Function/Meeting Guidelines Thank you for considering the Best Western Gateway Grand Hotel to host your Grand function! We appreciate your interest and are looking forward to be of service! Allow us to help you with any other information necessary for the success of your event! Food and Beverage Functions- To ensure safety, quality and freshness of the food, the Hotel catering services will provide all food and all beverages in the Hotel’s banquet rooms. Neither food nor beverage shall be brought into the Hotel’s banquet/meeting rooms. A wedding or birthday cake is the only exception. Violations to this policy may cause the immediate cancellation of your function without refunds for pre-paid services and or charges. We will not serve any alcoholic beverages to minors or anyone who may appear in our judgment to be intoxicated. The Hotel will request photo ID to any person of questionable age. Menu and Room Requirements- Set up and menu requirements will be due at least twenty-one (21) days prior to your event date. Customized menus may be written and priced upon request. On-site request for extra tables, chairs and or Audio-Visual equipment may be subject to additional set up fees. Due to market trends, prices are subject to change without notice and will only be guaranteed (locked-in) within ninety (90) days prior to your function date. There are minimum revenues required to be spent in Food & Beverage in order to host a function in the banquet/meeting space. Please consult our catering representative for more information. Minimum revenue amounts required exclude gratuity, room rentals, audiovisual charges or sales tax. Regardless of minimum revenues required, all functions may also be subject to room rental charges and or set up fees. Evening events must finish no later than 11:00pm (weekdays & Sundays) and 12:00 midnight (Friday & Saturday). If the event is hosted at the pool deck, such event must be finished by no later than 10:00pm. Food and Beverage Attrition - To recover expected forecasted revenue, the Hotel will assess a slippage fee if the final guarantee of meals drops ten (10%) percent below the original anticipated number of guests. You will be notified of such slippage fee when your function is initially booked at the Hotel. The slippage may appear on your event order or invoice as room rental charge. Guarantees and Changes- The exact number of attendance for all functions is due seventy-two (72) hours (Monday- Friday, and excluding weekends and Holidays) prior to your event. This number will be your financial commitment and once given will not be subject to reduction. The Hotel will prepare five (5) percent over the total guarantee number (up to 200 guests), and if used, it will be charged to your account. The Hotel cannot be held responsible for the service in the excess of the guarantee number. If a guarantee number is not received, the Hotel will use the initial number as a guarantee number and will charge for it or for the number of guests served, whichever is higher. Linen & Decorations- White or ivory square tablecloths, cloth napkins (limited colors) and clear glass hurricane shade centerpieces are provided for all events. Table skirting is available in ivory and black. The Hotel can provide white or ivory floor length tablecloths at an additional charge. The Hotel does not provide specialty linen, fresh flowers, ice carvings, DJ music equipment, chair covers, spotlights, etc. Upon request, we will gladly provide references for these additional services. The use of confetti, sparklers and or glitter table decorating inside the event space is strictly prohibited. A clean up fee of $150.00 will be charged if these items are utilized at your function. Audiovisual Equipment- A limited supply of AV equipment is available for rental. Fees are charged per item, per day and subject to current sales tax. Request for AV equipment should be turned in no later than (14) days prior to your scheduled event. Meeting Rooms- Meeting Rooms are reserved based on the size and needs of your group. The Hotel reserves the right to re-assign meeting rooms and based on actual guarantees and needs of your event to also relocate your group within the Hotel’s meeting space. Billing- Charges for all functions must be paid in full within seventy-two (72) hours prior to your event. Payment shall be endorsed to the Best Western Gateway Grand Hotel. You may pay for your balance with a certified cashier’s check, cash and major credit card. The Hotel does not accept personal checks to pay for your final balance /invoice. Unless direct billing is established within your group and the Hotel, The Hotel may cancel your function without further notification if payment in full is not received within seventy-two (72) hours prior to your event date. Liability for damage, if any, will be charged accordingly to the company or group hosting the function. Groups may leave articles in the meeting rooms at their own risk. The Hotel is not responsible or liable for any items left unattended before, during and or after your function in any of our meeting rooms or public areas. We reserve the right to request parties to furnish licensed security services at their functions. The Hotel at all times will verify these arrangements and will require copy of the contract between the security service provider and the function’s host. Any expenses for security services will be the sole responsibility of the company or group hosting the event. As a private property, the Hotel reserves the right to refuse service to anyone and to use law enforcement assistance whenever we feel the safety of any guest may be at risk.
