Furnished in wood panel detailing with a large contemporary beer garden, The Swan Hotel offers a range of different spaces to suit your function needs and can cater for intimate gatherings, corporate groups or large parties of up to 100 guests.

No food or beverage of any kind is permitted to be brought into The Swan for consumption, with the exception of celebration cakes.

C A N C E L L A T I O N

If you cancel your event 14 days or more before the proposed event date, you are entitled to a full refund (deposit and any other payments included).

If you cancel less than 14 days before your event, your deposit is forfeited.

We reserve the right to charge your credit card in the event of any damage to or eviction from the venue or if any incidents occur during the event.

C O V I D P O S T P O N E M E N T S / C A N C E L L A T I O N S :

Any government update outside our control (i.e. closure of venue, changes to trading hours or venue capacities) will result in a full refund of the function payment.

If the venue does not have to close due to COVID restrictions but a cancellation is notified less than 7 days prior to the function, 50% of the deposit amount is forfeited.

If you choose to postpone your function, any balance of deposit can be transferred to a new date at the venue.

C A T E R I N G

All dietary requirements will be catered for upon request with prior notice.

Function food orders are required a minimum of seven (7) days prior to the function date and final numbers must be confirmed five (5) days prior to the function date. Your final bill will reflect the numbers confirmed at this point, regardless of changes made thereafter.

For bookings of 15 or more, we require guests to pre-order their lunch or dinner five (5) days before their event.

Please liaise with your Function Coordinator to arrange your order (payment not needed until day of booking).

C R E D I T C A R D S U R C H A R G E

All payments made by Visa or MasterCard will incur a 1.5% surcharge and payment made by Amex will incur a 1.88% surcharge.

D A M A G E

Please be advised that organisers are financially responsible for any damage, theft, breakage or vandalism sustained to the function room or venue premises by guests, invitees or other persons attending the function. Should any extra cleaning be required to return the premise to a satisfactory standard, this will be charged to the client. The venue does not accept responsibility for damage or loss of merchandise left at the venue prior to or after the function. It is recommended that all client goods be removed from the venue immediately after the function.

D E C O R A T I O N S

You are welcome to arrive early to decorate the function room for your events. The event host should ensure the Function Coordinator is advised of all goods to be delivered, the date and time of delivery and provide all supplier contact details. Please consult with the Function Coordinator regarding the specifics of decorating.

All decorations must be removed at the end of any function. Confetti and party poppers are not permitted. The venue must approve all equipment or decorations and reserves the right to disallow any material deemed offensive or dangerous.

D E P O S I T S

The deposit for all function bookings is 10% of the required minimum spend. This amount is required upon booking, with the remaining balance due seven (7) days prior to the function.

Please note, all bookings will remain tentative until a deposit has been made. Tentative bookings will be held for a period of five (5) days. After five days, the booking will be released if a signed copy of the terms and conditions along with deposit has not been received. A compulsory credit card authority is also required to confirm the booking and is held as security and in case of damage.

E Q U I P M E N T A V A I L A B L E

We have plasma TVs available in each space. Microphones are also available for speeches or corporate events. For any additional audio- visual or equipment requirements, please discuss with your Function Coordinator upon making an enquiry.

M I N I M U M S P E N D S

Minimum spend requirements apply for all function spaces. Every endeavour is made to maintain our prices as originally quoted to you however they are subject to change. All prices quoted are inclusive of GST and will be in line with the estimated turnover obtained during regular trade in the function area. Minimum spends are restricted to food and beverage spend only, and any costs outside of this are not included in the final quote.

M I N O R S

Minors are allowed within all areas of The Swan under the full supervision of a parent or legal guardian until our food service ends at 9:30pm. Please note that a security guard is required to escort the minor off the premise if attending an event in our Function Room past 9:30pm.

M U S I C

In-house music is played throughout the venue. This music can be streamed into the function room upon request for private functions. If you require a DJ for your event, please discuss with your Function Coordinator upon enquiry.

R E S P O N S I B L E S E R V I C E O F A L C O H O L

The Swan reserves the right to refuse the supply of alcoholic beverages to any guests or person attending the function or otherwise at the venue without liability.

R E S P O N S I B I L I T Y

While all care is taken, we cannot accept any responsibility for damages or lost personal belongings left on the premises prior to, during or after an event or function.

P U B L I C H O L I D A Y S U R C H A R G E

Events held on a public holiday will incur a surcharge of 15% on all food and beverage items.

S E C U R I T Y

The Swan reserves the right to exclude or evict any guests or all guests from the function or venue without liability.
