Rincian tugas Kantor Urusan Internasional 1. Menyusun RKAT dan program kerja Kantor Urusan Internasional; 2. Menyusun juklak juknis di bidang urusan internasional; 3. Meningkatkan dan mempercepat hubungan serta menambah jumlah institusi luar negeri
untuk kerjasama tingkat internasional yang dapat digunakan untuk meningkatkan kepentingan dosen, pegawai, dan mahasiswa Universitas;
4. Membuka peluang dan hubungan secara aktif untuk kerjasama luar negeri dalam rangka membangun jaringan internasional;
5. Mengkoordinasikan dan memfasilitasi pertemuan-pertemuan internasional di tingkat Universitas;
6. Mengkoordinasikan kunjungan pimpinan Universitas ke luar negeri; 7. Membuat, menerbitkan, dan menyebarkan informasi tentang beasiswa bagi dosen,
pegawai, maupun mahasiswa; 8. Melakukan administrasi kepentingan jaringan luar negeri (MOU, kontak poin Universitas,
mahasiswa asing, peneliti asing, tamu asing, dan lain-lain) serta mengimplementasikan ke dalam bidang yang sesuai;
9. Melakukan promosi ke pihak luar negeri baik langsung maupun tidak langsung (penerbitan, brosur, pembuatan web, dan lain-lain);
10. Membantu memproses dokumen-dokumen yang dibutuhkan pihak asing untuk menjadi partner Universitas (visa, ijin belajar, dan lain-lain).
Untuk dapat menjaga hubungan baik dengan mitra, KUI
sebaiknya menetapkan beberapa SOP diantaranya:
1. SOP kerjasama internasional
2. SOP per kegiatan misal: Guest lecture, students’ exchange,
ambil kredit, joint research, staff exchange, dsb
3. SOP kerja tiap staff KUI juga harus disiapkan sehingga
masing masing staff punya target atau standar kerja yang
dapat diukur.

2. Untuk follow up.Setiap kali ada pertemuan atauaktivitas internasional baik yang dilakukan pimpinan maupun KUI, tuliskan email kepada mitra beberapahal:a. Ucapan terima kasihb. Minat untuk menindaklanjutikerjasama
Untuk dapat menjaga hubungan baik dengan mitra, KUI
sebaiknya menetapkan beberapa SOP diantaranya:

Jika kita mendapatkan email dari mitra sebaiknya :1. Tetapkan durasi maksimal menjawab email. Jangan biarkan mitra
menunggu terlalu lama. (di UMP maksimal 3 hari kerja)2. Jika belum dapat menjawab pertanyaan mitra maka tetap dibalas
minimal ucapan terima kasih dan sampaikan bahwa akan didiskusikandengan pimpinan.
‘We will discuss your proposal/information with our management/rectors/dean and will be back to you very soon, hopefully within this week/this months” (dan pastikan kita kirim info lagi diwaktuyang telah dijanjikan)
Jika kita mengirimkan email kepada mitra sebaiknya :
1. Kenali calon mitra /latar belakang orang yang kita email2. Perkenalkan diri kita3. Gunakan bahasa yang lugas, sederhana, mudah dipahami dan tidak
bertele-tele (jangan flowery)4. Gunakan pilihan kata yang menunjukkan kesejajaran kita dengan
mereka (jangan terlalu merendah, nanti malah tidakdipercaya/meyakinkan)
5. Jika baru pertama kali email maka gunakan bahasa formal, jika sudahsering boleh pakai bahasa gaul yang hangat (tapi tidak menggoda ☺)
6. Jika email belum direspon, maka kirim lagi tidak apa-apa (2-3 kali diselingi seminggu sekali atau dua minggu sekali)

I am emailing you to follow up our discussion about the Lecturer Attachment program and
students sit in in Faculty of Management and Economics UPSI. As we have been agreed in our
discussion in our meeting, that your Faculty is about to send students in our Faculty of
Economic and Business and we are also sending our students in your FME.
The sit in program is planned to be conducted for two weeks, and during their stay the students
are going to attend the classes, doing students and students presentations/discussion, visit
some facilities and having opportunities to visit industries (if possible)
The lecturer attachement is also intended to give opportunity for our staff to do some academics
activities such as teaching, initiating joint research programs and designing some relevant
programs for staff and students developments in the future such as earning credits.
We do hope that the MoU between UMP and UPSI could be realized with some activities which
benefit both sides.
