Before you begin configuring your Exchange server for journaling assets to Iron Moutain,familiarizeyourself with this information:

l Document Assumptions, on page 7, below

Document AssumptionsThis guide assume that you have already performed the following tasks:

l InstalledMicrosoft® Exchange Server 2010 and Rollup 4

l Installed the Microsoft Outlook® client

l Created users and the journaling mailbox

SupportedData FormatsBefore configuring your Microsoft Exchange server to journal messages to Iron Mountain,it is important to understand the data formats that Iron Mountain accepts to ingest andindex data.

Chapter 1: Before you BeginSupportedData Formats

To insure that Iron Mountain can ingest and index data that a customer transmits to IronMountain’s Digital Record Center for Compliant Messaging (DRC-CM), the data mustmeet all of the following format requirements:

l The data must be in RFC-2822 compliant format or in the format created by LotusNotes for internal email.

RFC-2822 is the standard format used by most mail servers to transmit textmessages. See http://www.faqs.org/rfcs/rfc2822.html for more information about theRFC-2822 standard.

l The data must contain only ASCII characters.

l The data must have a date stamp that is not in the future.

The following table contains, without limitation, common reasons why Iron Mountain cannot fully ingest and index journaled messages:

Reason Description

Encrypted data Encryption prevents unauthorized access to message content.As such, Iron Mountain cannot view, index, or display any partsof a message (including attachments) that are encrypted.

Malformedmessageheaders

Iron Mountain can not fully ingest and index any message thatdoes not have a properly formatted message header. Themessage headers include the To, From, Date, and/or Subjectfields.

Messages containingnon-ASCIIcharacters

Iron Mountain can not fully ingest and index any message thatincludes, without limitation, double-byte characters and system-generated messages.

Messages with afuture date

The journaling process occurs after the sender has sent amessage. Therefore, all message date stamps must have a datethat occurs in the past. Iron Mountain will not ingest or indexmessages with future date stamps.

ReportsIron Mountain will email a report to the customer's designated administrator on a weeklybasis. This report shows the disposition of the assets that Iron Mountain received duringthe prior week. The report includes a count of assets that Iron Mountain has rejected.Because Iron Mountain has rejected the data, it is, therefore, not available in the DRC-CM archive.

Iron Mountain will post any messages that it rejects to a secure FTP site on a weeklybasis. If you want to send the message again for ingestion, retrieve the rejected datafrom the FTP site to remediate it. Once the data is in the proper format, re-submit thedata to Iron Mountain for ingestion by posting the messages back to the FTP site.

Creating a Journal Rule at the Hub LevelIf you create a journal rule at the hub level, you use the Exchange Server Console tocreate an enterprise-wide journal rule that sends all messages to an SMTP contact.

To create a journal rule at the Hub Level, complete the following tasks:

1. Launch the Exchange Management Console.

2. In the left pane, navigate to the Exchange 2010 server and expand it, if necessary.

3. Expand Organization Configuration, and then selectHub Transport. The HubTransport tabs appear in the middle pane.

4. Select the Journal Rules tab, and then click New Journal Rule in the right Actionspane. The New Journal Rule dialog box opens.

5. Complete this dialog as follows:

o Type a descriptive name for the rule in the Rule name box.

o Click the Browse button next to the Send Journal reports to e-mail addressbox. The Select Recipient dialog box opens. Select an SMTP recipient and thenclick Next. You return to the New Journal Rule dialog box.

o Ensure that Global-all messages is selected.

o Ensure that Enable Rule is selected.6. Click New. The New Journal Rule Completion dialog box opens.7. Click Finish. You return to the Exchange Server Console.

Creating a Journal Rule at the Mailbox Levelusing the ExchangeManagement ConsoleIf you create a journal rule at the mailbox level, you exercise greater control over theemails that your enterprise sends to Iron Mountain because you journal messages on a"per mailbox" basis. With this method, you perform all journaling cofigurations on theExchange server. With this option, use the Exchange Managment Console to performthese tasks to journal emails:

l Create a journal rule to forward all messages to an SMTP contact.

l Turn on automatic message forwarding from the domain in which the mailbox resides.

l Create a rule that automatically forwards email to the SMTP contact

This method is the same asCreating a Journal Rule Using the Microsoft Outlook Client,on page 17, except in this method, you use the Exchange Management Console toperform all the tasks on the server; and, in the other method, you create the journalingrule on the client side with Microsoft Outlook.

