1 Planning data with the add-in

You can use SAP Analytics Cloud Planning models to plan data with the add-in. Planning models allow you to do everything analytic models do. Additionally, they give you more control with your data, such as setting up budgets and forecasts, creating your own versions of model data, and writing the planning data back to the cloud.

The add-in is using the Mass Data Entry mode for planning. This mode provides an editing session that allows you to enter multiple values before processing the updates. You also have the option to process some updates and then continue with entering new planning data.

Within a planning scenario, you can work with public, private, and shared versions of data to ensure a public version is not overwritten until approved. These three versions enable you to change values without compromising public data, giving you the ability to try different what-if scenarios within your data before making final decisions:

The version management allows you to create and copy different versions of data. Versions can only be created and managed in SAP Analytics Cloud. You can control who can access a version by making the versions private, shared and public:

● Public versions are available for all users with the appropriate authorizations.● Private versions are only visible to the creator of the version.● Shared versions are private versions that you allow other people to use.

You can enter planning data in single cells and save the data back to the cloud.

During the planning process in Excel, you can also see the current status in your SAP Analytics Cloud whenever you refresh the model there. If the model has been changed in SAP Analytics Cloud during your planning process with the add-in, you'll get a message informing you that your version doesn't match the version in SAP Analytics Cloud. You can then refresh the model in Excel to get the latest version from the cloud.

When planning data with the add-in, you can:

2 Plan data

Using the add-in, you can plan data based on SAP Analytics Cloud Planning models. The planning scenario is based on the Mass Data Entry mode. In this mode, you can enter multiple values in a table without waiting for the system to update between entries. You can also copy multiple values to a table in one step. Please note that no cell may be left out in the row when copying values.

You can also enter planning values for hierarchy nodes. When processing data, the planning value for a hierarchy node will be applied proportionally to all unchanged elements of the hierarchy.

You can plan on one model at the same time. Therefore, the other tables in your workbook are disabled. If you want to plan on a different model, leave the planning mode for the current model and start it for the next one. If you use the same model several times in a workbook, you can plan on one table based on the model at the same time. To plan on another table, finish your planning on the current table and then refresh the table you want to use for planning next.

If you want to use data locking defined in SAP Analytics Cloud, you need to switch on the setting Optimize Recommended Planning Area in SAP Analytics Cloud so that the locking can be evaluated when processing the data with the add-in. If you are not using this setting, you can enter and process plan data also in locked cells, but when publishing the data, the backend will reject with an error. When you start editing data in a public version, the version starts the public edit mode. Other users can't see your changes until you publish them.

1. Add a table with a planning model.2. In the filter dialog for dimension Version, choose the versions you want to add to the table:

In this example, you see the model RealEstate_Planning with two public versions Actual and Strategic Growth Plan, the private version StrategicGrowth_Private and the shared private version StrategicGrowth_Private (Shared). Like all private versions, the two private versions are already in editing mode. The font color for all editable cells in public and private versions is black. The data cells showing the values in grey font color can't be used for planning.Note that Microsoft Excel cells are always input enabled. That means you can also enter values in cells displayed in grey font color. But these values will not affect your planning though.

3. Enter planning data in a data cell.

You can also delete a value in a cell to make it an unbooked cell.The new value for sqm per Workplace for the public version Strategic Growth Plan is 500 (cell C8), and the new value for Overhead Cost per Workplace is 9.000 (cell C10).The mass data entry mode is started with the first change. The changed cells are highlighted with a blue background. While you're planning data, you can't change your analysis. Therefore, the model data isn't shown in the builder panel. If you have other tables in the workbook, they are also disabled as long as you're in the planning mode.The text in the panel shows the model that is currently in planning mode. If you use models with the same name in a workbook, the text also shows the table name, for example, RealEstate_Planning (Table1). The table name is the name used in the Excel Name Box without the prefix SAC.You can also plan on unbooked data cells, like cell B9 in the following example. Please see the chapter Plan on unbooked data cells for more information.

Note that you can enter only decimal numbers in data cells. If you enter other values, a new panel is opened, showing a message for each cell that contains invalid data. Each message includes the cell number and the invalid entry. You can click the cell in a message to jump directly to that cell in the table.If your table contains valid and invalid planning values, you can process the planning data. With processing the data, the valid entries are processed, and the invalid entries are removed.

4. Optional step: Enter planning data using Excel formulas.You can enter planning data in your table using Excel formulas. For example, you can work with the formulas on a separate sheet and reference the values to your table. With the first change that changes the value of the data cell, the mass data entry mode is started. While you're in the mass data entry mode, you can change your formulas, and the values are recalculated.When you process the data to apply your changes, the formulas are kept in the workbook, and the calculated values are processed.Please note the following behavior when working with formulas:○ You can only plan on one table at the same time. Therefore, if you use a formula in two different tables

and change that formula, you need to finish your planning on the first table and then refresh the second table to apply the changes.

○ The values in data cells retrieved using formula references are only considered for planning if there is a difference to the current value after rounding the new value to the number of decimals used in the corresponding cell.If they pass this check, the unrounded values are set to the server. This is necessary to avoid that the mass data entry mode is opened directly again after these values have been processed.After processing the data, the rounded value is shown in the data cell.

