SASKATCHEWAN POLYTECHNIC STUDENTS’ ASSOCIATION Student Open Forum Assembly - MEETING

Tuesday, January 21, 2020 @ 12:30 p.m. Sarah’s, Moose Jaw Campus

NOTES Present: Meeting chaired by Rohit Vij (VP Campus). Sukhjot Samra (President), Precious Akuma (Campus Council

Director), Adeyemi Williams (SPSA staff) were in attendance. Twenty-eight students were also in attendance.

Call to order: Meeting called to order at 12:39pm by Rohit. Items Discussed

1. Introduction & Welcome:

• Rohit welcomed everyone to the meeting. He introduced himself, the SPSA President, the Campus Council Director, the SPSA staff in attendance as well as the SPSA Staff joining the meeting via Video Conference. Also, he explained the purpose of the SOFA meeting and encouraged students to bring forward any concerns they might have.

2. Position of Campus Council Director

• Rohit announced that the Campus Council Director Position is open effective from the time of announcement and will close on Tuesday January 28, 2020. Any student interested in the position can pick up the application package at the SPSA office. He also said any student that require additional information on the position can discuss with him or talk to the other council members.

3. Students Concerns for Discussion

• The first concern that was raised by student was about Papercut Printing Credit. The student mentioned that the cost was included in their tuition and they don’t get the printing credit. Another student in attendance indicated she received the credit only in first semester and never received the credit afterwards. The Campus Council will look into this and report back to the student at the next meeting. Action: Campus Council

• Another student indicated that he would like to see the Rights of students included as part of Orientation. He said most International Students are not aware of their Rights and they end up been exploited by Landlords. Adeyemi indicated that the International Education has a separate Orientation for International Students and they might be able to reemphasize that at the Orientation. He also indicated that the student handbook has some information on where to get help on Landlord and Tenancy issues.

• Promotion of SPSA Events was a concern for another student at the meeting. The student indicated he doesn’t know when events are happening on campus due to lack of promotion or the way the events are being promoted. Precious explained to the student that there are posters on the bulletin boards and that he usually visits classrooms to inform students of any Campus event that the SPSA is hosting. He also indicated that going to classrooms has not been the best approach as most instructors don’t appreciate students taking their class time to announce events. Adeyemi indicated that the SPSA is committed to finding the best way to pass information across to students and if they are able to suggest the best way to reach them, the SPSA will definitely look into that. A student suggested the SPSA send email and Adeyemi indicated that the SPSA does not have students email list.

• Another student indicated that there needs to be more on-campus Jobs. Rohit indicated that there are limited opportunities on campus for students because they are expected to be in class during the opening hours of the school. Another student indicated that he currently works on-campus with other

students at the Recreation Department and that student should apply for any available on-campus position whenever it opens.

• Another student commented on the student that recently passed away. He said the Counselling Services does not create a positive environment for students that require assistance in this kind of situation. Adeyemi indicated that the SPSA has an Online Counselling Platform that is available in different languages and Students can use that as an alternative to going to the Counselling Service on campus.

• Finally, a student requested that he would like to know the direction the SPSA is going as an organization. Precious responded that the SPSA is on campus for student representation and to represent students better is the reason is we’re having SOFA meeting. The student further stated that he had an experience with someone from SPSA in the past that is not very pleasant but he already put that behind him and he doesn’t want to take the issue any further.

4. SPSA AskPoly App Feedback (Ashley)

• Rohit introduced Ashley and Carol as SPSA staff that are attending the meeting Via Video Conference from Regina Campus. He also mentioned to students that Ashley would be getting feedback from them about the AskPoly App.

• Ashley discussed with students about the AskPoly App and asked if the students have used the App or have any suggestion. Most of the students stated that they haven’t download or used the App before. Ashley encouraged them to download and try out the App. She also indicated that she’ll be on Moose Jaw Campus the next day and they can stop by the SPSA office to see her to give their feedback should they have any.

5. Announcement

information, or to join, please contact Tara Pejski, Advocacy Manager, at [email protected] or by

coming to room 119.

3. Open Education Resource:

This is something that is coming up in post secondary education, this is an online place for students to

access free text books, there will be a limited amount.

We are curious if this is something the students would like that SPSA to advertise and get involved in

promoting this.

Student – said one way to get SPSA more known for our used text books is find better ways to

advertise, instead of focusing on posters around the campus. – Explained that this is a different

avenue

Student – from medical field, they need print text books so that it is in front of them as they can not

carry around a laptop to view their texts books, so medical field wouldn’t be helpful

Student – text books are really pricy purchasing through the book store, so think this would be a good

idea, they tend to take pictures of a friends book due to price

Student – never seen an online site

Student – add on website so students can email director to us regarding their thoughts…we stated we

could look at on the Ask Poly App

Student – no mens change room in Medical Diagnostic area, this concern was brought up last year

lots, students recommends at least hooks in the bathrooms 2nd floor area. On the bathroom walls not

in the stalls as there is a lot of space. [email protected]

4. SPSA Ask Poly App Survey

The SPSA will be using the 2019-2020 academic year to evaluate our ASK Poly app in an effort to

5. Scanner Articles

Every month there is a Scanner printed, this article is available for students to write an article to have

posted and this is available to pick up at the SPSA office

6. Subject : Open Forum – room is open for students to ask questions and discuss topics. Student – student loans is the biggest concern, the loan was in process until the second week of his current course, wrong date was put in so it took a total of 2 months before the student had any money coming in, asked registration front desk why can’t this process be put in place, answer was there is only 20 day window before school start. Student started August 26th and the loan wasn’t processed by registration until Sept 15th, and the temporary loan from SPSA couldn’t apply for this as his student fees/tuition not paid, but this all led to registration not processing the loan on time, and the excuse is there is so many students to get this processed quicker Student- Sask Poly requires tuition to be paid so early compared to University, its by the first day

7. Subject: Student life events - Plant Night November 19th $30.00 per student 430pm in the student lounge - Adulting 101 “Mental Health” November 20th 4PM Room - Thirsty Thursdays every Thursday until December 5th - Halloween Theme Pub coming up next week October 31st, pumpkin carving contest, and photo

o Kelly Nelson – Facilities Manager – Kelly spoke about what the department represents: parking, fire drills and classroom scheduling as far as students go. SP does NOT own the building they rent from the Gov’t of Sask. Students asked why the parking lot isn’t paved and he explained the cost is in excess of 1.7 million. Can the pot holes in the parking lot be looked at as they have increased in size with all the rain this week? Can there be consideration of ½ day parking rate for those students who are part time days? Washroom stall on second floor ladies near student development – there is a large gap and you can see in the stall. Privacy is an issue. Can there be signs vacant/occupied for stalls? Locker sizes – is there a plan to replace lockers that are outdated or broken? Can there be an option to pay parking tickets on site as most students don’t have a credit card to pay over the phone?