To set up a mailbox-level journal rule, perform the following steps:

1. Launch the Exchange Management Console, if it is not already open.

2. In the left pane, navigate to the Exchange 2010 server and expand it, if necessary.

3. Expand Organization Configuration, and then click Hub Transport. The HubTransport tabs appear in the middle pane.

4. Select the Journal Rules tab, and then click New Journal Rule in the rightActions pane. The New Journal Rule dialog box opens.

5. Complete the dialog as follows:

o Type a descriptive name in the Rule name box

o Enter the SMTP recipient, which you created .in Creating an SMTP Contact, inthe Send Journal reports to e-mail address box. If necessary, click theBrowse button. The Select Recipient dialog box opens. Select an SMTPrecipient and then click Next. You return to the New Journal Rule dialog box.

o Ensure that theGlobal-all messages option is selected.

o Ensure that theEnable Rule option is selected.

6. Click New. The New Journal Rule Completion dialog box opens.

7. Click Finish. You return to the Exchange Management Console, which continues todisplay the Hub Transport tabs in the middle pane.

8. From the Hub Transport pane, select the Remote Domains tab.The tab displays

9. Select the domain in which the mailbox resides, right-click it, and then selectProperties from the shortcut menu. The Properties dialog box opens.

10. Select the Message Format tab, and then select Allow automatic forward in theMessage Format Options group.

11. Click OK . You return to the Exchange Management Console.

14. Select theMail Flow Settings tab.and then double-click Delivery Options in theProperties box. The Delivery Options dialog box opens.

15. Select Forward to and then click the Browse button. The Select Recipient dialogbox opens.

16. Select an SMTP recipient and then click Next.

17. Click OK to close the Delivery Options dialog box, and then click OK to close theProperties dialog box. You return to the Exchange Management Console.

Creating a Journal Rule Using theMicrosoftOutlook ClientIf you create a journal rule using the Microsoft Outlook client, first create a journal rule atthe hub level using the Exchange Management Console. Then, log on to the MicrosoftOutlook client as the journal mailbox user you created and create an Outlook rule thatforwards all messages as an attachment .

To create a profile, complete the following steps:

1. Open the Microsoft Exchange Management Console, if necessary

2. Navigate to the Exchange 2010 server and then expand it.

3. ExpandOrganization Configuration and then click Hub Transport. TheHub Trans-port pane opens.

4. Select the Journal Rules tab, and then click New Journal Rule in the rightActions pane. The New Journal Rule dialog opens.

o Enter an SMTP recipient in the Send Journal reports to e-mail address box. Ifnecessary, click the Browse button. The Select Recipient dialog box opens.Select an SMTP recipient and then click Next. You return to the New JournalRule dialog box.

o Ensure that theGlobal-all messages option is selected.

o Ensure that theEnable Rule option is selected.

6. Click New. The New Journal Rule Completion dialog box opens.

7. Click Finish. You return to theExchange Management Console.

8. Open the Microsoft Outlook client and logon as the user mailbox you created.

9. Choose Tools>Rules and Alerts. The Rules and Alerts dialog opens with theE-MailRules tab active.

10. Click New Rule. The Rules Wizard opens.

11. In the Start from a blank rule group, select Check messages when they arrive.

12. Click Next. The Select condition(s) dialog box opens.

13. Do not select any conditions and click Next. A confirmation message opens askingif you want the rule to be applied to every message you receive.

o In the: Step 1: Select action(s) box, select forward it to people ordistribution list as an attachment.

o In the Step 2:Edit the rule description box, double-click the peopleordistribution list link. The Rule Address dialog box opens. Select the SMTPcontact you created .in Creating an SMTP Contactand then click OK .The Finishrules dialog box opens

16. Click Finish. You return to the Rules and Alerts dialog box.

This appendix contains a list of the file types that Iron Mountain recognizes for ingestionand indexing.

Iron Mountain supports the detection of close to 400 different file types, including mostcurrent, common file formats and many uncommon and extinct file formats.

The following table contains the supported format names and, where possible, the bestavailable MIME type match.The default content-type is application/octet-stream. ThisMIME type appears in italics for all formats without a specific content-type.This tablealso contains a description of the format and its extension.
