Rate contract for Chemicals / Glassware/Plastic ware/Lab consumables and Related Items for the

year of 2015-16

Aryabhatta centre for Nanoscience and Nanotechnology, Aryabhatta Knowledge University, CNLU

campus, Near-Mithapur, Bus stand, Patna is a research centre.

The center is in frequent use of Chemicals, Glass ware, Plastic ware, Lab ware, Diagnostic kits, Assay Kits

etc. intends to enter into Annual Rate Contract for the terms mentioned as enclosed for the financial Year

2015-16.

Vendor /Supplier Registration Notice:

Registrar, Aryabhatta Knowledge University Patna invites sealed company profile/documents from reputed

manufacturers/suppliers/authorized dealers for supply of chemicals, glassware, plastic ware, etc. for a

period of one financial year under Rate – Contract.

Vendor/ Supplier/ Authorized dealers should submit the following documents for selection and

Registration of the vendor/Suppliers so that purchase of chemicals and lab-consumables items can be done.

2. Glass ware- Beaker, Conical flasks, Measuring cylinders, Funnels, Petri Plates, Watch

Glasses etc.

3. Plastic ware- Autoclavable beakers, Reagent bottles, Funnels ,Petri Plates, Micro- pipette,

Separating funnels etc.

4. Lab ware- Lab coat, Disposable gloves, Face mask, Head cover, sandals etc.

5. Diagnostic Kits- Anti-Microbial Diagnostic kit.

6. Assay kits- Chromatography, ELISA kit etc.

Documents:

1. Rate-Contract proposal for chemical, plastic ware, glass ware, lab ware etc.

2. All the manufacturers/ suppliers/ authorized dealers must submit 2015-16 price list and catalogue

of products.

3. Declaration towards possessions of certificate of analysis (for chemicals)

4. Copy of Materials Safety Data Sheet (MSDS) for each items (for chemicals)

5. The details of the authorized/stockist who shall execute the order at the centre on the following

formats.

i) Name & Address of the local authorized dealers/ stockist so that the copies of orders can be

enclosed to them for expeditious supply .In such cases where local dealers/stockist has been

nominated by the principal, the bill raised by them against our purchase order will be accepted.

ii) Details address with phone & Fax No.

iii) CST & BST Registration No. along with attested copies of registration & clearance certificate.


iv) Income Tax Registration No. & PAN No. with attested copies of the IT clearance certificate

of last Three (03) financial years.

v) Any addition and deletion of dealership/ distributorship shall be intimated to the undersigned

immediately on authorization of a new party.

General Terms & Conditions:

1) The Rate Contract shall be valid for a period of one financial year and can be extended if it is felt

mutually by the party and the Aryabhatta Knowledge University.

2) The rates shall remain valid for a period of one financial year and there will be no change in price

structure during the currency at the contract except, if the statutory Levies taxes are made applicable

by the Government through notification/ regulations.

3) Chemicals and solvents in bulk packing which are not listed in the regular price list may also be

quoted separately and this quotation will also form a part of Rate Contract with all the prescribed

terms and conditions including discount.

4) The bulk chemicals/solvents will be procured only from the manufacturers/suppliers/authorized

dealers along with their test reports.

5) Profile and Quotation will be accepted only from manufacturers for branded items, If they are not

in position to quote, they must authorize only one exclusive agent, who may quote along with

authorization. Authorized agent quoting for the supply should attach authorization from the

manufacturers to ensure prompt supply, failing which the quotation will be rejected.

6) The profile and quotation should be submitted in sealed envelope for supply of chemicals, Glass

ware, plastic ware, lab ware etc. under Rate Contract and addressed to the:

7) The % age of discount offered has to be clearly mentioned. Overwriting or cutting will lead to

disqualification.

8) Any offer through Fax /email will not be accepted.

9) Payment: All payment should be made as per the University rules.

Taxes & Duties:

Payment will be made after deduction of Taxes as applicable. (As per Government rules.)

10) The supplier/vendor should provide the copies of rate contract(s) with any of the CSIR Labs/ICMR

Labs/ICAR Labs/IIT/NIT/Lab/Central University Labs/State University Labs/Govt. organization

in the past three years. The firm should enclose the proof in support alongwith the quotation.


