What’s new

➢ Expense users will be able to manage their expenses right from the mobile app. Just tap on the 'Your statements' button from within 'Expense' tab and start managing your expenses. [55]

cytric Mobile brings most important features from cytric OBT to your mobile device. It allows you to view your itinerary wherever you are, approve trip requests and expense statements, scan receipts for expense reporting and even book your whole trip.

This manual will help you getting started with cytric Mobile and explain how to easily organize in your everyday travel life.

Important note: The screens in this guide have been created using an iOS version of cytric Mobile. They will not exactly match the screens in the Android app. However, the features are the same and you should get a good intuition which features are included and where to find them.

In order to make your trip information available offline (e.g. while having your phone switched to airplane mode) as well as work efficiently cytric Mobile needs to cache information on the device. This includes data about your cytric User Profile, trips, approvals and trip requests as well as scanned receipts. Additionally, for improved usability and convenience cytric Mobile may store your credentials.

Any cached information is stored using state-of-the-art techniques provided by the corresponding operating systems. It is discarded when logging out of the app.

Please log in with the credentials (PIN and Security Code) that you can find in your cytric User Profile. The help icon next to the PIN input field provides you with step-by-step instruction how to access your credentials.

If your system does not allow to access your cytric Mobile credentials or the login does not work please make sure the cytric Mobile app has been enabled with your cytric system and your corporate device allows to connect to it. When in doubt, contact your Travel Manager

Important note: If you have used cytric Mobile Companion before you will notice that logging-in with any other credentials (e.g. with last name and system URL) is not possible anymore.

You can also generate new credentials if your old ones expired.

Sometimes it can become necessary to renew your login credentials (e.g. because they are about to expire or have expired already). cytric Mobile allows you to re-generate login credentials. You can access the credential generation screen either from the login screen (when being logged out) or in settings in the More section.

In order to create new credentials you will be asked to enter your old ones. Once the generation is completed you will receive an confirmation e-mail.

Please note that you cannot choose a PIN or Security Code. Both are generated by cytric and stored in your profile.

Make sure you are able to access cytric before generating new credentials!

The app navigation consists of 4 main items that are displayed depending on the users rights:

-Trips shows your current itinerary and allows you to perform trip-related actions

-Tasks combine your pending trip approval and expense statement approvals

-Receipts contains a list of scanned receipts and enables you to scan further ones

-More is the place that aggregates miscellaneous features as well as app settings

Users without approval rights won’t see the "Tasks" item in their app and users from system without Expense won’t see the "Receipts" item.

Push notifications help you staying informed even if you don’t use the app. They tell you about

- New bookings, booking changes and cancelations

- New, approved, rejected or withdrawn approvals

- Flight changes, delays and cancelations as well as gate changes

and will be enhanced with an increasing number of helpful events during the evolution of cytric Mobile.

Important note: Flight notifications need to be explicitly enabled in app settings.

cytric Mobile brings crucial cytric OBT features to your mobile device. Having cytric OBT as a backend gives travel managers the ability to control the availability of features in cytric Mobile. This could include the appearance (such as a logo) as well as features including booking, trip requests, expense, receipt recognition, approvals, maps, smart hotels, booking change and cancelation, weather, duty of care and other.

If you see a feature in this manual that is not available in your app it is likely that is has been disabled in TMS or your cytric user role does not include the rights to access it.

Controlling features with cytric TMS

cytric Mobile understands the AppConfig standard (for more information, see http://appconfig.org/) that can be used to

configure the app using your company’s MDM/EMM (Mobile Device Management / Enterprise Mobility Management)

solution. If your company offers managed devices you can use AppConfig for cytric Mobile configuration options. This helps

customizing cytric Mobile to your specific needs, whether it is skinning or enabling Single Sign-On (SSO).

On iOS, you can use AppConfig to set an accentcolor and backgroundcolor according to your company’s CI. Android

supports setting a styleset accordingly.

Both, iOS and Android, can be configured with a saml_url that uses cytric’s SAMLv2 authentication flow to log in users with

your IDP.

You can abort trip cancelation by closing the dialog.

Cancellation option is controlled by TMS System Activation rule.

Hit ‘cancel selected’ to proceed with the cancelation.

_ The flow is controlled by a two-level activation process. First, the Smart hotel service has to be activated in TMS/Mobile Administration/Service Activation. Second, the user should open the cytricMobile app and activate the Smart hotel settings item (More/Settings).

_ Once enabled, all user's hotel bookings are submitted. On every trips update, we submit the hotel bookings again as well as check whether Smarthotel recognized some of them. If that's the case, we place Smarthotel logo to the Hotel's card and Hotel details. Once placed, the logo is never removed, even if the Smarthotel setting is OFF.

_ If Smarthotel setting is changed from ON to OFF, the app stops submitting hotels.

_ On logout, the app delete from its database the smart hotels, which means that if the user logs in again, he/she won't see the Smarthotel logo.

_ When you login, Reminders chat is created with last 20 Smarthotel reminders

_ If there are no Smarthotel reminders, chat is not created

Choose a date range. A date picker will open to help you finding and formatting your input.

You can also quick-select previously booked hotels that are shown on the bottom of the page.

a list of options including star rating and price.

Select a hotel. This will open the details page where you will be able to further select a room

rate.

Once you’ve chosen a room the last step will be to check your booking. Scroll down to the end of

the page to view the total price and complete the booking.

You will receive a push notification (if enabled) that confirms your booking and the hotel

segment will be added to your cytric Mobile itinerary.

The tasks section shows a list of pending approvals that were assigned to you for your review. The list combines approvals for trip requests and expense statement sorted by their deadline.

Trip requests show contained segments highlighting those that are out of policy.

Each card represents an approval containing most relevant information:

- the total trip cost for a trip request

- the reimbursable amount for an expense statement

and lets you approve or reject the request right from the list.

_ Amadeus cytric Travel & Expense with Certified Scanning helps companies to reduce the volume of paper receipts with preparation for digital archiving.

_ What you have to do is accurately scan your receipt(s) with cytric Mobile app, pay attention on the quality of the photo. The image must be purely clear, all data must be visible and readable. Provide all needed expense information, compare it carefully with the original receipt before upload. Certified scanning differs from the normal scan receipt flow, that’s why at the very beginning of the ‘add receipt’ process, there are some screens with the on-boarding explanation of how certified scanning must proceed.

_ To support Certified Scanning a minimum camera resolution of 5 mega pixel is required. Additional recommendations are for:

• iOS: Although Certified Scanning works with lower hardware, we recommend to have at least 2 GB RAM or an iPhone 6s.

• Android: Certified Scanning works with a minimum of 2 GB RAM, but 3 GB and above is recommended. Additionally, we recommend to have a 64 bit processor.

• Activation needs to be done for both, cytric Expense and cytric Mobile:

➢ TMS/Mobile Administration/Service Activation;

➢ TMS/Expense Management System Main Settings/Certified Scanning.