○ A formula shouldn't reference a cell that is located in the same table. If you plan with such a formula, the formula value is used for planning, but the formula is removed when processing your data changes.

○ The deletion of formulas is done in two steps. The first deletion removes the formula, and the value is kept. With the second deletion, also the value is removed, and the cell is unbooked.Note that the mass data entry mode is only started if deleting a formula changes the cell value (what corresponds to the second deletion). The same applies if you enter or change formulas. The mass data entry mode only starts if a new formula changes the cell value. When you're in the mass data entry mode, you need to process your data and then publish your changes to save them in the workbook. The actions that do not change the cell value are saved in the workbook without starting the mass data entry mode.

○ If you change your table, for example, add a new dimension, the formulas are removed.5. Choose Process Data to apply your changes.

Alternatively to the option in the ribbon, you can now use shortcuts to process your changes: Shift + Ctrl + Alt + Enter for Windows and control + option + command + Enter on a Mac.

The changed cell and all cells affected by the new planning value are highlighted with a yellow background. The highlighting disappears automatically with your next navigation step. The model data is shown again in the builder panel, and you can continue your analysis.At the bottom of the builder panel, you get two messages: One is a confirmation that the edit mode has been started. The other one shows how many value changes have been submitted.If you want to undo your changes, refresh the table instead of processing the data to update the table with the last saved state.

The planning data is saved in the workbook. If you close the workbook and open it again, the planning data is still available.

If you refresh the model in your SAP Analytics Cloud, you can see the entered planning data there.

You can save your data changes in the Planning model in your SAP Analytics Cloud by choosing Publish data. Other users can then see your changes. To publish your changes in a private version, you need to publish the private version in your SAP Analytics Cloud.

You can also undo your changes in the sheet by choosing Revert data.

After processing the data, you can also start to plan on another table in the workbook. To do so, refresh the table you want to plan on next and then enter your planning data:

2.1 Plan on unbooked data cells

You can enter planning data in unbooked cells of a table. Unbooked data cells show a dash character (-) in the table cell and have the value zero in the formula bar (0). The value from the formula bar is used for calculations, so that the calculations for unbooked cells do not result in an error.

Columns that only contain unbooked data cells are not displayed in the table. With the context menu in the builder panel, you can choose to include this unbooked data in your table.

1. You have a table with unbooked data like cells B9 in the following table.

2. Enter a planning value in the unbooked data cell.With the same step, you can change values in booked data cells. And you can delete an existing value and make a booked cell to an unbooked cell.In the following example, the unbooked cell B9 and the booked cell C9 have new data, and the mass data entry mode started automatically.

3. Process the changed values.The changed values are processed and you get the information how many values have been submitted.

You can now revert or publish your changes.

Show/Hide unbooked data cells in a table

To show the unbooked data for a dimension, choose the corresponding context menu and Unbooked Data.

The table is updated to include unbooked data for that dimension and any dimensions listed below that dimension in the builder panel. A message informs you that unbooked data has been switched on for dimensions below the selected dimension.

To clear unbooked data from your table again, deselect Unbooked Data for the dimension in the context menu.

The table is updated. The unbooked data is removed for that dimension and any dimensions listed above that dimension in the builder panel.

In the filter dialog, you have an additional option to show the unbooked members of a dimension. With the toggle Show Unbooked Members, you can show the unbooked members of the dimension to add them to your table. If you have already chosen to show the unbooked data for a dimension in the panel, the toggle is switched on when you open the filter dialog.

Please note the following behavior when using unbooked data:

● When you switch on the unbooked data for a dimension, you can select members containing only unbooked data in the filter dialog. When you switch off the unbooked data for that dimension again, the members with the unbooked data are no longer in the table. But they are still selected members in the filter dialog.

● If you add a dimension to an axis with unbooked data switched on, the new dimension takes the unbooked status from the dimension above.

● If you remove a dimension with unbooked data enabled from the table, the unbooked data is switched off for that dimension.

● If you move a dimension within an axis, it takes the unbooked status used in this place before.Example: You move a dimension from the third to the second place on the Rows axis. The moved dimension takes over the unbooked status that was used in the second place before.

3 Publish data

When you finished your planning and you want to write the data back to your SAP Analytics Cloud, you can publish your data changes.

1. Add a table with a planning model and change some data.The value for sqm per Workplace for the public version Strategic Growth Plan was changed to 500 (cell C8) and the value for Overhead Cost per Workplace was changed to 9.000 (cell C10).

2. Choose Publish Data in the ribbon to save your changes to the cloud.You get a dialog to confirm that you want to publish your changes.

3. The changed data is published and the version Strategic Growth Plan is set to public with the changed data values.

The data is saved in your SAP Analytics Cloud. All users with the appropriate authorizations can see the data now.

4 Revert data

During the editing process, you can revert your changes. Reverting removes all the changes and resets the version to public.

1. Add a table with a planning model and change some data.The value for sqm per Workplace for the public version Strategic Growth Plan was changed to 500 (cell C8) and the value for Overhead Cost per Workplace was changed to 9.000 (cell C10).

2. Choose Revert Data in the ribbon to undo your changes.You get a dialog to confirm that you want to revert your changes.