Loss, Damage & Shortage:-

Aryabhatta Centre for Nanoscience & Nanotechnology, Aryabhatta Knowledge University, CNLU

Campus, Near Mithapur Bus Stand, Patna shall not be responsible for any loss, damages and

shortage during transit, payment shall be made for materials received in good conditions only.

The Purchaser will not pay separately for transit insurance. If the supply of goods/equipment/

materials or any part is rejected by the institute, the supplier will have to bear all expenses incurred

in the matter including all charges for return and replacement of items. The rejected

materials/equipment/parts of equipment should be got it back by supplier on their own cost.

Campus, Near Mithapur Bus Stand, Patna reserve the right to enter into parallel Rate Contract for

similar items any time during the period of Rate Contract with one or more parties.

The rate contract can be terminated at any time by giving one month’s notice by either party.

In case of emergency, the lab/institute may purchase the same items through ad-hoc

contract with a new supplier.

The materials will have to be of high quality & grade and if chemicals & Solvants are found to be

of inferior quality the supplier is liable to be blacklisted.

A liquidated damage charges of minimum upto 1% of the order value per month or maximum upto

10% of the total order value will be recovered from the vender for non-compliance of the purchase

order in time as per Government Rules.

The firms must ensure the compliance of all the above mentioned terms & conditions and attach

the requisite certificate/documents declaration asked for in the tender paper while submitting both

technical & commercial bids, failing which the tender will be liable to be rejected as non-

responsive.

The acceptance of the tender will rest with the Registrar, AKU, who does not bind himself to accept

the lowest tender and reserves the right to reject/accept partially or wholly the tenders received,

without assigning any reason.


Delivery period for Import & Indigenous items:-

For Indigenous Items:- Items should be delivered within 15 days. No further extension of time will

be allowed.

For Import items:- The order acknowledgement should be issued by Fax/email within 7 days and

the item should be airlifted within one month from the date of receipt of the letter of credit copy.

Non delivery of items will lead to cancellation of purchase order without any notice.

In addition, action may be taken for removing them from Rate Contract.

Discount offered shall be indicated clearly in terms of percentage on the manufactures price lists.

Special Discount/Prices, if any, applicable to the Research institutions aided by the Government of

India, should be quoted separately.

Statutory increases like levy, taxes, duties etc. if any during the period of contract, will be allowed

extra on submission of documentary evidence.

Please mention the Catalogue no. Part no. and Model no. & make whenever required and also

CST/VAT No. and area code, failing which quotation will be rejected. All of future

correspondences including invoices should bear CST/VAT No. and Area code.

If the tendered is manufactures or authorized dealer and the item is the PROPERIETARY ITEM

then they should furnish the “Proprietary Items Certificate” along with the quotation/tender.

All disputes arising in connection with executing the orders will be subject to the jurisdiction of the

Court in Patna only.

After satisfactory performance this contract may be extended further to another two years.

No advance payment will be made for the supplies.

Warranty:- The supplier shall be fully responsible for the manufacture warranty in respect of quality

and workmanship of the materials covered in the rate contract. In case of any defects found at the

time of user, the supplier will provide free replacement or refund the amount charged for that items.

Suppliers are requested to provide complete Bank address with IFSC/MICR code & Account No.


Delivery Schedule:-

Materials should be door delivered at Aryabhatta Centre for Nanoscience & Nanotechnology,

Aryabhatta Knowledge University, CNLU Campus, Near Mithapur Bus Stand, Patna, Bihar.

Delivery must be made within the stipulated period from the issue of the order either directly or

through their dealer network.

If the suppliers fail to deliver the stores within the allotted delivery period as specified above, the

purchaser may procure goods as services similar to those un-delivered upon such terms and in such

manner as it deems appropriate, from any other firm.

Part-wise supply is not acceptable, but may be allowed on genuine cases and exceptional occasion

on written request only.

Vendor /Supplier Registration documents for Annual Rate Contract for supply of Chemicals, Glass

ware, Lab ware, Plastic ware, for the year of 2015-16 comprising of detailed terms & conditions

can be downloaded from the University Website http://www.akubihar.ac.in/acnn.

Above documents can also be obtained from the office of Aryabhatta centre for Nanoscience &

Nanotechnology, Aryabhatta Knowledge University Patna on all working days from 10:30 A.M.

to 3:30 P.M. till 26.08.2015.

Complete and sealed documents should reach us on or before 26.08.2015 till 3:30 P.M.
