives from the business, and used as a reference check during the
realisation phase of the project, to ensure that solutions being developed &
implemented meet the agreed requirements.
Decommissioning Process
Data is extracted from the legacy system using SAP Landscape
Transformation Technology (SLT). Once extracted it is subsequently archived
using enhanced archiving objects into the ILM.

How we can help
Get started
Reporting
Reports that are required need to be created either using ABAP report
writer tools or by creating BW queries. When a report is called the data
must first be extracted from the SAP ILM Retention Warehouse.
Solution Architecture
ILM Retention Warehouse runs on a dedicated NetWeaver technology
stack and requires an associated relational database. If SAP BW is being
used for reporting then a BW landscape is required.
Proceed Cloud Decommissioning
Solution Architecture
Data is extracted from the legacy system using System Landscape
Technology. Once extracted it is subsequently moved into the Cloud and
archived using enhanced ILM objects.
Reporting Architecture
Reporting is provided using the Proceed Accelerate for ILM solution. This
provides users with reports via their web browser.
Hosting Architecture
Proceed partner with Microsoft Azure to provide a global Cloud solution
for SAP & Non-SAP legacy system decommissioning.
Proceed’s Legacy system services guide SAP customers through the
complicated process of decommissioning systems that are only kept online
